Page 1 of 31 To the Search Activities Online Training Course The Search Activities functionality in Assignments enables you to find existing activities pertaining to surface dispositions. Using the search results, you can select the surface disposition activities that you want to assign to another party. Welcome

Page 4 of 31 You can search activities using the following options: Activity Type and Number Client ID Land Description You may search by one or all of the above options. Selection of multiple options will refine your search criteria. In addition, you can also import your own file that contains the list of activities you want to search on. Page 6 of 31 Use this option when you know the Activity Type and Number. You may enter only the activity number and leave the 3 digit activity type blank. If there is more than one activity type with that number, the search results will display all the activity types matching that number. To obtain an exact match, you need to enter both the activity type and the activity number. Clicking on the More Activities link will display 10 more rows of activity type and number boxes. You may enter up to 1000 activities in the Search by Activity option. The Activity Type Code Table link shows a complete listing of all activity type codes. Page 12 of 31 Tip: Saving your file in a text format using Notepad will create the proper file format. To help you save data entry time, you can import your own file that contains your list of activities to be assigned. The list MUST follow a pre-defined format as follows: The first line is called the header line and it must be TYPE,NUMBER. The successive lines after the header line must follow the format: 3 digit activity type, a comma, and activity number. Example: TYPE,NUMBER LOC,99200 MSL,040001 PLA,910005 EZE,880767 The input file should be a text file (.TXT) and can contain either lowercase or uppercase letters. Page 17 of 31 Use this option when you know the 10-digit Client ID. The Client ID consists of the 7 digit Land Status Automated System (LSAS) Client ID and the 3 digit address code. i.e. 8029377-001 8029377 is the 7 digit client ID for Company A 001 is the 3 digit address code for Company A Find Client: Use this option if you do not know the Client ID. This takes you to the Find Client screen, which provides you with a field to enter the client’s name. Click on More Information to view how to search by client ID. Page 20 of 31 Tip: Click the dropdown arrow to select between Client Name and Client ID. The Find Client screen allows a search by name or by the first 7 digits of the client ID, if you do not know the client’s address code. Find by Client Name. This option allows you to find the client ID by specifying a client name. You can enter the first 4 characters of the client’s name to begin the search. Find by Client ID. This option allows you to find the full client ID (10-digit) using the first 7 digits of the client ID in the search. Click on More Information to view how to find client. Page 26 of 31 The Find Client screen will only display ACTIVE clients. You need to select the client involved in the assignment. This action will populate the Client ID field into the initial Search Activities window. In case a client has multiple client IDs, it is important that you select ALL of the client IDs to ensure an accurate search is obtained. Search Activities by Client ID using Find Client Screen - Continued Client ID - The Client ID column displays a list of client IDs that match your selection criteria. Client Name - The Client Name column displays the corresponding client’s name on our Land Status Automated System. ETS Acct - The ETS Acct column indicates if the client has an ETS account. If the client you select does NOT have an ETS account, inform the specific client to apply for an ETS Account. Address - The Address column displays the Official Service Address according to the Records of the Department for each client. Select – Click on this link to select the client involved.

Page 27 of 31 Note: Searching by land will take longer than searching by either of the previous search options, especially if you choose to search a large area. Use this option when you can identify the land description by specifying the Meridian (M), Range (Rge), Township (Twp), Section (Sec), and Quarter Sections (QS) or a range of land keys. All fields, except for the QS field are mandatory. You MUST enter a land description in both the From and To fields. You may search across multiple ranges or multiple townships or multiple sections, but you may NOT search across multiple Meridians. The Search by Land key searches from the North West co-ordinate to the South East co-ordinate of the land keys provided, and searches within the squared off boundaries of these land keys. Page 30 of 31 The Activities Found screen will display all the activities found in ascending Activity Type and Activity Number order. The Pending column indicates if there is an assignment pending for the activity displayed. An Assignor's(s) undivided interest is locked once the assignment is in Pending status. The Land column is the lowest Meridian, Range, Township of the assignment. Search Activities – Activities Found Screen Activity (all) - Putting a check mark in the box at the top of the screen will select ALL activities. Activity Number - To display the Activity information, click on the activity number. Assignee Information - Clicking on the ‘+’ will show the assignee information. Assignee Information - Clicking on the ‘-’ will hide the assignee information. Activity - Putting a check mark in the box next to the activity number will select that activity. Assignee Information - This is the assignee information that is shown when clicking on "+".
