1 Guide to data collection A look at why now… and why us.

2 Data Collection Why do we do it? We don’t collect data simply for the sake of collecting data It is a means to an end Data can be used to create, prove or disprove a theory in mathematical terms, for example: Music’s next hit…. Virus patterns…. or Staffing levels.

3 Accurate staffing information at the interval (30 minute) level is important to Staffing Analysts because…. It wouldn’t make sense to have all of your customer service agents working Monday through Friday 8am to 5pm… …if your customers are calling you on the weekends.

4 In order to successfully collect data, we suggest that a formalized data collection plan be implemented early on in an improvement project. The ITN sys data collection plan consists of the following general phases: 1.Pre-collection activity – during this phase we work with key stakeholders to agree on goals, target the data to be used, create definitions and generally formalize methods 2.Collection – during this phase, a data warehouse is created and recurring data refreshes are set up 3.Present Findings – This is the final phase where the data is visually presented with some form of automatic sorting to facilitate analysis 1.Pre-collection activity – during this phase we work with key stakeholders to agree on goals, target the data to be used, create definitions and generally formalize methods 2.Collection – during this phase, a data warehouse is created and recurring data refreshes are set up 1. 5 Pre-collection activity phase Timeframe and expectations The first pre-collection activity step in our data collection process is to determine what the goal is….ie: What is the company trying to solve for Are there questions that need to be answered, but there isn’t the visibility to answer them Is the frontline struggling to answer their own questions which requires un-needed work from support teams Next, the data to be used in meeting the goal will be targeted If data is to be collected manually, “flat files” may need to be discussed in order to facilitate data capture If data is already housed in an existing system (CMS, Web Service), “data pulls” may need to be considered Pre-collection timeframes can vary depending on the complexity of the data and the possibility of multiple data sources If data to be pulled is extremely complex and will need weighting or manipulation prior to viewing, definitions and method formalization may take more time

6 Collection phase Timeframe and expectations Depending on the method chosen to collect the needed data and create the data warehouse, this part of the process may take place either… On Site: In the case of existing data warehouse systems located on site (CMS, Web Service) much of the collection process will occur on site ITN sys will work with local IT teams if needed to ensure data pulls do not negatively impact current system processes During this time ITN sys will create the connections needed and will ensure date/time intervals don’t interfere with any existent data pulls Off Site (ITN sys): If the need for “flat files” is determined, most of the collection prep work will be done at ITN systems We will work with the parties who will be filling out the files to ensure we take any needs into consideration such as level of data available or automation needs

7 Present Findings phase Timeframe and expectations During this phase, ITN sys will utilize the data warehouse to produce the views decided upon during the initial Pre-collection phase Most of the work done during this phase will be done at ITN sys Some On Site visits may occur to gather directional feedback or for progress report meetings These meetings can be set up by ITN sys or by the company as needed Views produced during this phase can consist of: One time reports to help establish baselines or prove out business theories Pre-made or “Canned” reports that can be generated on demand Ad hoc ITN sys can create ad hoc reporting when needed by using our follow-up service form on our website Local teams can be given access to raw information and can create ad hoc reporting of their own

8 Do you have a good system but don’t know how to fully utilize it? With a little training your team would be fully capable of providing the views you need with your current system. Does your current system work for your needs? Do you frequently find yourself struggling to find the answers you need to run your business? Do you have a data collection system but no way to customize the information it gathers? Volume Predictions Do we have the right amount of people working in the right place and the right time? Time Management Are our employees being utilized to their fullest extent? Quality Assurance Do we have a way to track and trend our employees performance as a way to hold them accountable? Possible blind spots...
