3 The DD Suite Dashboard: Council Activities Module
Setup: Select Add New Activity The project number will be assigned by your Executive Director. Begin entering information on the project. To update the project you must close the project after setup returning you to your dashboard. The project will now be seen as a link that you can select and update narrative by period and performance measures. The project can be edited until your Council’s Program Performance Reporting procedure begins. At that time you should enter “100” in the Percentage Complete box.

4 Setup: What needs to be entered?
Project Number: Assigned by Executive Director Project Name: This name will appear in the federal Program Performance Report. Start Date/End Date: Actual dates of the project. Council Funds: Internal use only. Match Funds: Internal use only. Primary Project Activity Type: Select one from a list determined by the Administration for Developmental Disabilities. Federal Area of Emphasis: Select one from a list determined by the Administration for Developmental Disabilities. Note: “If Other” then specify.

Committee/Workgroup: Internal use only. Council Liaison: Internal use only. Primary Staff: Person with overall responsibility for project. Additional Staff: Additional staff contributing to project. Percent Complete: Can be updated as needed. Should read “100” at close of fiscal year to be included in federal Program Performance Report. Project Goal: The goal of the project. This will appear in the federal Program Performance Report. Collaborators: Select as needed. Note: If “Others” then up to four may be entered separating each with a comma.

6 Updating A Council Activity: What needs to be entered?
Each Council during initial setup of the DD Suite determines the number of reporting periods desired. Council Activities can be updated or edited at any time. In general many Councils consider each quarter of the fiscal year as a period. For example: Period 1: October 1 – December 31 Period 2: January 1 – March 31 Period 3: April 1 – June 30 Period 4: July 1 – September 30 Generally, Council Activities begin and end within a fiscal year. For those Council Activities that are repeated every year, they begin anew the next year. Council Activities may be one time or short-term projects. They should be reported in the timeframe (period) they occur. Performance Measures should be reported as data is collected. Each time a user updates a Council Activity the system will order the Performance Measures by period, Area of Emphasis, and measure number.
