2 Starfish at Erie Community College
A collaborative effort between the Faculty and Student Support Services at ECC to increase student success and persistence. Goals Communicate quickly and efficiently to students and staff. Provide holistic services to students . Prioritize student needs based upon level of risk. Outreach to students in a timely manner and provide appropriate tools and resources for success.

3 Early Warning & Student Tracking System Process
Starfish Solutions Student concerns can be manually flagged when observed, or through Progress Surveys completed by faculty and staff. Automatic flags are raised based on online grade book data. Recommendations are communicated to the student. Appropriate Support Services are informed of flags raised and provide outreach. “Close the loop” with faculty when progress is made. 4 Current Flags Flag Name Description Academic Research Resources
Raise when student needs help developing skills in academic research, including assistance with identifying scholarly sources, assistance with research projects, or navigating electronic academic databases. Attendance Concern Raise when a student isn't attending class regularly and you believe their academic success is affected by the attendance concern. This flag is included in the Week 3 Progress Survey. Please provide a comment detailing the attendance concern. Course Materials Concern Raise if the student does not have the required course materials. The flag will be available to the Library, Department Chairs and Heads, and Academic and Student Affairs Leadership teams. Poor Performance Raised when student is not meeting course requirements/expectations.

5 Current Flags Missing Assignments
Raised if student still has time to complete assignments. Provide details for student followup . In Danger of Failing Concern Raise when a student is in danger of failing a course. Provide details on whether/ how the student can avoid failure during the remaining term. The student is immediately notified of the concern, as are any support offices with which the student is associated. Participation Concern Raised when student is not participating/contributing to class as expected by course guidelines.

6 Student Raised Flags- Raise Your Hand
I Need Help Student selects this option when they need help for a personal (non-academic) or general concern but doesn’t know where to start. I Need Help in a Course Students select this option when assistance is needed in a course. Instructor and the appropriate support services will be notified. I Need Help Paying for College Student selects this option when assistance with financial concerns is needed. I Need Help with Technology Raised by student who needs help using ECC Technology such as MYECC, Blackboard, Starfish and online resources.

7 Current Kudos Kudos-Keep up the Good Work
Raise this kudos for students who are performing well. Kudos-Showing Improvement in a Course Raise this kudos when a student has shown improvement. Kudos- Exemplary Effort Raised for students showing extraordinary effort, regardless of performance outcomes in order to provide positive feedback.

8 Role Activities and Expectations
Instructors Raise flags when appropriate. Submit Progress surveys within the expected timeframe. Comment on flags when necessary. Academic Advisors/Student Services Staff Receive notifications from Starfish and outreach to student Record follow up actions in Starfish: Add notes Clear flags Students Receive and read notifications when flagged. Contact appropriate support office and Instructor. Follow up on recommendations. Everyone Complete your Profile so students know more about you. Use your dashboard to track student progress.

9 User Basics for Faculty and Staff
Configure your profile: Update contact info., notifications, and information you want to share with students/staff. Understand your Role(s) in Starfish and use appropriate Connection for tasks you are completing. Find your Students list and tracking items. View a student folder. Raise/Clear a flag or kudos, add comments/notes, messages to student, update and clear as needed.

10 Configure Your Profile
Click Profile in the top frame navigation. Edit your contact information. Select the address where Starfish notifications should be sent. Click the Save button. Students will see your profile information when they view their Success Network

11 Email Notifications Go to Profile. Choose Email Notifications.
Select preferences for type of item and when to send. Click Save . You can change your notifications settings at any time.

12 How to Find Your Students
Click Students in the top frame navigation. Search for a student by… Typing the student’s name into the Search field Choosing your Connection to them To organize your student list by flag, select the Tracking tab. You can sort the list by flag name and/or flag status. You can clear or comment on flags from here. To clear multiple flags at once from the Flags tab: Check off the boxes to the right of the flags you want to clear, then click the Clear Flags link at the top.

13 View a Student Folder From your Students list, click the hyperlink of a student’s name. This brings you to the student’s folder. Depending on your level of access, you will find information on… Grades (past/current) Notes (you added/shared with you) Tracking history (raised/cleared) From the student folder you can… Raise/clear a flag Add a note, update a flag Anywhere you see a student’s name as a hyperlink will take you to their student folder.

14 Flag Permissions Your Role in Starfish has been established and determines what flags and information you can raise, view and manage. Your Connection to students will determine whether you will receive an notification when an item is raised. **Please see APPENDIX B of the Starfish Training Manual for disclosure of who raises, views, manages, and receives an for each tracking item**

15 EXAMPLE Progress Surveys
Faculty will receive s containing links to surveys for each course they teach, prompting them to complete a Progress Survey at weeks 3 and 7. Simply check the appropriate boxes and click Submit to raise flags. No flags to raise? Hit submit to record your response to the survey. EXAMPLE
