3 Objectives Through this tutorial, professors will gain an understanding of how to perform the following actions in the new SmarterProctoring system: Adding an exam Monitoring student progress Adding a special accommodation Allowing an exam re-take

4 How to add an exam

5 First, create the exam. Then select the SmarterProctoring link under Tools or Tools and Resources.

6 The SmarterProctoring Course Dashboard screen is now shown.
Select the New Exam box to add the exam.

7 The Exam Details screen is now shown.
The professor can begin by entering the exam name and a short description in the appropriate fields.

8 The Suggest Times switch can be left in the off position.
Now, the professor can select the exam duration and then copy and paste the password that was used when the exam was created.

9 The Exam URL field is required to proceed
The Exam URL field is required to proceed. Professors can either copy and paste the URL for the exam, or input the following link if it is a paper exam (or if the link is unknown):

10 Consecutive Attempts Allowed refers to the number of times that a student can take an exam in the same sitting. If all students in the course will be allowed to have another attempt, we recommend creating a separate exam in SmarterProctoring and calling it “Retake.” For a student that may need to retest due to an extenuating circumstance, please refer to Slide 42: How to Allow an Exam Re-Take.

11 The Date Settings area has been updated in the new system
The Date Settings area has been updated in the new system. Now, professors can simply enter when the exam will begin in the Exam Opens field, and when it will end in the Exam Closes field.

12 The Scheduling Window is a new feature that can be selected if the professor would like for students to make their test appointments by a particular date. This is optional though, and may be left in the off position. When finished, the professor can select Continue to proceed.

13 Now, the professor is taken to the Permitted Items screen, where allowable items can be toggled on or off. After an item is toggled on, a dialogue box appears underneath. Further information can be added, but please note that there is a limit of 255 characters.

14 As in the previous system, any items not listed under the Permitted Items area can be manually entered in the Other Items field. Please be specific with what you will allow your students to use. When finished, the professor can select Continue to proceed.

15 The Notes screen is now visible
The Notes screen is now visible. Notes for students and notes for proctors can be entered into the appropriate fields. Please make sure to include your contact phone number in the Notes for Proctors area in case our proctors need to call you.

16 Test proctors will be able to see information from both fields, whereas students will only be able to see information from the Notes for Students field. When finished, the professor can select Continue to proceed.

17 The professor is taken to the new Proctor Settings screen.

18 The Require Approval area asks you to approve or deny proctors
The Require Approval area asks you to approve or deny proctors. This is not necessary though, since we at Distance Learning Proctored Testing use our own FSCJ test proctors. Therefore, we recommend leaving this area defaulted to No.

19 The Testing Centers in the Proctor Types area are defaulted to the on position and are not able to be edited.

20 Approved Individuals are selectable
Approved Individuals are selectable. However, FSCJ will approve or deny any proctors that a student not living in the Jacksonville, Florida area may choose through SmarterProctoring. For this reason, we recommend leaving these options in the Off position.

21 Finally, enabling the Live Online Proctoring button under the Virtual Proctoring area will allow your students to use B Virtual. Please recall though that this option is only for electronic exams – not paper exams.

22 When finished, the professor can select Continue to proceed.

23 The last page is Attachments, where the professor can add formula sheets, writing prompts, or any other paper materials that students will be able to use on the test. The professor can select Skip to bypass this step, or add attachments and select Upload attachments.

24 Upon leaving the Attachments page, the professor will return to the Course Dashboard where the exam will be in “Pending Approval” status. We at Distance Learning will then review the exam and either approve it or recommend changes.

25 Monitoring student progress

26 From the Course Dashboard, professors can tell if students are ready to test, still need to schedule, or have completed testing. To monitor a particular student’s activity, select the View Exam button.

27 Students who have logged into SmarterProctoring will appear in the Student Overview area.

28 Professors will be able to monitor their students’ statuses from this area.

29 If a student cancels an appointment a “+” will appear to the left of his or her name.
Once expanded, the professor can select View Session Details from the dropdown menu under the Action area.

30 Further information is displayed from the Session Details screen.

31 How to add a special accommodation

32 If a student needs extra time to test or needs to test earlier or later than the original dates, the professor can enter an exception (now called a “special accommodation”) in SmarterProctoring. To do this, the professor can login to SmarterProctoring and select View Exam under the appropriate exam.

33 Next, under the Student Overview area, the professor can select the Add special accommodation option from the dropdown menu under the Action section.

34 Now in the Special Accommodation menu, the professor can input any changes (such as extra time) in the Duration field.

35 When finished, the professor can select Continue to move through the additional screens, making changes as needed.

36 Upon submitting the Special Accommodation, SmarterProctoring will return the professor to the exam screen. The accommodation will be indicated in the Notes section of the Student Overview.

37 If it is discovered that edits are needed, the professor can choose the Edit Special Accommodation option from the dropdown box in the Action area. Please note that the Special Accommodation will be sent to Distance Learning for Approval.

38 How to allow an exam re-Take

39 To allow an exam re-take, login to SmarterProctoring and select View Exam under the appropriate exam.

40 Note that the student must be in “Closed” status
Note that the student must be in “Closed” status. The professor can select Add Special Accommodation from the dropdown box under the Action area.

41 Now in the Special Accommodation screen, the professor can change the number of Consecutive Attempts Allowed to 2.

42 When finished, the professor can select Continue to move through the additional screens, making changes as needed.

43 Upon submitting the Special Accommodation, SmarterProctoring will return the professor to the exam screen. The accommodation will be indicated in the Notes section of the Student Overview. The student can be notified that the exam re-take is ready, and a new testing appointment can be made.
