4 1.0 Introduction Furniture Maintenance Management is keeping objects in proper condition, in a routine, scheduled or anticipated fashion to prevent failure and/or humiliation. This furniture ranges from Ergonomic chairs, Office desks, Ordinary Chairs, Office cabinets.

5 KenGen has No policy on Furniture Management.
2.0 Problem Statement Laxity of furniture maintenance as they are left unmaintained and allowed to go beyond repair. There is no real time tracking of Furniture movements. KenGen has No policy on Furniture Management. Focus is more on repair than periodic checks and maintenance.

6 3.0 Proposed Solution 3.1 Objectives To ensure that furniture is maintained and in good condition To ensure that the Company assets are operated efficiently and effectively To ensure Cost reduction To ensure Compliance of Health and Safety Improve Company Image Ensure staff work in a Conducive environment.

Identification & Analyzing of requirements Top level analysis Data gathering, Alternative methods analysis & Evaluation Identify Appropriate resources needs for providing service. Developing solutions Finding the best option. Identify and establish effective and manageable processes for meeting those needs Implementing solutions Putting the plan to work. Programmed routine maintenance. Service delivery (in-house vs outsource), forms of contracts, monitoring & control systems.

8 3.3 Methodology Computer-Aided Facilities Management (CAFM)/ Computer Integrated Facilities Management (CIFM) - to help in tracking. Asset Management – proper catalogued and monitored. Planned Maintenance – have a budget Health, Safety and Environmental Management - safe working environment and compliance with legislation. Scheduled Inspection Reports Statutory Report – Life span standards before disposal. Corrective maintenance – Replacement Maintenance repairs and contract management

15 4.4 Benefits Extend Furniture life/increase life span of the Furniture. Enable cost-effectiveness working processes and time spent in procuring new furniture within the Company. Integrate Company information into one Software platform - maintenance schedule. Increase the overall Efficiency of an organization. Monitor and maintain complete Compliancy - ISO standards, EMS Reduce Capital repairs Realize life-cycle, furniture that meet the design goals & improve company image.

16 5.1 Recommendation/Way Forward
Develop a Policy on Furniture Maintenance Management. Need to adopt Planned Routine Furniture Maintenance. Explore ways in which SAP can trigger Furniture Maintenance. Incorporate Facilities Management (FM) in the current Administration Structure.

17 5.0 Conclusion Furniture replacement should be done after a period of 5 years based on the employee’s needs. Timing of procurement and standardization of furniture should be looked upon. Some of the furniture have depreciated on value hence the need for replacement.
