….A Highly Caffeinated Approach Communications Messaging Classifications INTERNAL EXTERNAL ESTABLISHED PROCESS (SOCIALIZED PROTOCOL) Planned communications among executives, staff, and stakeholders inside the organization, following the company’s chain of command. s (process), Governance Meetings, Training (Mandatory), Policies and Procedures, Formal Reports, e.g., Lessons Learned, Requests For Action, or Information, Face-to-Face, All-Staff Meetings, Presentations (Mandatory Attendance), All-Staff Meetings, Executive Messages , Memos, Employee Handbooks. BASIC PROCESS, INFORMATION-DRIVEN (NO FORMAL OPENING/CLOSING) Planned communications with outside entities and/or stakeholders outside the organization. Newsletters, s, Press Releases, Stakeholder Briefing, Reference manuals, product literature, studies, white papers, brochures, Company Magazines, Conference Calls, Interviews. FORMAL ESTABLISHED PROCESS (THOUGH CHANGEABLE) Casual communications among staff/stakeholders that do not follow the company’s chain of command. Training, Open Campus, s, Blog , Phone calls, Face-to-Face Conversations, SharePoint Web Pages, Signage (the Organization’s Vision, Mission, Core Values Posted), Intranet, Hard Drives (Archive),Team Meetings, Surveys, Town Hall, Workgroups, Advisory Groups, Presentations, Webinars. INFORMATION-DRIVEN (NO FORMAL OPENING/CLOSING) Casual communications with outside entities and/or stakeholders outside the organization. Web Page, *Social Media (Blogs, Facebook, LinkedIn, Twitter), Intranet, s, Agency Events, Outreach & Education, Trainings, Face-to-Face Conversations, Phone Calls, Meetings, **Advertisements, Interviews, Speeches. . *Social media editorial calendar may be utilized. **Media buy schedule may be utilized. INFORMAL HOW COMMUNICATION FLOWS 1. Downward. Communication that flows from upper to lower (such as manager to employer or superior to subordinate). 2.Upward. Transmission of messages from lower to higher levels of the organization (such as communication initiated by subordinates with their superiors). 3. Horizontal. Flow of messages across functional areas at a given level of an organization (this permits people at the same level to communicate directly). INFORMAL COMMUNICATION DEFINED Those communications arising outside of established channels. COMMUNICATION CHANNELS DEFINED How information flows within the organization, and the media utilized to disseminate that information. FORMAL COMMUNICATION DEFINED Communications process established in writing, with affixed responsibility.
