Change Process communication plan: Google Education

Introduction The change process created by team c brings an upgrade to the Google search engine that allows k-12 students to have access to research and tutorials that provide standardized testing strategies. This presentation provides an in depth communication strategy for the change proposal process which discusses: The objectives of the communication change Target audience Procedures for sharing the communication plan Frequency of the communication An evaluation of the communication plan

Objectives The objective of the communication strategy will be:
establish the team that will be selected for google education. Engage the stakeholders. Inform the company of the changes. Relay details of organizational realignment. Provide timelines and resource changes. The communication plan is meant to create a target audience for the new change. It is not necessary for the entire company to be involved in the physical change. However, there needs to be transparency so all employees have the ability to provide input and be educated. Providing transparency creates a same page environment and strengthens positive employee morale. The communication to the target audience will display what is happening at all times. There is an organizational realignment that needs to be identified and communicated throughout the process. The communication cannot be public until the change in the search engine is complete.

Target Audience The target audience for this communication plan will be the entire company, the implementation team and stakeholders. Specific details for physical change such as the technical aspects will be given to the selected implementation team who will be making the change. The public will only have access to the information once change is fully implemented. Google employees need to be fully aware of the change and educated on how valuable the resource will be to the public. When considering the target audience it is important to remember the change that is being presented is an update to the current Google search engine that allows K-12 students to have access to valuable research that is consistent with the standardized state testing. Everyone in the company needs to know what the search engine does and how it will help students globally since Google is an international company. However, only the team making the physical changes will have communication about technical instructions and changes. This means there will be 2 distributions to eliminate frustrating chains and confusion.

Target Audience descriptions
Stakeholders Implementation team Stakeholders can be internal and external. Stakeholders have a vested interest in the project and its success. As a target audience for this change project the stakeholders of focus will be the employees, executives and shareholders for google. The implementation team is the team that will be making the physical changes to implement the search engine. Specific communication will be shared with and within the team to ensure the success of the change.

Procedures for distribution
There will be two distribution lists for the communication about this change process. The distribution will be paperless. The primary source will be . The implementation team making the technical changes and testing of the search engine. The company including the stakeholders will have a separate communication in order to provide transparency and limit communication. Sharing and distribution of this communication plan will be company wide. The communication will be limited to information needed. It is important that the communication for each group to be strategic. While the company needs to be completely transparent about the changes, over communication about specific details may cause confusion and frustration. The thought of using social media for a primary source of distribution is trendy, yet not conducive to this type of change. Social media can be used for public announcement.

Modalities The modality of communication used will be email.

The must be delivered to everyone on the distribution list once the project starts and every time and update or change is made. Any employment realignment changes will be discussed in a general manner offering opportunities for positions available. Removal of employees should be communicated with explanation to the company. When the time comes for public announcement, social media can be used to provide details to the public. The frequency and forms of communication should be consistent with the expected transparency of the executive teams. There will be realignment of organizational changes that need to be communicated. Communicating these changes will help employee morale as long as the changes are explained and opportunities are provided.

Evaluation of communication plan
Upon completion of the added function of the search engine, a survey should be sent to the entire company. The survey should be evaluating how much each employee knows about the new application. The survey should also ask how employees felt about the frequency and the modality of the communication. Questions that should be on the survey would be: What is the name of the new search engine update? What is the target audience of the search engine update? How is the search engine accessed? Did you receive enough communication about the search engine change? Was an effective means of communication? The evaluation of the communication plan by the target audience will establish how effective the company was able to communicate the change created. It is important that the entire company complete a survey on how well the understand the new change. The change facilitator will want to know if the changes created impacted employee morale. There should be an opportunity on the survey to discuss any negative changes to employee morale.

Initial communication
An initial engagement will be sent to the target audience and stakeholders. The engagement will express: the details of the change why it is important. The effect of the change on resources The timeline for the change The initial engagement is a way to let everyone know what we are doing with this project. The communication will establish communication methods going forward so everyone knows what to expect. The goal is to make sure everyone is on the same page.

August 5, 2017 To: Google Corporation, google corporation stakeholders From: Change process team Regarding: new search engine change, Google education. Hello team, Effective august 8,2017 google search engine will undergo construction. A team will be assembled starting with the current google university team. There will be opportunities for employee change. Since the new search engine will require educators to oversee the content included in the search engine, current employees are encouraged to apply for the new team. Employees who are current members of google university who do not have teaching credentials will be asked to be replaced or relocated. The google education search engine will allow K-12 students to search online and find tutorials and content in line with state standardized testing. This will be an update to the current google search engine to select k-12 students. The content found will assist students with tutorials and content that can be found on state standardized tests. The project time line will be a 3 month time frame. August 8, 2017 the team will be assembled and communication will be sent. Once the team is assembled the technology will be updated. The last month will be the testing and revamp phase. Once the project is complete a survey will be sent to confirm the effectiveness of the communication. We encourage stakeholders to test all beta samples and provide feedback. Beta samples will be sent weekly to ensure the efficiency of the new update to the search engine. There will be no change to financial resources since the realignment will move employees from within the company and or remove and replace employees that will not be effective to this project. One goal of the communication strategy is to promote positive employee morale. As a result, we encourage employee movement rather than employee replacement. Change process team

Conclusion The change process communication plan will address 2 specific target audiences ad well as the company. The goal is to communicate the change to google, which will be an update to the google search engine. The distribution will be via to the target audiences. There will be an initial communication that will provide details for the new change. The change process communication plan will address the implementation team, company and stakeholders. Once the initial engagement has been sent the team will be established and the project will start. There will be consistent communication until the project is complete. The distribution as well as modalities have been established. The consistent communication will keep everyone on the same page.
