2 Most Frequently used forms and reports in Schedule Plus
- Schedule by Course - Schedule by Faculty Reports: - Staff Assignment Sheet Individual (SAS) - Staff Assignment Sheet by Group - Preliminary Master Schedule (PMS) - Course Schedule by Room. Only used course schedule by room report during schedule building time. After CRNs are issued, please use Banner. Why? Event Scheduling books event in Banner.

3 2019 Summer/Fall Timelines
Important Dates January 7, 2019 – Schedule is due to the Dean’s office and Support Staff -What should be done? February 7, 2019 – Priority room Scheduling deadline February 26, 2019 – Schedule Plus is locked - Schedule should be final, this is not a draft. (Dean’s support staff no longer has access to make changes) April 4, 2019, Priority registration begins and instructional classrooms are released to event scheduling.

4 Preliminary Master Schedule (PMS)
Information needed on the PMS when you submit it to the Dean’s office -Course – must be approved by the State Chancellors’ Office/COR to schedule -Dates – follow approved dates from timeline, any dates outside the timeline must be approved by VP Liz Rozell. -Days/Time – Must use Schedule Block Patterns -Classroom – Use priority room scheduling list ( ed on 11/30) -Maximum Enrollment/Waitlist. Keep in mind large load adjustments. -Payroll hour (POL or XP FTES) Calculation: Course approved hours divided by 18 week semester equals payroll hours. HIST B17A COR approved for 54 hours of lecture, 3 units (54 hours/18 weeks = 3 weekly student contact hours = payroll hours/week.)

6 Staff Assignment Sheet (SAS)
SAS need to be reviewed and corrected prior to Schedule Plus being closed. (2019 Summer/Fall date is February 26) Full Time Faculty: -Update all comments to current semester -POL should be per contract -Maximum banked load is 1.5 FTE per contract -Maximum load per semester is 1.67 unless there is a agreement signed by VP Liz Rozell -If there is an overload there must be a comment on the SAS if it is to be paid or banked. If faculty select XP pay then any load above 1.0 should be moved to XP FTE If faculty select Banked then all load should be on the POL -Faculty must be cleared by HR prior to making the assignment

7 Adjunct faculty: - All load should be listed under XP FTE - Load should not exceed .67 FTE unless there is a agreement signed by VP Liz Rozell. - Adjuct faculty can’t bank any load - Must be cleared by HR prior to making the assignment

9 THINGS TO BE AWARE OF: - Payroll uses Schedule Plus as an auditing tool - Only one upload can be done from Schedule Plus to Banner Class schedule change forms are used to make changes to the schedule after the upload Our practice is that once the schedule is loaded to BanWeb any changes to dates, times, days of weeks and campus is a cancellation and addition of a new CRN Short-term sections will roll into the new term with the default full length semester dates.   Short term classes use the actual start and end dates --   example, a class that is scheduled the first 8 weeks of the semester on TR will have a start date of 8/27/19 and end date of 10/17/2019.

10 FIVE MOST COMMON ERRORS
Duplicate section numbers – The system will issue only one CRN with multiple instructors - Part of Term and Location do not match – may affect students’ fees - Session ID# for lecture and lab, lecture should be 1 and lab should be 2. Banner comment must be entered on session ID# 1 - Classroom conflicts within the same department. Please do not override unless you know is a valid conflict Instructor conflict – faculty scheduled for 2 different sections and the time overlaps. Keep in mind travel time between locations

11 FOR YOUR INFORMATION - Grades will roll on 5/16/ Second Grade roll will be 5/30/ Updates to Academic Standing - Impact: Summer School 1st 4-Week Session starts May 20, only schedule courses with no prerequisites in this session
