2 7.1 Facilitation Guidelines: Task Force First Meeting
Preparation: Plan to replicate an integrated 2-hour version of the first and second meeting of the change team. Icebreaker: It helps to have an activity that can help people to ‘shift gears from work to training’ while waiting, e.g. Provide them with blank paper and markers. Have a sign instruction to draw a doodle representing their day at work and how they are arriving to this meeting today. Welcome & Overview: Welcome & thank them for coming. Introduce yourself using your doodle. Go around the circle for everyone to do the same. Sharing Values: Provide participant with a card and a marker. Ask them to think of a personal value they bring to this work and that they consider is key for authentic change. Give them some individual time. Explain that each person will be asked to share her/his value and place it on the center piece. Ask for a volunteer to start the circle share. Setting Guidelines: Take a moment to acknowledge the importance of sharing values to help the group set their own conversation guidelines for the work to come. Propose the CT conversation guidelines for this purpose and open the space for participants to confirm guidelines as they are, add or modify these as it best fits their shared values. Clarifying expectations: Give participants some time to write down expectations for the work they envision to do together as task force. Facilitate a circle share. Aligning expectations to MCOD Change Plan continuum: Present the strategic recommendation as the organizational framework for the group and contextualize the taskforce work in the MCOD Change Plan continuum. Spend some time explaining the plan and open the space for questions. Give the group a break before continuing to the second part of the meeting.

Putting first things first: Facilitate a conversation for the group to identify up to 3 priority actions that are best aligned to their organizational mandate, windows of opportunity and important dates as identified in the MCOD Change Plan in progress. Give them some time for this task. Facilitate a conversation to agree on priority actions. Clarifying Expected Outcomes: Have the group identify and agree on expected outcomes for each priority action. Identifying community experts for support: Facilitate conversation on the possible need to invite community experts to better respond to their organizational mandate. List potential names and work on integrating these as part of expected outcomes. Map tentative delivery dates: Use the MCOD Change Plan continuum to integrate tentative delivery dates. Match Tasks & Members: Divide the group in two. Have one group chart tasks for each priority action. Have the second group chart tasks for the best functioning of the taskforce. Provide a way to record and later report these charts (flipchart, markers, or laptops if available). Have every group report and ask members to listen with the intention of identifying tasks that they be responsible for. Plan your next meeting: Facilitate the group to agree on a date for a following meeting and a way to update each other in the process (e.g. ). Closing Circle: Ask participants to share how they feel at the end of this meeting and anything they want to share with the group as they continue to move forward.
