In the event of an emergency, the type of situation will determine what steps you follow.

Give correct information to apartment maintenance/proper department What’s the problem? When did it start or happen? How did it happen? What is/was the situation? How serious is it? Follow up on your apartment issue Always express thanks for maintenance/department help

Stay CALM! Call I know this seems like a no-brainer, but this step is very important! The authorities will not only assist you with the issue, but can also provide you with important legal documentation that you will likely need in the future. Notify surrounding residents Fire Emergencies

Notify the resident. Your resident may not be home at the time of the fire. Notify PMT. PMT will assist you with the who, what, when, where, & why. RENTER’S INSURANCE - Can’t stress enough the importance of valid renter’s insurance. This could be the difference in your property paying hundreds of thousands in damages or someone else. Keep in mind, the fire will likely affect multiple residents. Generally, the person responsible for the fire will be asked to vacate the property. Relocation of other affected residents should be expected. Negligence is the #1 cause of home fires. Smoking Candles Cooking Fire Emergencies

8 Begin the clean-up process
Sample 4 Once the unit(s) has been released back to you, it’s time to clean-up the mess. Now is the time to begin getting bids for repairs. Again, keep in mind that multiple units may be affected. A company such as Serve-Pro may have to treat units with smoke damage. Begin the clean-up process

The police will not be of much help to you here. You can forget about calling 911. Call maintenance to wet vac if necessary. Or if the problem is substantial, you may need to contact your carpet extractor / cleaner. You will still need to notify PMT. You may still need to notify the resident (in cases where they are not at home). Renter’s insurance is once again very important here. The insurance company will handle the relocation of a displaced resident. The clean-up process is handled the same. Bids for repair or replacement are forwarded to PMT for approval PRIOR to having work done.

10 Sample 6 Break-In Emergencies Crime has no address.
A break-in, whether it’s the leasing office or a resident’s unit, quickly becomes a big problem for everyone involved. In the event of a resident’s unit burglary: Can you guess what’s also important here? _ _ _ _ _ _’ _ _ _ _ _ _ _ _ _ _ !!! Word of mouth travels quickly in the event of a break-in. Be ready to answer questions from other residents. Remember: Crime has no address.

11 LEASING OFFICE BREAK-INS
Sample 6 Break-In Emergencies Criminals break into leasing offices generally to steal checks & money orders. Checks are a little easier to handle than money orders. With a check, the resident simply calls their bank, issues a stop payment on their check and write us a new check. In this case we will be happy to credit their ledger for any fees associated with the stop payment. *with proof of stop payment fee. LEASING OFFICE BREAK-INS

Sample 6 Break-In Emergencies Money order stop payments must be submitted in writing directly to the money order issuer. There is generally a fee associated with the stop payment. The turn around time is also much longer on a money order replacement, which is typically 30 days. The same procedure applies for reimbursement of these fees. Money order stop payments

13 Sample 3 Regardless… In either case, it is necessary to report the incident to the police. We cooperate with any investigation. Be prepared to provide camera footage, if available.

The death of a resident is a difficult time for everyone. You must be prepared to deal with the authorities, family, friends, etc. Do not do wellness checks alone (if at all). Always take another member of staff with you. Upon notification of the death, it is very important that you only allow access to the unit by authorized individuals.

The police should also be notified in the event of staff discovering the death. Again, this provides us with legal documentation that may be needed in the future. This is a time to be respectful of the family and their needs, but keep in mind, we also still have to conduct business. We never want to take legal action against a deceased resident, but there are instances where this could happen. Ask yourself: has the rent been paid? What time of the month are we in? How long can I give the authorized person(s) to remove the personal belongings?

16 Sample 7 Death of a resident
In a perfect scenario, you have family members who will immediately clean out the unit and surrender the keys. If that does not happen, it is important to communicate with legally authorized persons with a clear expectation of their timeframe to vacate the unit. During these trying times, you may run into issues where friends or family simply can not or will not deal with the death and we have no other choice but to proceed with legal action to gain possession of the unit.
