3 Event Review/Approval
The Supervisor will receive notice of Event Review Approval requests on their Work Reminders tab. The Supervisor will need to click the Open button and thoroughly review the event information and the completed Recommendations. The Supervisor then needs to use one of the buttons below to respond to the Review task. If Accepted by the Supervisor, the Family Resource Manager will receive the final review request. They will also need to review the Event Recommendations. They will have the same options that you see below. Click this button to view a summary of completed tasks for this Event, including who completed the task and when. Click this button to send a Work Reminder to the staff who completed the Event requesting that it be edited in some way. You can use the Comment field to describe the necessary edit(s). Click this button to indicate that the Event and its Recommendations have been reviewed and that it is appropriate. This action will prompt the Recommendation summary window and the need to select Confirm and Submit.

4 Manage Services The Manage Services functionality allows supervisors to reconcile the service recommendations of an Event or to terminate services that a Family Resource no longer provides. Reconciling a service places the home in the DCF Resource Directory. The Supervisor will receive a Work Reminder to Reconcile Services. This occurs after the event’s final review is completed. The Services tab will show all services that need attention. These will have an Action button to the right.   Click the Action button across from the service that you would like to reconcile.

5 Manage Services Enter the exact Start/End Date for the service.  You can enter a date in the past (on/after the Event start date. ) but cannot enter a future date.

6 Assignment Assignment - This functionality will allow the assignment of one or more family resources to a family resource worker within a division/unit.  This functionality is only available to personnel with the Virtual Gateway assigned role of Family Resource Supervisor. Click the Assignment tab. Select the division/unit name of the current assignment. You may also select a worker from the Family Resource Worker dropdown to view a specific FR worker family resource list. Click Search. Under Select, click to place a check next to the Home that you would like to reassign. Select the Destination Unit, Family Resource Worker and Assignment Type. The assignment type will generally be Family Resource. A Pre-Adoptive assignment type would be used if a secondary assignment needs to be initiated for the purpose of a Pre-Adoptive license study.

Transfer - This functionality allows a family resource to be transferred to another area office, regional office or provider organization.  The ability to request the transfer of a home is only available to Family Resource Supervisors or above. Click the Transfer tab. Select the division/unit name of the current assignment. You may also select a worker from the Family Resource Worker dropdown to view a specific FR worker family resource list. Click Search. Under Select, click to place a check next to the Home that you would like to Transfer. Select the Destination: DCF, Provider, DCF Subsidy, DCF ADLU. The choice that you make here will determine the options that you will be provided with in the next step. The assignment type will generally be Family Resource. A Pre-Adoptive assignment type would be used if a secondary assignment needs to be initiated for the purpose of a Pre-Adoptive license study. Click Save to request approval.  The selected family resource will appear in the list of family resources with a “pending “ status.  An approval work reminder will be created for the assignment manager.   See next slide for screenshot of Transfer window.

8 Transfer Notes: You cannot transfer a home if there is an Event in process. Approval of a family resource home transfer must be completed by both the sending and receiving office/organization. Once the sending office/organization approves the transfer a Work Reminder will be generated for the receiving office/organization to complete. If the receiving office/organization denies the transfer, a denial acknowledgement request will be placed on the work reminders tab of the assignment manager who made the original request.

9 Assign Pre-Adoptive License Study
Important - A Pre-Adoptive License Study (PALS) assignment can only for completed for a licensed Family Resource that is now planning to adopt (one that does not already have an adoption license). Click the button next to the Family Resource to be transferred Choose the receiving organization and assignment type of Pre-Adoptive Home Study Once the Family Resource is transferred, the adoption agency has limited access to the Resource record – they can only process the dimensions in the PALS event and add to dictation. After the adoption agency approves recommendations for the Pre-Adoptive License Study, they click the end assignment button and that ends their access to the Family Resource’s record. The whole time the PALS assignment exists, the primary agency must continue to manage the Resource and has full access to their record. Ongoing home visits/dictation, events, etc should continue. This process used to be called “single service” and was done off-line. The PALS should only be completed via the web application. All documentation should be entered into the Pre-Adoptive License Study. For unlicensed homes that apply with the intent of adoption, complete an initial License Study with a pre-adoptive service. The Pre Adoptive License Study is only conducted as a supplement for an existing licensed Family Resource that is child-specific.
