2. Converting Carryover Vacation to ALRA
Under the Time and Absence module
click the Leave Reports tab.
Select the July Leave Report.
If you do not see the form, but feel you are eligible please wait as the form may not have loaded.

3. Note this form is not used to convert vacation to ALRA
**Note this form is not used to convert vacation to ALRA. It is only used to show eligibility.
Determine the amount of hours you are eligible to convert. This can be found at the bottom of the leave report.

4. Converting Carryover Vacation to ALRA
After determining you are eligible to convert vacation to ALRA:
Click Enter absence

5. Converting Carryover Vacation to ALRA
Entry instructions:
Start Date: Click on the calendar and select a date between 7/1 and 10/31.
Absence Name: Click on the down arrow and “Convert Vac to ALRA”.
End Date: Select the same date as your ‘Start Date’. 1 2 3

6. Converting Carryover Vacation to ALRA
Convert: Enter the amount of carryover vacation hours you want to convert to ALRA. You will receive an error message if the hours are not entered in whole hours. HRS will verify eligibility and availability before converting.
Click on Submit
Note: If you are eligible to convert more hours to ALRA than you have available only the maximum hours available will be converted. For example: If 40 hours are submitted and employee is eligible to convert 40 hours but only 32 are available, only the 32 will be converted to ALRA. You will receive an error message if you enter more than you have available. 4 5

7. Converting Carryover Vacation to ALRA
From the Request Absence Screen:
Click on View Absence Request History
On the Absence Request History Screen the request to convert will look like this:
*** Note when you look at the Absence Request History Screen, 1 hour will only be listed.
Click on the blue link ‘Convert Vac to ALRA’ to see the hours entered to be converted.
