Scans, Backups, Data Transfer to OFP Best practises 20-24 April 2015, Noumea, New Caledonia

2 Scanning Using SPC software SLOPS File naming
Organisation of documents Compression File Naming: the SLOPS Software automatically gives a proper name to the scan, according to chosen parameters in the interface (ex: will include the gear type in filename, if specified) Organisation: The scans are automatically stored into a hierarchical folder structure, Logsheet/Observer/Length Frequency/…, then by Flag of vessel, then gear type. Compression: Scans are compressed in an optimal way, depending on their quality. Importance of selecting the document quality on the interface: Good (Easy to read): means that the scan is visually easy to read. Therefore the scanning software won’t need to use the best definition possible, and will therefore create a smaller file Poor (light pencil, dirty, waterproof paper): these sheets usually need to be scanned at a better resolution to get a readable scan. This option need to be kept only for those cases as it will produce a heavier file Dark Original: The original sheet is already very dark. It will be scanned as is to avoid getting a result which is too dark/unreadable.

3 TUFMAN Backups Used in our online systems Scheduled backups
TUFMAN\BACKUPS folder Filename: TUFMAN_*.BAK Need to be zipped Scheduled backups: A scheduled process should have been put in place on your TUFMAN server in order to generate TUFMAN backup (every day) If not, please let us know Backups are usually located in this folder The file naming for backup is usually TUFMAN_*.BAK Zipped: backup are usually big and not very compressed file, using a utility such as 7-ZIP prior to sending the backup is required.

Data Transfers OFP Data Reception Dropbox Scans, Backups, heavy files No saturation Same address each time Reaches several persons Keeping track of data

5 Data Transfers Hard Disk Countries with big volumes
Hand carrying (meeting, attachment) Big volumes: Too big to send through the dropbox OR internet too slow, would take too long for such volume Hand Carrying: usually 2 HD in the loop for the country to always have one in hand, then we rotate HD
