1 FOM|UCPath Go-Live Prep For Managers Updated: November 10, 2017

2 GO-LIVE DATES Key Dates for All Employees:
Dec. 5 – At Your Service Online (AYSO) Blocked for Transactional Activity: After this date, AYSO will be blocked for transactions such as personal address changes, beneficiary changes, tax withholding changes, etc.  However, AYSO will continue to be available throughout the month of December for read-only activities such as viewing earning statements. For more information on AYSO & UCPath Portal, please click here. Jan. 2 – UCPath Portal and Employee Self-Service (ESS) Available to Campus: The UCPath Portal and ESS will be available to all campus employees on this date. The UCPath Portal is the gateway into UCPath for all employees. The UCPath ESS replaces many of the functions of AYSO for employees (such as viewing earning statements, view or update of W-2s, etc.), and allows employees to view & manage key information in UCPath. Key Dates for Departments/Org Units: Dec. 5 – Last Day for Monthly Employee PPS Data Entry: Following this date, changes for monthly employees will be unavailable within PPS. Campus departments will be able to begin entering transactions for monthly employees into ServiceLink on Dec. 18. Dec. 18 – ServiceLink UCPath Functionality Deployed for Monthly Employees: On this date new forms & workflows for all UCPath functionality will be deployed within ServiceLink, UCR’s new service request tool, and transactions can be entered for monthly employees on this date. Dec. 20 – Last Day for Bi-Weekly Employee PPS Data Entry: Following this date, changes for bi-weekly employees will be unavailable within PPS. Campus departments will be able to begin entering transactions for bi- weekly employees into ServiceLink on Jan. 2.

3 TIME & ATTENDANCE REPORTING SYSTEM (TARS)
The new version of TARS is scheduled to launch on December 12, 2017. Employees will be able to track intermittent leave time taken. Supervisors will be able to re-open and re-route the last monthly timesheet or the last two bi-weekly timesheets if a valid business justification is provided. Be sure to inform your supervisor immediately if there is a mistake on a previous timesheet so it can be resolved quickly. Supervisors are still responsible for approving their employees’ timesheets. The majority of timesheets will not route through a Time and Attendance Administrator (TAA), but will automatically be submitted to UCPath once the supervisor approves. If you use Kronos Jantek, or Telestaff to enter your time, you will continue to use that system in the future.

4 TIME & ATTENDANCE REPORTING SYSTEM (TARS)
December 2017 Timesheet Submission Deadlines Time Entry/Approval: If you enter the time you work to receive your paycheck, there are important deadlines in December when UCPath transition is planned: Biweekly (B1) Time Reporting Period: 12/17/17 through 12/30/17 December 13, 2017 (Wed) at 11:00 pm Employee timesheet submission cutoff. Employees should project time for December 14th and 15th December 14, 2017 (Thu) at 11:00 pm Supervisor approval cutoff January 10, 2018 (Wed) Pay Day (First biweekly pay check through UCPath).

5 TIME & ATTENDANCE REPORTING SYSTEM (TARS)
Employees paid biweekly: Biweekly (B2) Time Reporting Period: 12/03/17 through 12/16/17 December 14, 2017 (Thu) at 11:00 pm Employee timesheet submission cutoff Employees should project time for December 15th and 16th. December 15, 2017 (Fri) at 11:00 pm Supervisor approval cutoff December 27, 2017 (Wed) Pay Day in PPS (Last biweekly pay check in PPS) Due to campus closure, paper paychecks will be distributed on Tuesday (1/2/2018) when campus re-opens; however, direct deposits will be deposited on pay day (12/27/17) Biweekly (B1) Time Reporting Period: 12/17/17 through 12/30/17 December 20, 2017 (Wed) at 11:00 pm Employee timesheet submission cutoff in old TARS. Employees should project time for December 21st through December 30th December 22, 2017 (Fri) at 11:00 pm Supervisor approval cutoff in old TARS January 02, 2017 (Tue) Supervisors to Review Timesheets in New TARS for accuracy January 10, 2018 (Wed) Pay Day (First biweekly pay check through UCPath).

6 TARS TRAINING UCRTA100 - Intro to TARS for Employees: This course provides an overview on how to effectively navigate & submit time in the remediated TARS environment, including time worked and leave taken for both biweekly and monthly employees. UCRTA110 - Intro to TARS for Staff & Academic Supervisors: This course provides an overview for Staff and Academic Supervisors to effectively and accurately review, correct and approve employee timesheets in the remediated TARS environment and in compliance with new business rules and deadlines. UCRTA 120 Intro to TARS for Shared Services Centers: This course provides an overview of TARS business rules and other changes for Shared Services Center employees to effectively review timesheets and troubleshoot issues as needed.

7 ADDRESS is a primary form of correspondence between UC Path Center (UCPC) and employees. All career employees have been assigned address.   addresses, temporary passwords, and url for login will be forwarded to managers of affected employees. Employees may not change Business Phone or Business in UCPath.
