2. DISCLAIMER
With the introduction of Procore the need for housing files on the J: Drive will eventually be obsolete.
The goal will be that new projects will use Procore only for file management and will not appear on the J: Drive.
The folder structure being used in Procore will mimic the existing system on the J: Drive. There will be small changes and they will be addressed in the future.
The current projects (still in progress) will need to adhere the following guidelines outlined in this presentation.

3. PURPOSE
File all of our projects paperwork consistently across the entire company
Anyone should be able to locate documents quickly on any project
Be organized for repeat work to existing locations
Have organized access for marketing and proposals
The network is backed up daily, employee hard drives are not backed up.

4. Active and Inactive Task Orders
Folders will be set up at time of award by Rockville
Folders contain projects in process of design and/or construction

5. Active and Inactive Task Orders
File tree will mirror that of Active Task Orders
Folders contain projects that are closed, terminated for convenience or otherwise not fully developed and abandoned
Closed projects will move from Active to Inactive at the close of the warranty period

6. File tree for a main contract
Main contracts have their own folders
Posts or Installations have their own folders
Each project has their own folders
KB project numbers are created from the first three numbers of the KB assigned six digit main contract job number, and the last three numbers of the task order assigned from the government.

7. File tree for a task order
Joint Venture Companies DO NOT have access to our network. Those projects are kept on the Intranet.
