3 Option sets Select One and Select Multiple questions use option sets to provide observers with a list of answers to choose from There are two ways of assigning option sets: 1. Create a new option set and assign it to the question 2. Select an existing option set and assign it to the question

4 Option sets To create a new option set, select the Option Sets menu
Then click Create Option Set

5 Option sets Alternatively, when a user creates a new Select One or Select Multiple question, ELMO prompts the user to: Create a new option set OR Select an existing option set using the dropdown menu

6 Creating a new option set
Give the option set a name Type the title of the first option in the box Options are entered one by one

7 Creating a new option set
Type an option in the Options box. If it has been selected before, ELMO will try to search among existing options to make them available for re-use. If its never been created before, then just complete the term and it will appear in the text box in a bubble.

8 Creating a new option set
Click Add to finalize your desired options for the option set. You can do this throughout the creation of the set. Users can add multiple options (like in the example) at once or one at a time.

Once added, the options will appear beneath the Options box

The order of added options can be adjusted by clicking, dragging, and dropping the option

Finish creating the option set by selecting Save. You can save throughout the process as well if it is a long option set.

If this Option Set represents geographic information, check Is Geographic? box. This will automatically show responses on the map in the dashboard when applicable. If the options contain GPS coordinates, check With Coordinates? box. This will automatically record GPS location.

13 Multilevel option sets
 Region 1  Region 2  Region 3 District 1 District 2 District 3 District 4 District 5 District 6 District 7 District 8 District 9 If the option set is a hierarchical one, multilevel option sets can be used For example, within Region 1, Region 2, and Region 3, there are a combined 9 districts

14 Multilevel option sets
To avoid observers having to choose from all 9 districts, we can limit which of the districts are relevant based on what region they choose Region 3 Region 2 Region 1 District 1 District 2 District 3 District 4 District 5 District 6 District 7 District 9 District 8 1. 2. Region 1 District 1 District 2 District 3 Region 2 District 4 District 5 District 6 Region 3 District 7 District 8 District 9 1. 2.

15 Multilevel option sets
To create multilevel option sets, check Is Multilevel? Box. Then, Levels: Add Level will appear. Click Add Level.

16 Multilevel option sets
New window named New Option Level will appear Type in the name of option level and select Save

17 Multilevel option sets
Add all the levels first (unlike questions and option sets, dragging and dropping function is not functional for level editing)

After adding levels, start creating options

After creating all the options, assign the different levels among options by dragging and dropping them indented below their desired level or hierarchy

After setting the levels, click Save

When submitting responses to forms, the multilevel option set looks like this: Different Levels

22 Creating a new option set
In case of large Option Sets, it is sometimes easier to use upload a spreadsheet file. Using spreadsheet software, create a new CSV or XLS file In the first row, include the title for each level as an individual column header (e.g. Company | Department | Name ). Then add the relevant data related to the options beneath

In ELMO, click on the Option Set tab Select Import New Option Set

Create a Name for the option set Choose the CSV or XLS file you just created Select Import

26 Importing standard forms, questions, & option sets
Some missions will have standard forms, questions, and/or option sets available for import (if they have been created by an administrator) Standard forms, questions, and option sets are designed to be shared across missions as templates to prevent users from having to duplicate the same forms/questions over many missions Think: Standards=Templates.

27 Importing standard forms, questions, & option sets
To import standard forms, questions, or option sets, select any of the following menus: Forms Questions Option Sets Then click (as relevant) Import Standard Forms Import Standard Questions Import Standard Option Sets

28 Importing standard forms, questions, & option sets
When importing, you are presented with a list of the standard templates available Select one or multiple forms, questions, or option sets to import by marking the checkboxes Then click Import

29 Creating standard forms, questions, & option sets
Standard Forms, Questions, and Option Sets can be created using the same practices previously described in this module The only difference is that users will need to enter Admin Mode in order to create Standard Forms, Questions, and Option Sets

31 Managing forms A form must be published before users can download it
Click an upward arrow to publish a form Click a downward arrow to unpublish a form (in order to edit it or make it unavailable)

32 Managing forms The SMS guide contains instructions on submitting forms via SMS. SMS guides should be distributed ahead of time when observers need to submit responses via SMS
