1 Quick Enroll Students Welcome to Quick Enroll!
This is not a “software how-to” presentation (you will find those later in the workshop). This presentation gives you important information about how Quick Enroll is used here at ASU. In this presentation, we will tackle these topics:

3 Part I: What is Quick Enroll?
So what is Quick Enroll?

4 A way to change a student’s schedule for them
Quick enroll is a way for you, as an advisor, to edit a student’s schedule right in front of them. Prior to Quick Enroll, you would have to trust that a student would drop a certain course and enroll in one that was required of them. Now you can perform this action for them. By logging into PeopleSoft and searching for the student’s record, you can make changes to their class schedule to better benefit their time here at ASU.

5 Part II: What you CAN do So what can you do with Quick Enroll?

6 Enroll students in your college
There are several actions you can do with Quick Enroll. You can enroll students into any course offered by your college.

7 Enroll students in classes outside your college
If a class outside of your college does not require an override, you will be able to enroll the student in that class.

8 Add, Drop, or Swap classes
You can add, drop, or swap classes in a students schedule.

9 Enroll for standard grading or audit
You are allowed to select the grading procedure for the class when enrolling a student. You have the choice of standard grading or an audit class.

10 Choose number of units In variable unit classes, you are given the option to select the number of units the student should receive for that class.

11 Select independent study instructor
And finally, if the class you are enrolling the student in is an independent study class you will be allowed to select the instructor that the student will be assigned to.

12 Part III: What you CAN’T do
So what can you not do with Quick Enroll?

13 Enroll when a student can’t
You are restricted to the same time of enrollment as the student. This means you have to follow the same periods of enrollment as the student does.

14 Enroll around conflicts
You will be unable to enroll a student if they have holds, lack pre-requisites for the class, the class is full, there is a time conflict in their schedule, and so on.

15 Beware of affecting a student’s status
While this is not something you CANNOT do, you should be wary of how many hours the student wants and needs to take. If they drop below the number of hours required for full time status, they might lose potential scholarships. If you attempt to enroll them in too many hours than they can handle, they might end up failing classes.

16 Part IV: Enrollment Calendar
What are Student Groups?

17 This is a graphical representation of when you will be able to use Quick Enroll.
Prior to being able to register for classes, all students are term activated at the same time. ASU runs this process nightly to term activate students who were missed in the first activation or were admitted after the first activation. Students must be term activated prior to being able to enroll in classes. Once enrollment appointment have been handed out to your students, you will be able to use Quick Enroll. These appointments are generally given out months in advance and will run for several weeks prior to the first week of classes. Open Enrollment runs until the Sunday after the first week of classes. You will be able to drop and add classes for students without penalty until the end of the first week of classes. After the first week of classes, students will only be able to drop classes for a student with a penalty. This is known as a class withdrawal and assigns the grade of W to the student. Quick Enroll is not offered after the first week of classes, so students will have to submit approval paperwork to their department to enroll in a new course.

The permission node needed to access Quick Enroll is “SR Advisor Quick Enroll.” To request this, go to and search “request access to PeopleSoft”. Search for “request access to PeopleSoft” for step-by-step instructions
