3 2 I/O Shipping Management The I/O Shipping Management Enhancement provides a new method with which to 4 Check and verify orders being shipped 4 Adjust shipped quantities 4 Incorporate bar coding and scanning 4 Produce UCC-128 Shipping Labels 4 Generate EDI Advance Shipping Notices 4 Improve shipping efficiency and accuracy

4 3 I/O Shipping Management 4 The total I/O Shipping Management solution consists of several software enhancement options from I/O –Checker entry –Bar coded picking list –EDI ASN (Advance Shipping Notice) –UCC-128 Shipping Labels –I/O Interface to Varsity Shipper –Varsity Logistics Shipper package

5 4 Checker Entry 4 The order is entered, pick list printed, and filled like normal 4 In the staging area, the I/O Checker Entry function is used to –Check and verify the order –Adjust shipped quantities –Enter detail for UCC-128 Shipping Labels (if being produced)

6 5 Bar Coded Picking List 4 A bar coded picking list contains –Bar coded order number –Bar coded item numbers 4 May be quickly scanned with scanning devices

7 6 EDI ASN 4 Captures data for ASNs (Advance Shipping Notices) 4 Includes checking and packing contents detail 4 Supports EDI 856 documents 4 Basis for generating UCC-128 shipping labels

8 7 UCC-128 Shipping Labels 4 Prints UCC-128 Shipping Labels 4 Shipping label may –Include item detail per carton –Carton summary only 4 Shipping label option is set by customer

9 8 Interface to Varsity Shipper 4 An I/O provided interface from DMAS to Varsity shipper and return 4 Gives user quick access to Varsity Shipper functions 4 Returns shipping charges and automatically adds them to DMAS order

10 9 Varsity Logistics Shipper 4 A complete shipping and rating package 4 May incorporate with in-line scales 4 Supports UPS, FedEx, many others 4 Allows shipping charges to be added to order at shipping time

12 11 Update Picked Orders 4 A interactive tool for reviewing and updating an order after it has been picked 4 Supports scanning the order number from a modified picking list 4 Supports scanning item numbers from a modified picking list

13 12 Update Picked Orders The user starts by identifying the sales order. The user scans (or keys) the order number being worked with The user may elect to key only the exceptions or all quantities being shipped

14 13 Update Picked Orders How the order is displayed depends on: (click button to view detail) Customer DOES want carton detail and user elected to - OR - Return to Shipping Mgmt details Customer DOES NOT want carton detail and user elected to (click button to view detail) Key only exceptions Key all shipped quantities Key only exceptions Key all shipped quantities

15 14 Carton Detail – Key Only Exceptions The order is displayed, one line per item, with anticipated ship quantities and all items in carton number one. The user may key the item number, quantity, and carton number, or...... the user can press function key F16 and switch input modes...

16 15 Carton Detail – Key Only Exceptions The order is then displayed in switched mode The user can now tab through the order and key actual quantities shipped and carton numbers The user can add cartons The user can copy cartons Selection options include - A range of cartons - A range of items

17 Return to Update Picked Orders 16 Carton Detail – Key Only Exceptions 4 User can adjust which items are in which cartons 4 When completed, order is updated via F22 Continue

18 17 Carton Detail – Key all Shipped Quantities The order is displayed with blank line items, ready for the user to key (or scan) item numbers, ship quantities and carton numbers. The user may key (or scan) the item number, quantity, and carton number

19 18 Carton Detail – Key all Shipped Quantities Carton level detail is displayed as the carton detail is entered The detail of each carton is displayed The user can add cartons The user can copy cartons Selection options include - A range of cartons - A range of items Switching the mode makes the Quantity and Carton columns input capable (see next panel)

20 19 Carton Detail – Key all Shipped Quantities Quantity and carton data can be easy changed in this mode The detail of each carton is displayed The user can add cartons The user can copy cartons Both columns are input capable The user can press function key F21 and switch to item number mode

21 20 Carton Detail – Key all Shipped Quantities Item number mode displays a list summarized by item A comparison of quantity ordered versus actual keyed, is displayed Switching the mode makes the Actual column input capable (see next panel) Edit messages for a particular item display to the right

22 21 Carton Detail – Key all Shipped Quantities With this mode, the Actual column is input capable Corrections in actual quantity can be easily made in this mode

24 23 No Carton Detail – Key Exceptions Only The order is displayed, one line per line item on the order, with anticipated ship quantities as Actual The user may key the item number and actual quantity shipped, or...... the user can press function key F16 and switch input modes... A quantity previously changed

25 24 No Carton Detail – Key Exceptions Only The order is then displayed in switched mode The user can now tab through the line items and key actual quantities shipped for those that need to be changed

26 Return to Update Picked Orders 25 No Carton Detail – Key Exceptions Only 4 When completed, order is updated via F22 Continue

27 26 No Carton Detail – Key All Shipped Quantities The order is displayed, one line per line item on the order, with an actual quantity of zero (0) The user may key the item number and actual quantity shipped, or...... the user can press function key F16 and switch input modes...

28 27 No Carton Detail – Key All Shipped Quantities The order is then displayed in switched mode The user can now tab through the line items and key actual quantities shipped for each line item that is being shipped in this shipment

30 29 Updating the Order When F22 is pressed, the order is updated, then the screen below is displayed if shipping labels are being printed The user indicates which carton labels are to be printed and to which printer For customers that accept pallets, labels may be printed per carton or per pallet Return - End of topic

31 30 Update Shipment Information 4 Use this function to enter / update information for a particular shipment with such data as –Trading partner –Ship date –Total weight, units, volume –Carrier –Bill of lading, etc. 4 Then assign orders to the shipment 4 It may be possible to automate this update process with additional I/O services, if desired

32 31 Update Shipment Information To create a new shipment or maintain an existing shipment Leave the shipment number field blank to create a new shipment Otherwise, key the shipment number to be maintained

33 32 Update Shipment Information When leaving the shipment number blank, the Add screen is displayed The trading partner number (typically the same as customer number) is entered All other known data may be keyed as well such as Ship date, total weight, units, and volume, carrier, etc.

34 33 Update Shipment Information If all other data is left blank, the user is instructed as to what to enter The trading partner number has been determined to be valid Other required / suggested fields will display in RED

35 34 Update Shipment Information Fields left blank may be accepted as blank by press F17=Accept warnings The user may want to leave these fields blank, so he presses F17 The user keyed these fields

36 35 Update Shipment Information The Assign Orders to Shipment screen is then displayed The user then keys the order numbers of the orders to be assigned to this shipment

37 36 Update Shipment Information After the order numbers are keyed, the Enter key is pressed Order information about each order assigned is then displayed To view the alternate view, press F11=Alternate view (next panel)

38 37 Update Shipment Information Additional shipping information is displayed for each order Additional shipping information is then displayed for each order assigned to this shipment The user may go back to the shipment screen by pressing F18=Review shipmentF18=Review shipment A single order may be removed from the shipment with option 4=Unassign Shipping labels (UCC 128) may be printed with option 6=Prt Ship Lbls for a particular order

39 38 Update Shipment Information When ending the assignment of orders, the End Shipment screen is displayed At this point, the user may print shipment (UCC 128) labels immediately for the entire shipment Return - End of topic When leaving this screen, the user is taken back to the Update Shipment Information screen to begin the next shipment

40 39 Update Shipment Information The user may review / update shipment master information The shipment master information displayed in UPDATE mode Return to Assign Orders to Shipment

41 40 Bar Coded Picking List 4 A modified version of the DMAS picking list 4 An option available from I/O International 4 Includes –Bar coded order number –Bar coded item numbers

43 42 Print UCC-128 Shipping Labels 4 The UCC-128 Shipping Label print function is an I/O option 4 A separate menu option is available if it becomes necessary to selectively print a shipping label 4 Normally, shipping labels are printed at the close of the Checker function

44 43 Print UCC-128 Shipping Labels At the close of the Checker function, the Print Shipping Labels screen is displayed, containing the current order information. The user may enter the Shipment number when sending EDI ASNs

45 44 Print UCC-128 Shipping Labels When initiated from the menu, the user keys information that identifies for which order shipping labels are to be printed. The user indicates which order the labels are for, which carton labels are to be printed, and to which printer Return - End of topic

46 45 Advance Shipping Notices 4 The Advance Shipping Notice function (EDI 856) is an I/O option 4 With the ASN option, users can send Advance Shipping Notices if EDI software is installed

47 46 Advance Shipping Notices When taking the Create Advance Shipping Notices menu option (if Varsity Shipper is installed), a prompt screen is presented The user may select ASNs for a single carrier. A particular trading partner may also be selected. The user may repost previously posted ASNs.

48 47 Advance Shipping Notices When taking the Send EDI advance shipping notices (856) menu option (when Varsity Shipper IS NOT installed), a prompt screen is presented An ASN selection may be made for a single shipment Return - End of topic The user may re-send, or send only those shipments not yet sent Selections may also be made for a single order, single customer/branch, single ship-to, and/or single company

49 48 I/O Interface to Varsity Shipper 4 Provides an interface between DMAS sales orders and Varsity Logistics Shipper freight rating 4 When freight has been calculated by Varsity Shipper –Adds freight records to DMAS orders –Freight added as special charge records –Order totals are updated

50 49 I/O Interface to Varsity Shipper When F22 is pressed, the order is updated, then the following screen is displayed if shipping labels are being printed The user indicates which carton labels are to be printed and to which printer For customers that accept pallets, labels may be printed per carton or per pallet Return - End of topic

51 50 Varsity Logistics Shipper 4 Varsity Shipper (from Varsity Logistics) is a freight rating system 4 Freight scales may by integrated into the system 4 With this package, shipping charges may be calculated from a scale (or key entered) and automatically added to the DMAS order

52 51 Varsity Logistics Shipper When F22 is pressed, the order is updated, then the following screen is displayed if shipping labels are being printed The user indicates which carton labels are to be printed and to which printer For customers that accept pallets, labels may be printed per carton or per pallet Return - End of topic

53 52 Update Shipment Data Area 4 The Shipping Data Area is a control area that keeps track of critical shipping information –Last shipping number assigned –Last serial container number –Default printer for printing UCC128 labels –Your UCC company ID, etc. 4 Once set, this information should RARELY be changed

54 53 Update Shipment Data Area The shipment data area contains control information that rarely requires manual updating The last shipment number assigned is stored here Other control information is set at installation time and rarely requires manual updating Return - End of topic

55 54 Update Customer Data 4 Customer specific EDI and shipping information may be maintained in one of two possible methods –If the I/O Customer User Friendly Maintenance enhancement is installed, EDI/shipping fields are maintainable on customer maintenance page 4 –If the legacy DMAS customer maintenance function is still be utilized, a special menu option is provided to access EDI/shipping fields

56 55 Update Customer Data If the I/O Customer User Friendly Maintenance enhancement is installed The trading partner number is typically the same as the customer number Other customer specific information may be maintained for EDI and/or shipping purposes

57 56 Update Customer Data If the I/O Customer UFM is NOT installed, a special menu option provides EDI/shipping customer maintenance The trading partner number is typically the same as the customer number Other customer specific information may be maintained for EDI and/or shipping purposes Return - End of topic
