Document Creation Best Practices
Page Structure Document Creation Best Practices Convert document from native format into an accessible format Create an accessible template Page Structure

Page Structure Requirements Ensure headings are denoted through appropriate styles and not implicitly Ensure that multi-column content is rendered in the proper order Ensure headers and footers are used appropriately Ensure lists items are structured properly Page Structure

Page Structure Heading Styles Ensure headings are denoted through appropriate styles and not implicitly Ensure that multi-column content is rendered in the proper order Ensure headers and footers are used appropriately Ensure lists items are structured properly Notes: Allows users of assistive technology to browse document content by heading level Use built-in Microsoft Word heading styles Use up to six heading levels (Heading 1, Heading 2, etc.) Provide consistent use of heading styles in a document Order headings appropriately Implementation: Modify Heading Style Select Text > Home Tab > Locate heading level you want to change the text to > right click > select Update heading level [x] to match selection Create Headings Select Heading Style from the Home tab (these are default) Page Structure

Page Structure Columns Ensure headings are denoted through appropriate styles and not implicitly Ensure that multi-column content is rendered in the proper order Ensure headers and footers are used appropriately Ensure lists items are structured properly Notes: Multi-column content must be structured properly to be read in the correct order When implicit columns are created visually using spacing and tab stops, assistive technologies will be unaware that the document is formatted using multiple columns and will render the content out of sequence by reading from left to right across each column and then down the page Create columns Layout Tab > Columns > Select number of columns Page Structure

Page Structure Headers and Footers Ensure headings are denoted through appropriate styles and not implicitly Ensure that multi-column content is rendered in the proper order Ensure headers and footers are used appropriately Ensure lists items are structured properly Notes: Use the Microsoft Word built-in header and footer features When headers and footers are accurately placed in a document, the text will be treated as an “artifact” in PDF so assistive technologies will not announce the repetitive header and footer content on every page Create Headers and Footers Insert Tab > Header > Select Header Style > Enter text in header (same with footer) Page Structure

Page Structure Lists Ensure headings are denoted through appropriate styles and not implicitly Ensure that multi-column content is rendered in the proper order Ensure headers and footers are used appropriately Ensure lists items are structured properly Notes: Avoid asterisks, periods or non-bulleted (stand-alone) images The list number and the list hierarchy of nested lists are rendered by screen readers Implementation Home Tab > Bullets Library Page Structure
