The standard, ISO 30300:2011, Information and documentation - Management systems for records - Fundamentals and vocabulary, is the umbrella standard which includes the fundamentals and vocabulary common to the whole series. ISO is about a Management System for Records. In the English version of the standard is used the acronym MSR to refer to it, so probably I an going to use MSR during the presentation. It is a Management Systems Standard (MSS) so means it’s part of the authentication and accreditation processes. This is in response to increased pressure by industry regulators obliges companies to provide such information because irregularities in financial management, ethical dealings, disclosure, and transparency of decisions have become common. This series is to help organizations disclose corporate information quickly and effectively. Further standards in the ISO series are under development. The creation of records is integral to any organization’s activities, processes and systems. An MSR enables business efficiency, accountability, risk management and business continuity and empowers organizations to capitalize on the value of their information resources as business, commercial and knowledge assets. At the same time, an MSR contributes to the preservation of organizational memory, in response to the challenges of the global and digital environment. ISO standards are targeted to many sectors including: governments; education; and manufacturing industry (especially pharmaceuticals and mining). Companies involved in social responsibility programmes as well as sectors with a strong need to demonstrate compliance, such as nuclear energy and telecommunications, are particularly expected to benefit from effective implementation Claire Johnson

2 Purpose The ISO 30300 series offers:
the methodology for a systematic approach to the creation and management of records, aligned with organizational objectives and strategies. managing records using a MSS (Management System Standards) supports cost-effective operational processes, such as storage, information retrieval, information re-use, litigation and due diligence The series distils the expertise of experts drawn from 27 countries on five continents. The standards have been developed to be compatible with and complementary to other management system standards developed by ISO, such as ISO 9001 (quality management), ISO (environmental management), and ISO/IEC (information security management). ISO 30300:2011 and ISO30301:2011 were developed by ISO technical committee ISO/TC 46, Information and documentation, subcommittee SC 11, Archives/records management. ISO 30301:2011 Information and documentation -- Management systems for records – Requirements This specifies requirements to be met by a management system for records (MSR) in order to support an organization in the achievement of its mandate, mission, strategy and goals. It addresses the development and implementation of a records policy and objectives and gives information on measuring and monitoring performance. ISO 30301:2011 can be implemented with other Management System Standards (MSS). Management System for Records (MSR) MSS- Management System Standard The first important characteristics of is the condition of being a Management System Standard (MSS in ISO jargon). By the way I have to make a warning here. ISO jargon is full of acronyms an numbers, I have to confess that the first time I went to an ISO meeting mores than ten years ago, I felt completely lost and though this people were crazy talking about numbers and acronyms I couldn’t understand. Ten years after I am part of the crazy people, so please if I use numbers or acronyms you didn't understand So an MSS is a Management system standards. All of them are based in the idea of manage organizations seeking for the continuous improvement. The first and successful standards of this class was ISO 9000 Quality Managements system. MSS have an special consideration in ISO. Among the more than standards in ISO catalogue, they are the bestsellers and really widely known and used. Round numbers are reserved for them and they passed for an extra specific process of approval before to be launched as a project which include a justification study which need to be approved by the highest technical body in ISO So MSR or Iso was born from the Technical Committee Archives/records management with the idea to better convince management of the organization that records and recordkeeping is and important and strategic part of the management of an organization, and can be approached in the way of a management system. Continuous Improvement standards, authentication and accreditation regime ISO 9000 etc.

4 New addition ISO/DIS 30302:2015 Information and documentation -- Management systems for records -- Guidelines for implementation The cost of developing an MSR depends on the scope of implementation within each organization and is determined by business needs and an assessment of risk, and can provide both short- and long-term returns on investment, as well as cost avoidance. Global factors drive organizations, both profit and non-profit, commercial and government, large and small, to reduce their costs and increase their responsiveness to the external environment by implementing an MSR. They include: Intensified commercial competition Technological change leading to e-commerce and e-government Speed of communications and dissemination of information through the Internet Increasing complexity of the regulatory environment – local, national and international Increased expectations of citizens that organizations should operate in an accountable, transparent and socially responsible manner Heightened risk from the external environment including security threats and natural disasters. Development of these new standards incorporates experience gained in the implementation of ISO15489, Information and documentation - Records management, published some 10 years ago.

5 Why use series? How do ISO and ISO 9000 compare? – ISO is not in competition with ISO They are compatible and complementary. The biggest source of complaints and non-conformities in ISO 9000 implementation are coming from the control of documents and records. ISO helps to solve them with little extra effort – Some organisations, such as in regulated environments, or in which the information is the main material, may consider control of this information as the main aspect of their management system, rather than the quality of the service or product, which is the core aspect of ISO 9000

7 What is the relationship between terms and definitions of ISO 30300:2011 and ISO 15489-1:2001?
There are 29 terms in ISO 30300:2011, 21 terms in ISO : terms from ISO are in ISO 30300:2011, of which 9 terms and their definitions are adopted in full, and 8 terms and their definitions are adapted from ISO Four terms from ISO are not included in ISO 30300, 12 new terms are added.

8 Summary ISO helps to address the control of information (as the main aspect of their management system, rather than the quality of the service or product) and assists in the delivery of compliance through other MSS standards ISO 30300:2011 specifies vocabulary, requirements and guide to implementation to be met by a management system for records (MSR) in order to support an organization in the achievement of its mandate, mission, strategy and goals.
