9 General Instruction – Fill Checklist
Login on tablet (with Security user NFC Card) Select Stage accurately of which transaction is to be recorded Ask Driver for his NFC card registered in e-Passport Swipe driver’s NFC card Verify Driver Photo Verify Driver License number Enter vehicle number correctly mentioned in order details Select movement type (Click ‘Next’) Mark driver check items (red/ green) according to inspection (Click ‘Next’) Mark vehicle check items (red/ green) according to inspection Submit results. For failed Driver/ Truck- Authorized person should approve/ reject the trip transaction from Current Status Report.

10 Sync Data Any transactions performed on the tablet application and updates on the master’s data while tablet was online being synced to/ from server real time and automatically. But while tablet is offline and transaction are performed on server, remains pending for syncing to tablet as well as trip transaction performed on tablet remains locally saved. When network connectivity gets resumed, user needs to manually sync this pending data to reflect this on respective masters/ reports. Success Fail No Data Download Downloaded successfully! 11 Mobile Application: Trip Status
Some of the trip transaction can have failed compliance summary of driver and/ or vehicle if any of the mandatory check fails. These transactions are sent to authorized personnel for approval. Here, he can approve/ reject depending on the severity of the failed item(s). For the security operator to know the decisions made, he needs to use trip status option available in mobile application to view the decision made by authorized personnel in order to allow or disallow driver/ vehicle from entering to plant (next stage). 26 Universal Search Records Per Page + (Add new record)
Type the text value in the search text box available as shown below and press enter key to get filtered results. Records Per Page The selected no. of records will be shown on the master records screen per page. The default value is 25 records per page. + (Add new record) This option is used to add new records in masters. Follow on screen instruction to fill the data. (Refer respective masters option for details) Export to Excel (Download) This option is used to download records in masters & reports. Records will be downloaded into excel file.

27 View Record Edit Record Delete Record
This feature is used to view the already added records in the masters in read only mode. For the fields not visible in the master’s records/ reports screen, user needs to click this button to view the detailed information. Edit Record The record related to that row will be shown to the user. (e.g. driver details against the clicked row) View and edit the fields required to be edited. Delete Record Click the ‘Delete’ button available at the action column of the report. It will show the confirmation popup. User needs to click ‘Yes/ No’ to confirm delete or cancel action respectively. Note: Truck and Driver who had done trip transactions can’t be deleted but can be deactivated from edit screen.

28 Page Navigation For the multiple records not being displayed on the first page, get divided into pages. Use. To view the no. of records shown, see at the bottom of the report. This is formatted as “Showing start record no. to end record no. of total no. of records entries”. To navigate one page ahead click next page button at the bottom of the report. To navigate one page back click back page button at the bottom of the report. To navigate to first page, click first page button at the bottom of the report. To navigate to last page, click last page button at the bottom of the report. To navigate to the desired page, click page no. available in the navigation options as shown in figure below.

29 Sort To sort a report according to any column value as ascending or descending, this option can be used. Click small arrow present near the name of the column. 31 Driver Master A All drivers need to be registered in ePassport before having trip transactions Click ‘Driver Master’ in menu bar. The Driver Master screen will open as shown aside. 32 Add Driver Records Click ‘+’ button on the top of the master records. Add driver master screen will open. The driver records are divided into four headers namely: PERSONAL MEDICAL TRAINING REWARD Note: All mandatory fields must be filled following the datatype validations mentioned. However optional fields can be left blank if not applicable. For driver type’ Substitute’, vehicle number is not mandatory Driver license number needs to enter in UPPER CASE and no special characters should be there.

33 Add Driver Continued… To select multiple values from the dropdown, user needs to select multiple values one by one. User can also type few characters in the field to get autosuggested filtered list as a dropdown. When user click on the fields to fill a date value, dropdown calendar will appear. User can select the desired date from the calendar as shown. 34 The other tab’s fields are optional; it may be filled by user or left blank if not applicable. Duplicate entries of values are not allowed. Add Driver Continued… User can add multiple records of the medical ailment. Duplicate entries of ailment values are not allowed. MEDICAL TRAINING To add multiple records of the training details just select training course and date and click Add Course button to add course. To add multiple records of the reward details just select reward, remark and date and click Add Reward button to add it. REWARDS Notes: If any of the mandatory field is missing by user, records can’t be saved. If the driver is already present in master, it will not save the records and flag error message.

35 Pending for Approval Driver
Add Driver: Method- I With Approval On adding a driver by user with role TRANSPORTER MANAGER/ SUPERVISOR, the driver record will be added with the status ‘Sent for approval’ and It will be shown only on the approver’s (PLANT LOGISTIC MANAGER/ SUPERADMIN) screen and the transporter’s screen by whom this record was added. Notes: Driver added by Transporter can have trip transaction only after approval by PLM. If transporter edits already approved driver, it again goes to send for approval to PLM. Rejected Driver  Approved Driver Pending for Approval Driver 

36 Add Driver: Method- II Without Approval
On adding a driver by user with add driver privileges & role SUPERADMIN/ PLANT LOGISTIC MANAGER, the driver record will be added and it will reflect on the driver master screen directly. Note: Driver added by SUPERADMIN/ PLANT LOGISTIC MANAGER can have trip transaction as soon as it is added in Driver Master. Driver records rejected by PLM Transporter views reject reason added by PLM

37 View Driver Records For the fields not visible in the driver master’s records/ reports screen, user needs to click view button to view the detailed information. This information will be visible as read only screen. Notes: User can have access to only driver records in driver master mapped to same plant code as that of plant of logged in user. Driver records added by transporter as pending for approval and rejected will only be visible to respective transporter and SUPERADMIN/ PLANT LOGISTIC MANAGER of the same plant. User with role TRANSPORTER MANAGER/ SUPERVISOR can have access to only driver records in driver master mapped to same transporter code.

38 Edit Driver Records: Delete Driver Records: Without Approval
On editing a driver by user with add driver privileges & role SUPERADMIN/ PLANT LOGISTIC MANAGER, the driver record will be added and it will reflect on the driver master screen directly. With Approval On editing a driver by user with role TRANSPORTER MANAGER/ SUPERVISOR, the driver record will be updated with the status ‘Sent for approval’ and It will be shown only on the approver’s (PLANT LOGISTIC MANAGER/ SUPERADMIN) screen and the transporter’s screen by whom this record was added. Approver need to approve/ reject the pending for approval driver records. Delete Driver Records: This feature is used to delete the already added records in the masters. Note: Driver who had done trip transactions can’t be deleted but can be deactivated from edit screen.

39 Map NFC Card Map NFC Card: From Map NFC Card Screen
In order to follow tablet application transactions, it is necessary to have NFC card mapped against valid users. NFC card can be issued to driver and the security user. Security needs this card to login on tablet application whereas driver needs to perform trip transactions. Map NFC Card: From Map NFC Card Screen NFC tag ID is read from the reader will be auto copied to clipboard, user only needs to press ‘CTRL+V’ key combination to paste the NFC tag ID in the NFC tag ID fields. To select driver ID/ Security user name from the autosuggest dropdown, user needs to type few characters in the field to get autosuggested filtered list as a dropdown.

40 Map NFC Card: From Edit Driver/ Security Screen
Step 1: Click ‘Edit’ button from action column available in the extreme left side of the master’s screen. Respective edit screens will open. Step 2: Click ‘Map’ button available near NFC card field as shown in figure below:

41 Truck Master To perform the transactions related to the truck, first we need to register truck in ePassport. Click ‘Truck Master’ in menu bar. The Truck Master screen will open as shown aside.

42 Add Vehicle Records: From ePassport
Click ‘+’ button on the top of the master records. Add truck master screen will open. Note: Only inbound vehicles can be added from ePassport. All mandatory fields must be filled following the datatype validations mentioned. However optional fields can be left blank if not applicable. For vehicle type Bulker, PVC date of Issue is mandatory. Validity date of PVC will be auto populated by 6 months less one day later of PVC date of issue Vehicle number needs to enter in UPPER CASE and no special characters should be there.

43 Add Vehicle Records: From SAP

44 View vehicle Records For the fields not visible in the truck master’s records/ reports screen, user needs to click view button to view the detailed information. This information will be visible as read only screen. Notes: View button will only be available if privileges set by admin to the logged in user’s role. User can have access to only truck records in truck master mapped to same operating company code as that of operating company code of logged in user.

45 Edit truck Records: Delete truck Records:
For truck data received through integration from SAP is partially editable. The fields ‘Road Tax Renewal Date’, ‘PVC Date of Issue’, ‘Validity Date of PVC’ (auto generated) can be changed. Inbound truck records maintained in ePassport can be updated from E-Passport web application as well as from SAP. While update, user cannot change vehicle’s operating company code. Delete truck Records: There is no option to delete the truck record, instead it can be deactivated.

46 Checklist Master Before submitting checklist’s compliance results while having trips transactions, first we need to add checklist records in ePassport. Checklist added in checklist master will be available to the respective stages of the plant User can have access to only checklist records in checklist master mapped to same Plant code as that of plant code of logged in user.

47 Add Checklist Records:
Click ‘+’ button on the top of the master records. Add checklist master screen will open. Notes: All mandatory fields must be filled following the datatype validations mentioned. However optional fields can be left blank if not applicable. For check type vehicle, vehicle type is need to be selected. Check at Stages is only applicable for frequency type ‘Every trip’. Checklist of frequency ‘monthly/ yearly’ can be filled/ submitted through their respective truck/ driver master screens.

To upload a checklist icon (image/ photo) user needs to click ‘Choose Files’ button to select file from the file explorer to upload the same Uploaded icon will appear while filling checklist compliance of truck/ driver. If override by superuser is marked ‘Yes’ for mandatory checks, failure of same will be sent for approval to PLM. Otherwise it will be directly aborted by system itself. Ideal response value as ‘Yes/No’ will be retrieved on fill checklist screen as ‘Green/ Red’ as default decision respectively. 1 2

49 Add Checklist Continued…
User needs to click on ‘Choose Plant Code’ to select plant codes and check type as optional or mandatory Marked Mandatory Marked Optional Checklist will be saved for marked plants only. Unmarked plants will be ignored. If checklist is marked as mandatory, then saved as mandatory for the marked plant. If checklist is not marked as mandatory, then saved as optional for the marked plant. Selected Plants Unselected Plants

50 Transporter Master Driver and vehicle should be mapped with transporters they belong. While adding/ updating truck/ driver master records, transporter details is fetched from this master. Hence, first we need to register Transporter in ePassport. Transporter are available plant wise. Hence user cannot access other plant’s transporter details

51 Stage Master Plant Master
Plant Master includes list of all plant details available in ePassport. New Plant can be added from add plant option. Only SUPERADMIN user can do changes in this master In order to map stages to the applicable plants, stage master should already be added with valid stage records. Hence first we need to add stage records in ePassport. New Stage can be added from add stage option. Only SUPERADMIN user can do changes in this master.

52 Training Master Rewards Master
While registering driver in ePassport, we need to enter optional training details. The training course details are fetched from this master. Hence first we need to add training records in ePassport. New training course can be added from add training option. Only SUPERADMIN user can do changes in this master. While registering driver in ePassport, we need to enter optional rewards details. The reward’s details are fetched from this master. Hence first we need to add rewards in ePassport. New rewards can be added from add reward option. Only SUPERADMIN user can do changes in this master.

53 Medical Ailments Master
Re-Issue Reasons Master While registering driver in ePassport, we need to enter optional Medical Ailments details. The medical details are fetched from this master. Hence first we need to add Medical Ailments in ePassport. New Medical Ailments can be added from add Medical Ailments option. Only SUPERADMIN user can do changes in this master. While mapping NFC cards to driver/ security user, if they are already issued with NFC card, card issuer needs to select reason for re-issue. The reason are fetched from this master, hence first we need to add Re-Issue Reasons in ePassport. New Re-Issue Reasons can be added from add Re-Issue Reasons option. Only SUPERADMIN user can do changes in this master.

54 Reject Reasons Master There are two types of reject reasons maintained in this master. Driver Master Reject; Trip Reject. Plant Logistic Manager/ SUPERADMIN can reject the pending for approval driver records added by transporters with the reason fetched from this master. Plant Logistic Manager/ SUPERADMIN can reject the Send for Approval trip transactions from Current Status Report with the reason fetched from this master. New Reject Reasons can be added from add Reject Reason option. Only SUPERADMIN user can do changes in this master.

56 Contacts for Alerts Alerts are sent for different event occurred in E-Passport. In order to send these alert, contacts detail is needed which is provided in this master. New contact details can be added from add contact option. Only SUPERADMIN user can do changes in this master. Notes: Multiple contacts details can be added comma separated A alert type can be added once only, after that user can modify the same.

58 Map Plant-Stage We have seen two masters namely Plant Master and Stage Master. Here user can map Plant with their respective stages. This will define which plant have which no. of stages and their sequence. This defines in which order the trip transactions should be carried out as first stage, intermediate stages and the last stage. Only SUPERADMIN user can do changes in this screen.

63 Fill Checklist Fill Checklist: Every Trip
There are two types of checklist that can user/ traffic marshal can fill against vehicles and drivers. Every trip checklists and Monthly/ Yearly checklists. Fill Checklist: Every Trip This option is used to perform the Driver-Vehicle Mapping followed by recording respective checklist compliances against the trip at each stages. This checklist appears in every trip transaction at each stages, each time when driver and vehicle reports. This type of checklist can be filled from tablet device as well as from web application.

68 Fill Checklist: Monthly & Yearly
This checklist type need to be filled per month or year, each time when driver and vehicle reports. This type of checklist can be filled from web application only. Once checklist is submitted, option to fill checks will appear next when month or year get completed for monthly and yearly checklist respectively. i.e. Monthly Checklist submitted on 2nd day of month then next time, checklist will appear after 30 days in next month. This checklist needs to be filled individually for drivers and vehicles from their master screens respectively. Notes: To have monthly / yearly checklist transaction of newly registered driver/ vehicle, it is needed that ‘every trip’ transactions must be performed prior. Monthly yearly checklist button will be disabled, if drivers/ vehicles are deactivated/ suspended/ blacklisted/ rejected or pending for approval drivers.

71 Current Status Report Current Status Report (CSR) shows the list of all transactions of Truck- Driver checklist submitted at all stages mapped to the plant. The records will be maintained here till the last stage gets passed by both truck and driver. After 10 minutes of submitting checks at last stage, all the transactions will be reconciled and will be moved to Trip Report. Status: Current Status Report trip status. The statuses are as follows: Ongoing: All mandatory checks are passed for Truck and Driver at Yard or Staging Yard. Or if transaction is approved. Close: All mandatory checks are passed for Truck and Driver at Plant. Or if transaction is approved. 73 CONSEQUENCES MANAGEMENT
In order to manage driver/ vehicle compliances, various action can be taken against them. Authorized user can blacklist or suspend driver/ vehicle, if their performance is very bad. Or he can generate a warning against them so that security person can take appropriate action while having trip transaction. BLACKLISTED SUSPENDED WARNING No Symbol ALL OK

74 Modifying Consequences: From truck/ Driver Master / Performance/ Consequences History Report
1 2 Revoke 1 2 Notes: Driver/ Truck with warning can have trip transaction, only the warning message will be shown in fill checklist screen. Driver/ Truck with suspension cannot have trip transaction till suspended date. Blacklisted Driver/ Truck cannot have trip transaction till they revoked.

76 Trip Report After 10 minutes of submitting checks at plant stage with passed compliances of both truck and driver, all the related transactions will be reconciled and moved to Trip Report. Trip Report shows the list of latest/ last checklist compliance transactions of Truck- Driver submitted at each stages. The records will be maintained here after the last stage gets passed or trip get aborted. Status: Trip status. The statuses are as follows: On hold: For outbound trip only if plant compliance is passed/ approved but no DO is mapped with trip. Done: For outbound trips if plant compliance is passed/ approved and DO is mapped with trip. For inbound trips if plant compliance is passed. Aborted by user: Plant’s Pending for Approval trip transaction is rejected by user. Aborted by system: Any of the Mandatory check fails for Truck or Driver at plant stage, and selected ‘No’ for Override by Superuser in checklist master.

77 Performance Report Performance report shows performance of driver and vehicle according to number of trips and checklist compliances results submitted as stages while having trip transactions. For drivers, it shows performance slab according to percent compliance summary obtained from all the stages. It also shows number of unique vehicles driven by driver. Calculation of compliance per trip: 50% of the compliance is based on mandatory checks. 50% of the compliance is based on optional checks. If any of the mandatory checks fail, the % for mandatory checks will be recorded as 0%. If any of the mandatory checks have failed, the optional checks will not be calculated for the driver / vehicle either. Performance Slab: Excellent: 90% - 100% Good: 65% - 90% Average: 50% - 65% Poor: <50%

Consequences history report shows details of all active consequences added against driver and truck as for selected period.

79 Checklist Report Checklist report shows details monthly/ yearly checklist submitted for driver and vehicle for selected period.

82 Change Password From here user can change his current password to new one. Step 1: Enter old password and new password. Step 2: Re-enter new password and click ‘Change Password’ button. For Correct old password and matching new password in both the fields in correct format, it will save the changes.

83 To Log Out of the Web Application
Version Info. There is application version number mentioned at upper right corner of the web application. To Log Out of the Web Application Click ‘Logout’ to logout from the current session. User will be redirected to the login screen. Note: After 8 Hours of inactivity, application session expires. If user re-opens E-Passport web application, it will automatically redirect to login screen. Also if user close the web browser without logged out of the application and if user re-opens E-Passport web application, it will automatically redirect to login screen. For above both cases, user needs to re-login.
