1 This program should be facilitated by the Membership Coordinator or another officer or advisor on the Recruitment Team. It is strongly recommended that the presenter use the Membership Selection Training Facilitator Guide located in the myAlphaGam Resource Center to assist in facilitation. This presentation may be used as an alternative to use of the Membership Selection Training Participant Guides. Facilitator Note: This training contains sensitive information that should not be shared with non-members and members who have not been initiated into Alpha Gamma Delta. Number any accompanying handouts so that the chapter may ensure that all guides are collected and disposed of following the completion of the training. Supplies Needed: The Facilitator will need a set of red, buff and green voting cards.

2 Facilitator Ask: “What would you like to learn from this program in order to feel prepared to participate in Membership Selection Pilot?” Write down the responses, in a place that everyone can see, to be revisited at the end of the training.

5 Facilitator Share: We will start by providing context for the framework of the overall score for a PNM and then address the parts of that framework in more detail.

7 Facilitator Share: Membership Selection has several parts
Facilitator Share: Membership Selection has several parts. Now that we know the end result, we will discuss the Pre-Score, evaluations assigned to PNMs prior to recruitment.

8 Facilitator Share: Each component of the Pre-Score is evaluated on the 5 – 1 scale. The components of the Pre-Score carry different weights. Scholarship has the greatest weight and is equivalent to 40% of the Pre-Score. Leadership, Service and the Recommendation each make up 20% of the Pre-Score each.

9 Facilitator Share: As a reminder, Scholarship is worth 40% of the Pre-Score and 20% of the Total Score. Keep in mind the minimum GPA to pledge is a 2.5

10 Facilitator Share: Like Scholarship, Leadership and Service are also evaluated on the 5 – 1 scale. Strong leadership and service experience are indicators of future involvement in the chapter and women who were involved in high school are more likely to be involved in college.

11 Facilitator Share: Recommendations are evaluated on the 5 – 1 scale.
Facilitator Ask: “What does it mean to be a member in Good Standing?” Facilitator Note: A member in Good Standing has maintained the standards of the Fraternity and paid all dues and fees as a collegian and/or alumna member.

12 After reviewing the committee information-
Facilitator Ask: Think about the four aspects of the Pre-Score we have just discussed, why do you think it is important to have a committee assign these scores? Facilitator Note: While the Scholarship Score and Rec Score are objective, it is slightly more difficult to assign consistent Leadership, Service and Recommendation Scores. The committee ensures that PNMs are evaluated accurately and consistently.

13 Facilitator Share: -Question #1: True, Round one is not an invitational round, all PNMs attend. Legacies must be invited back to Round 2, or the first invitational round. -Question #2: False- per the Membership Selection Handbook, “Alpha Gamma Delta chapters are not to call a potential new member’s legacy connection upon her release nor are chapters to provide information about the status of a legacy or any other potential new member during recruitment. The Fraternity respects every potential new member’s right to make her own decision and to choose how and when she informs her family and friends. While Alpha Gamma Delta recognizes the value of the legacy relationship, the Fraternity also respects potential new member privacy and each chapter’s confidentiality during the Membership Selection process.” -Question #3: False, if a Legacy is invited to Preference she must be placed at the top of the Bid List.

14 Facilitator Share: The name Impact PNM describes the type of woman that should receive this designation. Impact PNMs would positively impact the chapter because of their strong characteristics. We have now discussed all of the components of the Pre-Score and the factors affecting Pre-Score evaluations. We will now discuss the conversation scores given to PNMs during recruitment.

16 Facilitator Share & Ask: After each recruitment event or party, PNMs are assigned three conversation scores by the members that met them. We call this the “ARC Score” which stands for Ambition, Respect and Connectivity. These categories will help the chapter place value on characteristics that closely align with our Purpose. Before we talk about how to assign ARC Scores based on recruitment conversation, it is important to understand how the Ambition, Respect and Connectivity relate directly back to the Purpose. Just like the other scoring criteria, Ambition, Respect and Connectivity are assigned numerical values on a 5 to 1 scale. It is important to note that Connectivity is 60% of the overall ARC Score. Ambition and Respect are 20% of the ARC Score each. The weight of the Connectivity component accounts for the genuine, personal connection established and developed during recruitment. A chapter’s sisterhood with be strengthened when we invite women to membership with whom we feel strong, personal connections.

17 Facilitator Share & Ask: Some example characteristics of Ambition- Involved in high school, has a job, is a part of the honors college. What other qualities would an ambitious PNM have or exhibit?

18 Facilitator Share & Ask: Some example characteristics of Respect- Gracious and polite, uses appropriate language, presents herself well. What other qualities would a respectful PNM have or exhibit?

19 Facilitator Share & Ask: Some example characteristics of Connectivity- You have those “oh my gosh, me too” moments during conversation, that feeling that you “click” with a PNM, you think the PNM would get along well with other members of the chapter. How would you describe an interaction with a woman with whom your felt a strong connection?

20 Facilitator Share: MCs indicate a concern with a PNM and should come from the conversation with the PNM during that round or new information learned during that round. Any previously known information should be included in a Rec and turned in to the Membership Coordinator before recruitment begins. MCs could potentially remove a woman from the chapter’s recruitment process, so we must ensure what is written is true. Detailed information should be included so that the chapter can make the most informed decision.

Facilitator Ask: Can I have two volunteers read their MCs? Can someone tell me how these MCs meet the qualification of new information? Facilitator Notes: Remember that MCs must be respectful, factual and detailed. If your chapter is using electronic membership selection, chapter members will be able to indicate MCs directly on the electronic ballot.

22 Facilitator Share: With a partner, decide whether the following MCs are appropriate.
#1: No- This example is not considered a MC because it is based on opinion and the information was not obtained during a recruitment party. #2: Yes-This example is considered a MC because it is a concern expressed by a PNM that could keep her from fulfilling her member obligations. #3: No-This example is not considered a MC because it is a generalization and is not necessarily a factual statement about the PNM. #4: Yes-his example is considered a MC because she spoke poorly about other groups which does not represent the values we are looking for in Alpha Gamma Delta new members. Facilitator Share: All valid MCs are accepted, however, you may not always hear your MC read during the Post-Round Membership Selection Meeting. If a PNM with an MC is below our carry line, meaning she won’t be invited back, her MC will not be discussed. If the MC is discussed, the member who wrote the MC will not be allowed to speak. Therefore, it is very important that MC is detailed so that the information can stand on its own. Before we continue, are there any questions about the ARC Score or MCs? Now that we have talked about what happens during recruitment events, we will talk about the parts of Membership Selection completed following each recruitment round.

23 Facilitator Ask: Why do you think it is important to hold Opening Ritual prior to the first Membership Discussion? Facilitator Note: Remember that Opening Ritual is held only once during recruitment as a means by which to remind the chapter that Membership Selection is considered ‘chapter room secrecy.’

Facilitator Share: This process is repeated for each valid MC. Remember that the person who wrote the MC is not allowed to participate in the discussion of that PNM. Additionally, each member who voices a question, pro or con is limited to 30 seconds of speaking. A member may only voice one pro or con per PNM. Next, we will discuss other factors that affect how women are invited back to recruitment events.

28 Facilitator Share: Voting on MCs will affect who is above and below the carry line. For example, if someone on the carry list, like Sara, were to receive a MC that the chapter affirms, she would be removed from the list and Kelsey would move to the carry list. Now that we know the Panhellenic factors affecting who is invited back, we will finish the training by reviewing how the components of the Pre-Score and ARC Score come together to determine which PNMs will be invited to each round and who ends up on the final Bid List.

29 Facilitator Share: Invitations are determined differently based on the round of recruitment. Before we review how invitations are determined for each round, let’s review the Total Score pie chart shown here.

30 Facilitator Share: Following Preference, chapters will submit a Bid List to Panhellenic. The goal for the chapter is to match with as many women as possible who are at the top of the chapter’s Bid List. The Bid List will list legacies first in alphabetical order followed by all potential new members that attended Preference in Total Score order. Advisors organize and submit the Bid List. The submitted list is used to match PNMs to chapters. Facilitator Note: You may remind the chapter that the Bid List submitted is private and is not shared with members of the chapter. The final Bid List given to the chapter after matching is to be shared with the chapter.
