1 Taking your Documents to the Cloud

2 Capture Considerations Hosted Solutions – Remote Server
Introduction Capture Considerations Hosted Solutions – Remote Server Access via RDP, VMWare, Hyper-V, Citrix Licensing Requirements Hybrid Solutions - GlobalSync Amazon Web Services, S3, Encryption Installation Process, What’s needed SaaS – GlobalSearch C2 – hosted by S9 Administration Functionality Q&A

3 Senior Solutions Engineer
Justin Wilson Senior Solutions Engineer Square 9 Softworks Brief Background: (I have) PC Technician, Network Administrator, Server Administrator, Solutions Consultant, Director of IT, Sales Engineer (I have not) Hosted a Cajun cooking show, Been a professional Baseball pitcher, Raced in IndyCar (although those would have been fun)

4 Capture Considerations – File Sizes
Most internet upload speeds are less than 10Mbps – Upload speeds of documents sizes assuming a 5Mbps upload speed 1MB file – 2 seconds 5MB file – 12 seconds 20MB file – 48 seconds Understanding your customer’s documents is key to determining the best solution. Small file sizes are key

5 Capture Considerations – Processing
Server side performance items such as TEXTPDF conversion, Zonal OCR, Separation, Image Cleanup are common functions used to help process documents. Localized processing – Using a Hosted/Hybrid/SaaS version allows for the use of GlobalCapture. This gives you the power of Square 9’s Capture workflow engine (as well as the processing functions like OCR/BCR/TEXTPDF conversion/Separation) using local processor resources. There is a minimal cost and reduced limitations because the document is processed locally and the final image and data is sent to the hosted/hybrid/SaaS environment after processing. Server side processing – Since buying processor cycles is expensive and storage is not, it makes sense to use local resources (even a windows PC) to pre-process documents to send to the remote storage facility.

7 What is a Hosted Solution?
Dealer controls and owns servers in a co-located data center GlobalSearch is installed normally in a virtualized environment Hyper-V, VMWare, Citrix Customer accesses GlobalSearch via direct connection to server VPN HTTPS connection RDP session Terminal Services GlobalSearch is administrated and maintained by Dealership Capture Workflow is run on remote server

8 Capture Considerations – Processing
Scan to Shared Drives (hot folders) – Directly connected to Hosted Server (VPN connection) Scan to FTP (hot folders) – FTP folder resides on Hosted Server Scan to – GlobalSearch monitors inbox GlobalSearch access via HTTPS Drag and drop, Scanner API (TWAIN), import from local folder structure

9 Let’s take a look - Hosted
Co-Location scenario: Connecting to server via VPN connection Using RDP to access desktop and work in GlobalSearch application Accessing GlobalSearch via Public IP address.

10 What is a Hybrid Solution?
GlobalSearch is installed normally in customer’s environment Windows 7 Professional or Windows Server environment Customer accesses GlobalSearch via direct connection to server Client / Server GlobalSearch GlobalSearch is administrated and maintained by Customer/Dealership Documents are queued in GlobalSync (S: drive) with Amazon Web Services Capture workflow processes run locally

11 Capture Considerations – Processing
Scan to Shared Drives (hot folders) – Directly connected to Server Scan to GlobalSearch directly (TWAIN, OSA, EIP, Ebridge) Scan to – GlobalSearch monitors e- mail inbox GlobalSearch access via HTTP/HTTPS Drag and drop, Scanner API (TWAIN), import from local folder structure

12 Let’s take a look - Hybrid
Amazon Web Services Account – S3 How do we configure GlobalSearch to work within this environment? What is AWS actually doing? What is the reliability of AWS? Backup considerations – Is this backing up my documents?

13 What is AWS Actually doing?
Hybrid Continued What is AWS Actually doing? Amazon S3 provides a simple web services interface that you can use to store and retrieve any amount of data, at any time, from anywhere on the web. Store any type and amount of data that you want; read the same piece of data a million What is the reliability? Amazon S3 is designed to provide % durability of objects over a given year. This durability level corresponds to an average annual expected loss of % of objects. For example, if you store 10,000 objects with Amazon S3, you can on average expect to incur a loss of a single object once every 10,000,000 years. In addition, Amazon S3 is designed to sustain the concurrent loss of data in two facilities.

14 What is a SaaS solution? Software as a Service – GlobalSearch C2
Web environment only, no servers or client installations needed Customer accesses GlobalSearch C2 via direct connection S9 Hosted Server GlobalSearch GlobalSearch is administrated and maintained by Square 9 for a monthly fee Documents are stored on Square 9’s servers Capture workflow processes run locally with GlobalCapture, or non-process functions (TWAIN scan, import, drag and drop) to GlobalSearch C2 directly

15 Capture Considerations - Processing
Scan to Shared Drives for Processing functions (OCR/BCR, TextPDF, Separation, Deletion, Image Cleanup) with GlobalCapture for localized resource processing before uploading to GlobalSearch C2 GlobalSearch access via HTTP/HTTPS Drag and drop, Scanner API (TWAIN), import from local folder structure

16 Let’s take a look at C2
