1 The new Libris National Library of Sweden Olle Johansson
Katarina Synnermark RDA Editorial Group National Library of Sweden OLLE: Libris is a union catalogue for Swedish libraries: university, special and public libraries. This presentation is about leaving the old Libris and MARC21 and moving into a new system based on BIBFRAME, and about the conversion of metadata that comes with it. EURIG May 1

2 The new Libris The format in the new Libris is built on BIBFRAME 2.0, with addititonal elements from other models, e.g Schema.org. The purpose is to maximise the possibility of re-use and to guarantee that we don’t lose data in the conversion model.html libris-xl/ KATARINA: The new Libris The format in the new Libris is built on BIBFRAME 2.0, with addititonal elements from other models, e.g Schema.org. 3 3 OLLE: The BIBFRAME model in the new Libris.
Presently, only the entitites in the square are linkable. Gradually, more entitites will be possible to link and when the system is complete, it will be possible to link all entitites. BIBFRAME (Bibliographic Framework) is an initiative to evolve bibliographic description standards to a linked data model, in order to make bibliographic information more useful both within and outside the library community. When a resource is cataloged  -- a book, for example -- the resulting description includes information elements such as the author, what the book is about, various published forms, and  information about copies of the book. BIBFRAME 2.0 organizes this information into three core levels of abstraction: Work, Instance, and Item. Work.  The highest level of abstraction, a Work, in the BIBFRAME context, reflects the conceptual essence of the cataloged resource:  authors, languages, and what it is about (subjects). The Expression level, which is present in FRBR and RDA, is included in the BIBFRAME Work. This means that a new Expression, e.g. a translation, is regarded as a new Work in BIBFRAME. Instance.  A Work may have one or more individual, material embodiments, for example, a particular published form. These are Instances of the Work.  An Instance reflects information such as its publisher, place and date of publication, and format. Item.   An item is an actual copy (physical or electronic) of an Instance. It reflects information such as its location (physical or virtual), shelf mark, and barcode. BIBFRAME 2.0 further defines additional key concepts that have relationships to the core classes: Agents:  Agents are people, organizations, jurisdictions, etc., associated with a Work or Instance through roles such as author, editor, artist, photographer, composer, illustrator, etc. Subjects:  A Work might be “about” one or more concepts. Such a concept is said to be a “subject” of the Work. Concepts that may be subjects include topics, places, temporal expressions, events, works, instances, items, agents, etc. Events:  Occurrences, e.g. a festival, a concert, the recording of which may be the content of a Work. 3

5 id.kb.se id.kb.se is a service under development which will make available the foundation stones used by the Swedish National Library to publish structured, linked data. Here we will have mutual definitions and concepts which help coordinate descriptions of our material: Examples of building blocks in id.kb.se are subject headings, which are linked to id.loc.gov when there is an equivalent in Library of Congress Subject Headings (LCSH) OLLE: id.kb.se id.kb.se (inspired by id.loc.gov) is a service under development which will make available the foundation stones used by the Swedish National Library to publish structured, linked data. 6 Example expressed as data
Selma Lagerlöf < a :Person ; :familyName "Lagerlöf" ; :givenName "Selma" ; KATARINA: This is an example from new Libris expressed as data The Swedish author Selma Lagerlöf expressed in RDF: An ID for a description of the type Person, who has Family name och Given name 6

8 What is ? A national union catalogue
Between 400 and 500 participating libraries (128 public libraries) Nearly 11 million bibliographic records 32,5 million holding records Ca authority records (persons, corporate bodies, subject headings, genre/form terms) The manual cataloguing builds on imported records (from other libraries, CIP records) OLLE: What is Libris? - A national union catalogue - Between 400 and 500 participating libraries (128 public libraries) - Nearly 11 million bibliographic records - 32,5 million holding records - Ca authority records (persons, corporate bodies, subject headings, genre/form terms) The manual cataloguing builds on imported records (from other libraries, CIP records = Cataloguing In Progress) 8

9 What is ? Decentralised cataloguing
Cataloguing over extended time (changes of policy) Import of external data, automated conversion Some cases of incorrect data: Records with incorrrect format Unauthorised record content (too many/repeated fields/subfields) Incomplete record content (too few fields/subfields, internal inconsistency) Unauthorised fields Unauthorised subfields Unauthorised field values (codes) Incorrect field content Incorrect field use KATARINA: The cataloguing in Libris is decentralised Cataloguing has been done over extended time (with many changes of policy) We import external data and conversion is automated. Import from different sources complicates an even overall level and quality. 10 From Voyager to the new Libris
Analysis and move of metadata OLLE: Format and metadata: what is really happening when we move from one system to another? The Division Metadata and Systems Support within the National Library is responsible för coordination of metadata and decides the level of the metadata delivered from the National Library. Built on a presentation by Miriam Björkhem 10

11 KATARINA: A schematic picture of the move from the old system to the new This is Voyager, our current system, with data in MARC21. This data is converted to JSON-LD in our new system. From Libris we will export JSON-LD but also convert JSON-LD to MARC21 for the local library systems that still needs MARC. [Apologise for the text in the picture being in Swedish – explain the terms!] So the metadata conversion is made in two steps – it is not a process of re-conversion 11

12 Metadata in the new Libris
BIBFRAME 2.0 in the new Libris Data model with hierarchical levels: higher degree of re-use, less redundancy Higher degree of bibliographic control: authorisation, identifiers, global changes, check-up on incoming data, version check-up, etc. Flexible output: well structured metadata in different formats ”Plan B” allows interim storage in MARC to support conversion OLLE: BIBFRAME in the new Libris Data model with hierarchical levels: higher degree of re-use, less redundancy Higher degree of bibliographic control: Authorisation, identifiers, global changes, check-up on incoming data, version check-up, etc. Flexible output: well structured metadata in different formats ”Plan B” allows interim storage in MARC to support conversion – for fields, subfields or other information that are not supported by the new format that we need to be able to export in MARC. Metadata quality is not the same as high degree level Metadata quality is not the same as high degree level 12

13 A few starting points Correct MARC content: we must be totally certain about what we deliver (fields, subfields, codes). MARC content from Libris should not crash local systems Correct MARC usage: we cannot in the long run take responsibility for incorrect usage MARC data from Libris should not save local system solutions Field frequency and history has been guiding, but not deciding, in the conversion work Our focus is BIBFRAME, not MARC21 MARC is the format we are leaving. We will not develop MARC, but will not let it deteriorate either KATARINA: A few starting points Correct MARC content: we must be totally certain about what we deliver (fields, subfields, codes). 14 Less is more 14 <100% <100% +++ 100% 0 till >100% OLLE:
Selection: ”Less is more” No data are destroyed or deleted, but not all data are used 14

15 KATARINA: Old place – move – pack and bring the best to the new place Make a complete data download and keep in a safe place Unpack things in the new place Complement, order, fix Make possible export of handsome, well structured metadata in the next step 15
