Sometimes you need to lay out a brochure, a poster, or a school newspaper before you actually have the content that will go into it. Instead of leaving white space where the words will go, it can help to visualize the final product if you insert sample text.

Sample text is sometimes called dummy text. In the advertising world, it is often referred to as “Greeking” because it looks like text but can’t really be read... even by a Greek.

Fourscore and seven years ago, our forefathers brought forth on this continent... Of course, you could just type in the Gettysburg Address to fill the space... but that would take a while and might be a little distracting.

Luckily, Word has a function that will automatically fill whatever space you designate to fill. You do not have to cut and paste a thing — and you can tell Word exactly how much sample text to supply.

Here’s how to do it. Locate the cursor at the place in your document where you want to insert the sample text.

Now, type in the formula for sample text. Equal sign followed by… The letters r a n d followed by… Open parenthesis followed by… The number of paragraphs of sample text you want... a comma... the number of sentences you want in each sample paragraph followed by… Close parenthesis. There are no blank spaces in the formula

When you press Enter... Word will fill in sample text according to the number of paragraphs and the number of sentences you asked for in each paragraph.

=rand(2,3) We have used the formula “two, comma, three” in this example. That would insert two paragraphs of three sentences each. When you write your formula, replace the two with the number of paragraphs you want and the three with the number of sentences you want in each paragraph.

With your formula in place, simply press Enter...

If your document is using text boxes for specialized information, the sample text formula can be used there as well. Simply type the formula inside the text box.

Once you hit the Enter key, the sample text appears in the text box. Now you can format the sample text in the way you want it.

On the Insert tab, the galleries include items that are designed to coordinate with the overall look of your document. You can use these galleries to insert tables, headers, footers, lists, cover pages, and other document building blocks. After inserting the sample text, you can apply formatting that demonstrates the font and size you plan to use later in your finished product.
