Close Call System Enhancement Briefing Notes Overview of the enhancements to our Close Call System - Network Rail are delivering enhancements to our existing Close Call System to improve users’ experience of the Close Call System. - Strategy for new Industry-wide Close Call System still in development stages - Enhancements to Close Call System go live from Monday 4th December 2017 - Briefing packs including Users Guide and Video Clips are available on Safety Central portlet

Close Call System Enhancement Briefing Notes Overview of key improvements - Facility for responsible managers to accept/reject Close Calls when allocated to them - Online Smart Form allowing users without mobile devices to report Close Calls (This requires registering for the Close Call System due to security) - Images attached to Close Calls will be viewable instantly from the system - New function to enable responsible managers to provide progression updates to reporters on Close Calls - Mandatory feedback to reporters who have provided mobile/SMS number and/or address when reporting their Close Call

Close Call System Enhancement Briefing Notes Overview of key improvements - Close Call prompt reminder to Responsible Managers for Close Calls not viewed/actioned after 28 days. - Ability for users to view work log/communication log of Close Call as part of audit trial. - Improved internet security to protect Close Call System – new url link will take users into the Close Call System ( - New layer of Close-out check to carry out checks on Close Calls to ensure feedback are provided prior to closure.

Close-out Check Close Call allocated to Responsible Managers 3. Responsible Managers Close Call resolved and risk removed/mitigated - feedback provided

Close Call System Enhancement Briefing Notes Safety Central materials to support Responsible Managers - Revised user guides have been broken down into sections dedicated to each function of the Close Call System (Reporters, Responsible Managers & Close-out checker) - New video clips guides users through each functions - One page guides outlining roles for Responsible Manager and Close-out Check - Link to video/Audio recording of WebEx/Lync call briefing - Name & Contacts for Routes / Function Close Call Super Users/Coordinators

How will the new accept / reject function aid Responsible Managers with their tasks dealing with Close Calls allocated to them? With only 42% Close Calls closed out with feedback – how will this new Close-out check process support providing feedbacks to reporters who request for them? With the images now being available when reviewing Close Calls – will this support with the tools required to review and remove risks highlighted by our reporters quicker?
