Student Organization Leaders Should: Go to: uncw.edu/studentorgs (save to your favorites) Click Forms and Resources Go To: Section 2 Open the Fraternity Sorority Life PowerPoint Present the applicable portions of the PowerPoint to your organization at the next meeting All Students In Your Organization Should: (do this at a chapter meeting) Go to: uncw.edu/wavelink Log In using UNCW username and password Click on the first letter of your first name on the upper right hand corner Click your full name The Profile Tab is defaulted under My Account Profile If you have a proffered name add it now Make any other updates applicable to you Update a Professional profile pic Click the Notifications tab under My Account Profile Scroll to the bottom, put in your cell, carrier then hit Save and Test (NO ONE CAN SEE YOUR CELL NUMBER) Click the Interests tab under My Account Profile – add your personal interests to your “Ranked Interests column

3 Re-Registration Requirements 2017
Complete a Registration Training Complete Data Sheet (Re-Registration) Set up WaveLink page Add your entire roster (see next slide for additional roster requirements), add open events, fundraisers games, and a logo to WaveLink (think Instagram Profile pic) There are only a few things to do to become registered Everyone can check-off the first one for being here If you have your meeting times, your officer information, you will have time today and you can check off number 2 Has anyone revised their constitution in the past year? If yes, you will need to upload the newest version, if no, check it off Why upload your constitution? If you organization has any problems throughout the year, the CAIC (Nicole) office can be a support, however, only the online constitution can be followed. If you did not bring your stuff today, you will need to complete the items before March 31 at midnight – don’t wait until the last minute, SeaOrg shuts down when too many people use it… if you have problems or see an error code, just wait a few hours. If you wait until the last minute, you will have to come into the office for help by an Involvement Specialist

6 Benefits of being a Registered Student Organization
Registered student organizations have privileges reserved for active student organizations, including, but not limited to: Reserving space on campus Holding fundraisers on campus Requesting funds from SGA Using the university’s name or logo Have a page on the Registered Student Organization Directory page

19 Advertising on Campus CHWK – Any UNCW student, faculty or staff member can submit content to CHWK TV Teal Terminal - The television outside the Fisher University Union, outside Hawk’s Housing and Residence Life buildings - Must distribute through HRL administrative office they will approve and post for you (80 copies maximum) If you have a member that lives in the Residence Halls, do not have them post for you! Drop off the stack of flyers to the Res Life Office.

20 Reserving Space ON Campus
You can have up to 2 people set as Reservation Delegates on WaveLink after you set your members as reservation delegates. You can reserve places here: (copy and paste into browser) MAKE SURE TO LEAVE YOUR SPACES BETTER THAN YOU FOUND IT. Student Organization can reserve laptops and projectors from CAIC, using technology in academic space is prohibited. It is free in Campus Life space*.

21 Responsible Use of Facilities
Leave meeting space in the same condition found, including moving furniture back into its original place Take a picture as you enter and at the end of the meeting. Report immediately via if the room looks in disarray before your reservation began Only use sections of the facility that have been reserved by the organization Immediately report any incident(s) or damage(s) to the appropriate reservations office, whether caused by the organization or not

22 Responsible Use of Facilities
Remove any additional trash from the facility (especially large items such as pizza boxes) A UNCW student member from the sponsoring student organization must be present at all times during the time of the event Student organizations are required to inform the appropriate reservations office should an event, meeting, etc. be canceled at least 2 business days before the event date. Student Organization can reserve laptops and projectors from CAIC, using technology in academic space is prohibited. It is free in Campus Life space*.

24 The Basics!!! Following reservation protocol through Campus Rec. for their spaces For other reservations outside Campus Recreation, please following the following protocol. Reservation Delegate Quiz: Log into Seaport -> Click SkillPort CBT > search CRS 101 in the search box Login here For any event, meeting, program or student organization gathering inside, outside, in a room, on a sidewalk, on a field, for an on-campus fundraiser… PUT IN ALL THE DETAILS IN THE RESERVATION, IF YOU GET MORE DETAILS COMMUNICATE THAT WITH THE RESERVATION OFFICE Food: All food that is on campus MUST go through Aramark/Campus Dining : After you put the reservation into the system, they will let you know if you need to complete anything else.

25 Campus Life Reservations
Submission of Space Reservation Requests : All UNCW registered student organization space requests should be submitted by the reservation delegate through the Campus Reservation System (CRS).   Each registered student organization is allowed two reservation delegates, who will be responsible for all reservation requests and event communications. In order to request space, your delegate status must be reflected WaveLink.

Things to Think About… Who reserves space for meetings times? Which members are in charge of event planning? Which members are in charge of fundraising events on campus? Whoever puts the reservation into the system is the person who is expected to be able to answer questions about the event. FYI: These members will need to complete a training before reserving space!

27 Consequences and Repercussions
Do not ask for forgiveness after, you have the rules and are expected to follow all rules and policies of the University, local, state and federal laws. Code of Student Life First Violation: Formal VIOLATION from myself. Second Violation: 6 months without the ability to reserve space anywhere on campus.

28 Responsible Use of Facilities
Student organizations that fail to uphold the University’s facility policies may be subject to penalty which include, but not limited to: Loss of reservation privileges (two violations within a 6 month period) Charges for damages Charges for clean-up In order for student organizations to continue to enjoy the privilege of using campus space, organizations will be held to the University’s facility policies which includes, but are not limited, the following expectations:

29 CL Policies & Procedures at a Glance
Recurring Reservations: Campus Life space is available for the entire University community to share. To provide availability for other campus constituents and programs, please note: Reservation requests should be limited to three days per week and may not exceed four hours per booking. No more than a total of 12 hours may be reserved per week by any one organization or program.

30 CL Policies & Procedures at a Glance
Solicitation Tables: Campus Life solicitation tables are located in the Fisher Student Center lobby, Fisher University Union lobby, the Courtyard and at the Randall Library entrance. Only one solicitation table per organization may be reserved per day. Tables should be reserved no more than three consecutive dates in a week. Solicitation tables must be staffed at all times. Literature left on the table without staffing present will be removed.

Student Organizations can now utilize smart room technology in FSC and FUU Meeting Rooms *Not Burney Center or Warwick Center* Reservation Delegates can request Video/Data Projector through Campus Reservation System Don’t fret about the price on an original ! $40.00 will be on your original reservation Access codes will be ed to Reservation Delegates weekly Individual students and student organizations can check-in with the Information Center to get access codes day-of VGA and HDMI cables for check out Instructions on operating the smart room tech can be found at

32 Philanthropy Events on Campus
How many of you know your organization will be planning a philanthropy event next semester? How many of you have been charged to have fundraiser on campus in the last year? Campus Life Fee Waiver form If you are collecting money for an event, you will be charged an additional fee, this form will waive the fee for fundraisers.

33 Academic and Other Facilities
Classrooms Request online: Tina Strickland Academic facilities are available from 7am – 10pm (everyday of the week) Closed on state holidays If classroom set-ups are re-configured to accommodate a meeting, the room must be reset to its original configuration No access to AV equipment in Academic Buildings Please reserve equipment from CAIC for your needs for FREE!

34 Campus Life Reservations: Things to Remember
Reservation delegates should request space from and allow 2 business days for requests to be processed. By submitting a request online the space will be tentatively held until you return a signed facility use agreement. If you do not sign and return your agreement within 5 business days of the event, your event may be cancelled. Some rooms have a setup and breakdown time incorporated into their information.  When you browse for availability, although a space may appear to be vacant, setup and breakdown times might prevent you from reserving that specific room. Due to scheduling, technical needs should be requested at least seven days in advance. *additional fees may be encumbered so plan ahead. Some rooms have static setups, meaning the furniture is not to be moved. Familiarize yourself with these spaces to avoid unnecessary fees (listed online in the terms and conditions)

36 Permits Dig Permit Public Performance Rights
Physical Plant, (permit here) Public Performance Rights Film & Gaming Licensing Lumina Theater, (see Reservations and Programming) You cannot show an entire film or movie in a public space without paying for the rights – that is between $250 - $1400 – typically – just because you own a copy that you bought from Walmart or Netflix does not mean you are allowed to show it = If people want to argue – say – in general, if you haven’t spent at least $200 you probably don’t have the rights to show it on campus for a club sponsored event, but I am not the expert, if Sandra says yes, you can do it, if she says no, you can’t remember the Adherence clause – as a student org, you must adhere to not only the policies at UNCW but also the law and it is illegal to show a film without the license. You Tube clips are fine!

Fundraising and Taxes Student Organizations that operate under the University Tax Identification Number must follow the same tax laws as the University. Sales tax dollars will be submitted to the University Tax Accountant who will remit the sales tax to the NC Department of Revenue. 41 Freedom of Expression Speakers/Events sponsored by RSO
RSOs are welcome to sponsor speakers on campus. Reserve the Amphitheatre space as you would any other event. Meet with the Assistant Director for Campus Activities Learn about the solicitation policy. Understand academic mission of the university. Obtain placard/lanyard to wear during event. Day of event: Student organization representatives must be present at all times (lanyard/placard worn by primary representative) Have a copy of the reservation confirmation with you.

42 Student Government Association (SGA)
The Student Government Association of UNCW is in charge of appropriating those funds to REGISTERED STUDENT ORGANIZATIONS that request it. Provides free legal service consultations to students (Wednesdays from 1:00-5:00) call for a confidential appointment Bike pumps and umbrella’s at the Information Desk for check out Provides scholarships to student organization leaders (that’s you!) The Appropriations Committee reviews funding requests and allocates based on SGA policies.

43 SGA Scholarship Criteria
first-place award consists of one $500 scholarship and a $500 textbook scholarship from the UNCW Bookstore and the second place winner will receive a $250 textbook scholarship through the UNCW Bookstore! Have completed one full semester at UNCW (If Spring 18 is your 1st semester, you are not eligible0 Be a full time, undergraduate or graduate student at UNCW Be a member of at least one registered UNCW student organization Be an active member in his/her organization Be returning as a student in Fall of 19 Have a 3.0 Cumulative GPA. Be in good judicial standing with UNCW. SGA Scholarship Recipients are awarded a the Dub Awards. Submit the Application Form due before March 1, 2018. “Are you or have you been involved in UNCW activities (Organizations, Clubs, Fraternities, or Sororities)?

44 Student Government Association (SGA)
The Appropriations Committee will make a decision and recommend approving or denying your request The requests MUST be related to your organizations mission statement on your constitution. EX: Panhellenic and Order of Omega bringing in a speaker regarding leadership and building community. EX: IFC bringing Kim Novak to speak on Campus Safety, Hazing Prevention and Risk Management EX: Any organization hosting a social event on campus such as inflatables, comedian, speaker, event. Requests must be turned in by 5:00 pm on Tuesdays to be considered that week by the Appropriations Committee. NO EXCEPTIONS!

48 Program Funding You can request up to $3,000, or if more than one organization is sponsoring the event, $4,500. Requiring a Contract – Must be turned in 9 Tuesdays before event date Not Requiring a Contract – Must be turned in 5 Tuesdays before event date There is a $200 maximum for the funding of food and/or beverage provided the food and/or beverage is integral to the nature of the program. There is a $200 maximum for the funding of apparel provided the apparel is integral to the nature of the program. T-shirts used for advertising do not count SGA does not provide any funding for programs that serve as fundraisers. There is a $150 maximum on advertising expenses per program. All SGA funded events must be open to all UNCW students. Students and student organizations are not permitted to enter into contracts with any off-campus agencies, regardless of funding source. You can obtain performers and speakers with contracts, but the university must be a signatory.

This Semester: If your organization turns in a request by 5:00 pm February 6th (tomorrow) for a travel or program without a contract can be done March 13th or after. (5 weeks) If your organization turns in a request by 5:00 pm February 6th (tomorrow) for a program with a contract can be done April 10 (9 weeks) Last day of the semester to turn a proposal in for an event without a contract is March 20 for an April 24 event. Last day of the semester to turn a proposal in for an event with a contract is Feb 20 for an April 24 event. Plan ahead…. This Summer and Next Semester: Early Hawk Travel and Early Hawk Programming Due February 20 Programming Events: August 22 – November 2 Travel Departure: July 1 – October 9 April 10- answer Last day this semester to run in a form with a contract would be Feb 20 for April 24 event.

51 Travel Funding Up to $1000 per organization
Cannot have more than 2 travel requests per year How many of you are required to go to a Conference? If only 3 people are going then the maximum amount available is $750 2 people 500 1 person 250 Itinerary – breaking down what will happen every day during the trip We require with an itinerary with every travel request If your conference does not have one yet, use the previous years itinerary If you are not traveling to an official conference a typed up and detailed itinerary will suffice Hotel, Travel method, Registration, any other expenses require sufficient quotes If you are flying you need two travel quotes from different sources If you are getting a hotel room, no more than 4 people may stay in it.

52 Operational Budget (IFC, Panhellenic and NPHC Only)
An Operational Budget is only for operational needs - equipment, supplies, and promotional materials Funding is only up to $500 to an organization for equipment/supplies, unless the equipment/supplies provide exceptional and unusual benefit to the University and its students Funding is only up to $100 to an organization for promotional materials You can give a presentation to the Appropriations Committee if you would like to offer further explanation to your request March 13

53 Capital Expenditures (CapEx)
Funding for a one time large capital purchase over $500. Must have at least a 3 year life expectancy. You MUST give a presentation on why you need the expenditure. Priority is given to student organizations that prove need in both application and presentation, as well as given to those requests that benefit not only the organization, but also the entire university You must demonstrate the benefit of the item to the university in your presentation If you are granted the expense then you cannot request the same item or item that provides the same use for another 3 years. Items purchased with funds allocated through Capital Expenditure Funding must be available for students to use free of charge Items may not be purchased with Capital Expenditure Funding with the intended purpose of supporting fundraising activities

58 SOLD The Student Organization Leadership Development (S.O.L.D) is a personalized workshop program created for leaders of registered student organizations to help provide them with the tools they need to be successful. These workshops serve as an opportunity for organization members to come together and network while also providing skill development and leadership work shops. The goals for all of the S.O.L.D workshops are to: Provide student organization leaders with the skills, strategies, and best practices to turn their ideas into action plans Encouraging collaboration in a way that fulfills the missions of all organizations involved. Develop individual leadership abilities of student organization leaders and assist them in advancing their skill sets and critical thinking. Development Programs include but are not limited to officer transition, campus resources, event planning, resumes, recruitment and retention, branding and marketing, officer roles, and time management. If your organization or you need are interested in having another type of workshop then please indicate so below.  *The maximum number of workshops you can request is two (2).
