Bubble Films has significant technological and process-driven challenges. To sustain growth while reducing cost, these challenges will need to be accounted for and have initiatives in place to meet them. Bubble Films is a Hollywood, CA based company that produces documentary films.
150 employees located in 3 states 20% of employees work from home Company uses 200 CPU’s, 5 servers, and a mainframe CPU Bubble Films is a Hollywood, CA bases company that currently employs 150 employees across three different states and is looking to grow. Of these employees, at least 20% of them work from home. With the infrastructure and growth of companies, it becomes necessary to adopt changes that promote the diversity of Bubble Films. We will show Bubble Films some of the team’s preferred options when it comes time to implement software platforms and applications. Who is Bubble Films?

Our team took a closer look at various software platforms for Bubble Films to consider taking into account the specific details of price, performance, required training, customer reviews, and user friendliness. We find the most important functions should be a platform that implements seamlessly and quickly, one that offers low maintenance options, cloud based, and proves to be flexible for company growth. After comparing all the detail we as a team decided that Datapine would be the best choice for Bubble films. Is there one close? Well the great part to Datapine is that the vendor is Datapine that right it is direct from the company. The direct vendor cuts out the middle man that way all the cost with that are gone as well. It also lets you have that one on one with the creator of the exact software that your business will use. We also took a look at several reviews from current customer and did some reviewing our selves. We want to ensure Bubble Films will have the best priced option for what their current needs are now and capable of expansion when the company experiences the expected growth. Datapine once again beat the competition in this area as well with the margin being slim but still best price of the software we looked at. So with the companies needs being met, SiSense would cost the company an up front cost of $8000 which is only for the first 5 users where the costs climb after that. Datapine will only cost $229 per month per user and all the needs are met with this price range. Bubble Films can start with a minimal amount of users to determine if this product is right for them. The typical functions of collaborative software provides groups or teams , IM, discussion forums, project management, and also the usefulness of document sharing. This is a key function for companies that have team members working from remote locations such as Bubble Films. These software platforms help bond the strengths of team communications, information sharing, and coordination/collaboration of work related tasks that a team may work on together while everyone else on the team is up to speed on the real-time status of the task or projects(s). As collaboration becomes more and more the way to go for most companies, it certainly is a must-have for companies that us team working environments where all the members are not located under the same roof. All these vendors have many similar collaboration functionalities of there respective software platforms which they all offer a cloud-based product that we are considering a must for Bubble Films. The other consideration, and possibly the most important, is having the opportunity to combine some of the applications under the same platform, or vendor. This can help reduce the expense and facilitate the company’s Return on Investment (ROI) much quicker. With this in mind, Salesforce is the preferred vendor for Bubble Films. Salesforce can integrate the collaborative efforts, Customer Relationship Management, and sales tracking functions under one cost umbrella (discussed in later slides). Collaborative Vendors

Accounting and cost analysis is a significant part of any business strategy. How a company manages its finances is as important to a company as the product or services that the company provides. Going through the process of constructing a financial plan is a valuable exercise for any business. The financial plan, or budget as it is also called, helps guide the day-to-day decision making of the business. Comparing forecast numbers to actual results yields important information about the overall financial health and efficiency of the business. In order to maintain a company's finances appropriately an acceptable financial and accounting system must be implemented. There are an abundance of benefits that come with financial software. These benefits include being aware of the state of your companies finances, being able to forecast cost and earnings, produce useful reports, aid in the decision making of the HR department and maintaining your company's tax information appropriately. Due to the nature of the film industry we feel that the SAP Enterprise Resource Planning system would serve Bubble films the best. While slightly more expansive than the other two options, SAP ERP provides significantly more advanced analytical tools. We feel that these tools will be need in order for Bubble Films to manage the myriad of costs that are involved in the film making process. All of the equipment and resources needed to produce films will need to be managed so the asset management capabilities of SAP ERP will aid you greatly in determining when you need more or less resources to maintain a profitable business. Human Resource Integration was another deciding factor because in order to make better decisions in regard to talented employees the HR department will need to be aware of financial status of Bubble Films. Probably the most important contributing factor to our decision is the cloud based capabilities of SAP ERP because of Bubble Films geographical footprint. Financial Software Vendor and Product Review

Bubble Films needs a provider with adequate experience in order to cater to their specific situation and SAP has this experience. Something that you will notice is that SAP is often utilized by highly successful companies, including all of the Dow Jones top scoring sustainability companies. Also, SAP is considered a market leader in applications, analytics and mobility solutions. SAP has also established one of its biggest offices in Palo Alto which is less than 2 hours from Bubble Films Hollywood office via air. Clear advantages of implementing SAP ERP include advanced payroll management, forecasting, advanced asset and budget management, customizable reporting solutions, project segregation and cloud based access. Project segregation is an advantage that we think will greatly benefit Bubble Films because it will allow you to do separate cost analysis of your individual film projects, clear showing which ones were profitable and which were not. There are two distinct disadvantages to implementing the new SAP ERP system. One is that training will have to be provided to the individuals using the system and different levels of training will have to be administered depending on an individuals level of use. The second, which coincides with the first, is that the implementation will being a burden to Bubble Films for a short period of time. What you must realize is that the cost of implementation, if done correctly, while be compensated for once the system has had a chance to provide cost benefits to the company. Here you will see the estimated costs to Bubble Films for the implementation of SAP ERP. Notice that the cost per user per year is a range. Depending on the level of use of an individual the cost may be more than the base cost of $500. This is something Bubble Films will have to determine when moving forward with SAP ERP. We strongly feel that the investment made in the implementation of SAP ERP will quickly be mitigated when the system is used to make efficient and accurate business decisions. For example, keeping track of a particular customer’s buying patterns would make it clear what they are most interested in. When launching a new product that’s similar, you could make it a point to contact that customer and let them know. Consequently, this makes it possible to increase sales without having to constantly advertise to new customers. The primary purpose of CRM software is to streamline all major areas of customer interactions. This can include managing contacts, setting appointments, monitoring a marketing campaign, handling customer service, and numerous other tasks. Besides immediate needs, it’s important to consider long-term needs and take future growth into account. That’s why software that’s adequately scalable is so critical. Ideally, a platform will be Cloud-based to accommodate increased data storage and more contacts as they are acquired. It will also have the option to conveniently purchase upgrades as needed. Finally, the vendor you choose should have a positive reputation for providing a quality product and professional service. One thing we know for sure is that we were only comparing cloud based platforms for the ease of maintenance and remote needs of Bubble Films. Customization of software is another big factor, as each end user always has a different need to fulfill than the next person. Each of the three platforms that were evaluated each are strong in these needs and for us it came down to who has been around longer and more widely used with integration to other used platforms by Bubble Films. We are able to accomplish this by combining the Collaboration functions and CRM features of Salesforce. Popularity has speak measures here, as customer and product support should always be the deciding factor when most of the other categories are evenly matched. Salesforce will be the preferred choice of CRM for Bubble Films because of the award winning support and accessibility that Salesforce has proven over the years. All three of the compared platforms offer structured pricing plans that definitely vary in features and benefits based on the level selected. The chart shows that Insightly may be the best priced option, but unfortunately this platform does not offer a billing/invoicing feature that would be an important feature to Bubble Films. With the Collaboration and CRM features combined along with the billing/invoicing features available from Salesforce, it becomes obvious to our team that Bubble Films will heavily benefit from Salesforce being implemented. The Professional Plan will get the company access to the Collaborative forecasts and functions it is recommended that Bubble Films commits to at least the Enterprise Plan to maximize the feature sets this platform has to offer. These numbers do not happen by accident or because lack of support. The only real con that our team has found goes back to the phrase “you get what you pay for”! A well developed and supported software like Salesforce should not be the least expensive and sometimes business have a budget they can’t exceed. The ROI for a business that is utilizing software and applications to grow sales and staff is minimal when taking advantage of collaboration services, analyzing and processing of data, financial services, and CRM solutions that combine marketing, sales, services and much more!
