Current High Level Requirements and Scope Stand up the initial HP Asset Manager platform for DWP Hosting Build the integrations to and from UCMDB: Asset Manager Transition the master data to HP Asset Manager Set up Hardware Asset Management within HP Asset Manager Setup the Software Asset Management Software License Optimisation module within HP Asset Manager and onboard the following Software Vendors: Microsoft, IBM Configure reporting Support knowledge and skills transfer throughout the project giving DWP Hosting the skills and knowledge to support the platform and onboard the remainder of their Software Estate

Work Package Breakdown Work Package 3.3 – Hardware Asset Management HPE provide Hardware Asset Management capabilities in Asset Manager: Optimized mixture of out of the box capabilities and LBG specific requirements (as defined in RTM and accepted in preparation phase) Full Lifecycle Asset Tracking Use of multiple statuses for Asset Lifecycle Phase Support of manual and automated status changes Tracking of status changes with dates and change source Tracking History on attribute level Basic Stock Management capabilities Register Stock location and/or Shelf Location Handle different stock related statuses Reconcile with external data Capability to link to stored purchase order & invoice data Use CMDB data for updates during “in-service” part of the lifecycle Automation System Generated warnings/messages based on attribute updates (e.g. status change, date change, nearing a set date) Old text: HPE will perform the following activities to configure the out of the box Hardware Asset Management against agree requirements: Configure User Interfaces according to data hardware template/s, wizards, fields: mandatory attributes, history Setup workflows logics in order to manage the lifecycle of Assets Setup user rights for the Asset Manager Access: restriction, read only, admin etc. Creation of different profiles (reading profile and writing profile) to analyse portfolio information Set up the out of the box reports Configure logic for contract management Relate Hardware Inventory to Contracts for a sample of predefined data, performing knowledge and skills transfer to DWP Hosting to complete the relationships of the remaining data. Unit Test Remediation and retest This is a 100% T&M statement. Defining activities instead of deliverables.

Work Package Breakdown Work Package 4.1 – Data loading in test HPE Will provide the following capabilities to load additional data in to Asset Manager Templates and import mechanism for bulk loading license, software contract and software maintenance contract data Import function for Master Data, including Locations, Employees, Departments Import functions will contain validations according to defined data quality and reconciliation requirements In addition to the above, HPE will provide the following services limited to a fixed number of days: Define data quality requirements for loading data into Asset Manager Support in initial review and quality checks with customer Support LBG with data validations after loads Note: HPE will not be responsible for data quality of external sources

Work Package Breakdown Work Package 8.1 – Software Asset Management (Setup Generic SAM Functions) HPE will support the following activities to configure the out of the box Software Asset Management and generic SAM functions: Install the out of the box Product Content Library from the SLO SAM Best Practices module for the Vendors in scope: Microsoft, IBM and SAP Set up Licence Management components: Establish mass upload function for initial SW Contract, Licences and SW maintenance contracts population (CSV file connector) Provide template for SW contract, Licence and SM maintenance contract loading Configure CSV connector and test Load (single file) for in scope data sources (SW contract, Licence and SM maintenance) Document Load mechanism Knowledge transfer on data load mechanism for LBG to load future sources Configure wizards: Licence creation Maintenance renewal wizard Configure views and forms (upto X days effort) Create Licence Management work instructions (according to HPE SAM Best practices) Validate configuration with LBG (2 in a box walkthrough) Remediation/Rework

Work Package Breakdown Work Package 8.2 – Software Asset Management (IBM ILMT) To correctly represent the data from ILMT in Asset Manager, HPE SWS will provide the following services: Review LBG provided IBM license SKU information Priortise and agree target 100 IBM applications, based on available data Prepare and validate maximum of 100 counters for IBM products that process data from ILMT This includes: Ensuring that the correct licenses will be linked to the counters Validate the aggregated data provided by ILMT is linked to the correct counter Validate the counter result based on the available data (2-in-a-box review) Adjust the counter when needed Create an IBM functional Domain to group all IBM related screens, views and reports Create the following additional screens for IBM IBM Software products: A list of IBM Software products and quantities found in the estate IBM PVU Ratings: A list of IBM PVU rates for all servers IBM Counter results: A list of the latest counter results for the provided IBM counters

Work Package Breakdown Work Package 8.3 – Software Asset Management (SAM Microsoft Licence Model: Desktop Applications) Once the configuration of the Out-of-the-box Software Asset Management is completed, HPE will support the following OOTB content for Microsoft: Create a Microsoft functional Domain to group all Microsoft related screens, views and reports Move applicable out of the box content to the Microsoft Domain Create the following additional screens for Microsoft Microsoft Licenses List: A list of all Microsoft Licenses, preferably reported by SKU, showing number of entitlements, License Model and SA coverage Microsoft Contracts: Show all Microsoft related license agreements and software assurance contracts Review Microsoft SAM licensing approach for the in-scope products of this WP. Based on the available data, HPE will provide services to give a overview of the discovered desktop applications, and calculate the number of entitlements and license consumption of these products. Automatic identification of licensed devices. A license device will be defined as a device, not being a server, with a desktop application installed, and where the main user is not linked to either an Office 365 subscription that includes desktop applications or a Visual Studio with MSDN subscription Create automatic identification workflow/script Continued on next slide……

Work Package Breakdown (continued from previous slide) Work Package 8.3 – Software Asset Management (SAM Microsoft Licence Model: Desktop Applications) In addition to the out of the box content for Microsoft HPE will support the following: The overview covers the following topics: Creation of counters for the following products: (6 counters, assuming version specific variations can be handled in the script) Windows Server: Foundation, Essentials, Standard and Datacenter. SQL Standard SQL Enterprise - If regional reporting of results is required, for each of the above counters a maximum of 3 regional instances will be created - Apply downgrade rights for desktop application (any version covered for the same edition) Create the following screens to provide information on desktop applications Product List: A list of all found Desktop Application products and versions, and quantities for installations found on (virtual) desktops, laptops and (virtual) servers License List: List of Desktop Applications and Licenses - Licensed Devices: A list of devices showing if they are licensed via Desktop Applications license or one of the three - exceptions Home Use, MSDN or Office 365

Prerequisites for the project DWP Hosting to provision Hardware and Software Infrastructure for Dev, Test and Production environments DWP Hosting provide remote access, Admin rights, credentials, network connectivity where required. Relevant Network ports and firewalls opened where required. DWP Hosting to provision user accounts and network access, via Laptop/Desktop, as and when required DWP Hosting to provide access the required Technical and IT Asset Management resources throughout the project to support HPE with the delivery of the project at the specified times outlined within the project DWP Hosting to support the project with required Software, Hardware, Contract, Procurement and Entitlement data at the relevant milestones outlined within the project DWP Hosting to support the migration of data, data consolidation, data transfer to HP AM upload templates, data cleaning & validation and relevant activities associated with the transition of data into HP Asset Manager DWP Hosting to support Testing Activities at the specified times within the project plan DWP Hosting to support the support and sign off each work package DWP Hosting to provide a project manager throughout the project to support the project management DWP Hosting will need to have an instance of UCMDB implemented in order to support the integration from UCMDB to HP Asset Manager

Key Risks for the project (Not an exhaustive list) DWP Hosting Resource Limitations HPE resourcing availability to support HP Asset Manager implementation UCMDB Project is a dependency for HP Asset Manager for DWP Hosting and the UCMDB project is a separate project running in parallel to the AM project. If any issues are experienced on the UCMDB project it may impact the AM project due to the required integrations. HPE do not have detailed visibility of the Licensing agreements, therefore there is a risk associated with the out of box content from HP Asset Manager not being fully aligned to the LBG licensing agreements. Risk of poor quality data from Datasources

Pricing summary Fixed price: TCV = TBC (inclusive of expenses, excludes VAT) Expenses: TBC Team setup: Full time project manager – local Part time solution Architect – local team lead Senior Technical Consultant – local GDC Technical consultants Pricing includes expenses. The project is scoped on a Fixed Price Basis. This pricing is not capable of acceptance and will be refined once DWP Hosting confirm the intent to proceed.
