6 TIMELINE 45 DAYS 45 DAYS BEFORE EVENT Contact Student Union and
Event Services to set up an appointment to meet with an Event Coordinator to discuss the following: Room Setup A/V Equipment Food Order, Sodexho or External Catering 45 DAYS

7 TIMELINE YOUR EVENT ALL EVENTS MUST BE REGISTERED!! 45 DAYS BEFORE
Log onto OrgSync: Go to your org’s page Click on Forms Click on Event Registration Form Fill Out and Submit

13 HERE’S THE 411 1. REGISTER EVENTS 45 DAYS OUT
2. Any off campus event sponsored by a registered student organization that uses the WSU name and alcohol is being served or alcohol is on the premises, must follow the alcohol policy listed in the handbook as well as FIPG guidelines available in the Office of Student Activities. EVENT IS REQUIRED TO BE REGISTERED 45 DAYS OUT

14 HERE’S THE 411 3. Using an outside caterer, fill out an External Catering Form and return to Jane Schelb, Student Union and Event Services. 4. Reserve indoor or outdoor space for an event by contacting Student Union and Event Services, Reserve space in residential area by filling out this form:

15 HERE’S THE 411 5. Selling food or accepting donations, you must purchase a temporary food license from Greene County Combined Health District, or call YOU DO NOT NEED A FOOD LICENSE TO HAVE A BAKE SALE

16 FOOD IT’S THE LAW As stated, you may NOT prepare food off site and then bring it to campus to sell. BAKE SALES are the exception to this rule. All food sold at Bake Sales must be individually wrapped and not require heat or refrigeration. See policy in the Student Handbook,

17 FOOD IT’S THE LAW If you are SELLING FOOD or ACCEPTING DONATIONS,
you are required to apply for a temporary food license. You may obtain this form & other information about selling food on the Greene County Combined Health District’s website: Go to Environmental Health section & then go to Food Services section. Temporary food license is $45

18 FOOD If you are GIVING AWAY FOOD you are not required
to purchase a food license. However, you are REQUIRED to follow the safe food handling procedures that are listed in the Greene County safe food handling brochure. You may view it online by going to the GCCHD website: Go to Environmental Health section and then go to Food Services section.

19 FOOD You may also obtain a copy of the brochure in the Office of Student Activities, 019 Student Union. You are required to submit an External Catering Form to Jane Schelb in Student Union and Event Services if food at your event is NOT provided by Sodexho. This form will be ed to you or given to you during the event review meeting (if needed)
