Worcester Students’ Union

2 Todays aims Introduction to your roles and responsibilities as Social Secretaries. Ensure that Social Secretaries are aware of the types of social events and the activities that are put on in the Students’ Union. Introduce the committee resource hub and how the documents will be useful. Ensure that Social Secretaries understand what is unacceptable in regards to a social event. Go through the aims of the day one by one

Communication Planning Organisation Approachable Delegation Motivation Being a social secretary allows for the opportunity to help the running of club or society, this is done by organising and carrying out suitable events and activities. This specific role is extremely diverse as it requires planning, organisation, delivery of the social and, generally providing fun and engaging activities for members to enjoy. By becoming a social secretary you are developing and improving many of your qualities that will enhance your transferable skills and employability.

5 Activity - What do you think?
Have a discussion (in groups or individually) and come up with a few pointers on what you think is involved with being a social secretary. (Roles/Responsibilities) Have a chat and find out what they think and their experiences of ‘social secretaries’.

6 Roles Organising social events, trips, activities, and end of year celebrations. Promote your Club/Society effectively. Ensuring new members are made to feel welcomed and involved Arranging suitable venues for the social events. Communicate to your members what is going on and other students who may wish to join. Feel free to add in your own notes around these 5 points.

7 Key responsibilities Communicate with appropriate members of the committee to identify the types of social. Organise social events. Plan and organise fundraising events. Encourage new members to join the club. Motivate members to attend social events. Ensure all socials are in a safe space. Again, Feel free to add in your own notes around these points.

9 Planning a social event
1. Develop the idea/event 2. Operational plans 3. Promote the social to appropriate audience 4. Budgeting 5. Health and Safety 6. Evaluate All social events will be different dependent on the club/society.

Why are you running the event? What sort of event will you run? When will it take place? Who will be involved/coming?

11 2. Operational plans Acknowledge tasks that need to be completed
Delegate tasks to individuals/other social secretaries Create a plan for the night Remember to communicate with all members involved within the social.

12 3. Promote the social Be creative Focus on your aims and objectives
Remember the key points of the plan Work with your committee to achieve your goal Most importantly - HAVE FUN!!!!!

13 4. Budgeting Create a spreadsheet with expected costs and income
Make sure ticket sales cover costs if you aren’t covering the costs Make sure you know when suppliers want to be paid Follow the correct procedures

14 5. Health and Safety You have duty of care to all members
Fill in the relevant forms on the committee resources hub First Aid (if needed) Food Safety (if needed)

15 6. Evaluate Look at what went well and what didn’t for next social
This is a great tool for handover at the end of the year!!

16 Activity - Your turn Allow them to have a go at planning a social event of their choice. Get them used to identifying an idea, how they would organise it/what would be included and who would be informed/invited.
