1 CS3040 Beacon Module 9 Invoiced/Open Orders
People and Technology Creating a Safer, Cleaner Environment Updated 6/13 Welcome to the Clean Harbors Beacon Module 9 – Invoiced and open orders This course is coded CS3040 and is a conducted as a one time module or refresher as needed

2 Invoiced Orders Tab The Invoiced Orders tab displays the last 500 invoiced orders for a company. To access the invoiced order area for a customer, display the customer on the powerpage, and click on the INVOICED ORDERS tab. We will start with Invoiced orders. The invoiced orders tab displays the last 500 invoiced orders for a company. Click on the tab from the powerpage * Invoices are listed as shows in the example displayed here. Click on the column headers to sort the data for ease of use. Invoices are listed as shown in the example above. Click on any of the column headers (i.e. sales order #, invoice date, etc) to sort the data. Click once for ascending sort, click again for descending sort.

3 Invoiced Orders Tab In order to view the information on the invoice click on the invoice # hyperlink as shown below. The first line, “Create an Invoice/Debit Memo” shows the amount of the invoice. The second line, “Pay an Item” shows the amount the customer has paid. Adjustments to the invoice would also be shown here. There are 2 hyperlinks on each invoice line. If you click on the INVOICE number, you can view information about the invoice payment. * The first line you will see is “create an invoice/debit memo” and shows the amoutn of the invoice, and when it was billed. The second line “pay an item” appears if the invoice has been paid. It shows when the payment was received, and the amount of the payments.

4 Invoiced Orders Tab To view information about a job, click on the “Sales Order” hyperlink that will open the Job Folder Screen shown to the right. If you click on the other hyperlink of sales order you will open the job folder screen * The sales order number you clicked on will automatically populate. You can then choose what it is you want to view: preview invoice, preview invoice-pc doc, off C manifests, profiles, worksheets, invoice, Invoice-pc doc, manifests, weight tickets, or vendor invoice The sales order # will automatically populate. Choose from the Index Selection: Preview Invoice, Invoice, Off C Manifests, Profiles,Worksheets,Manifests, Weight Tickets, Vendor Invoice and Voucher to see what you would like to view.

5 Invoiced Orders Tab This is an example of a manifest retrieved.
From here, print out the scanned copy using the Print icon, or it using the ‘ Icon’ link.  You can go back to the index and access as many pieces of information as needed. This is a great tool for getting the customer information quickly and accurately! 6 Open Orders Tab Use the Open Orders tab to view the open orders for a company. Open orders are defined as orders that have been placed for jobs that have started, but which have not yet been billed. The option is there to view the scanned manifest copy, scanned worksheets, preview invoice copies etc. To access the open order area for a customer, display the customer’s powerpage, then click on the OPEN ORDERS tab. The other tab we will review is the open orders tab. This allows you to view any open, or un-invoiced orders for a particular company. An open order could be on the tab if it is a job that has started and not billed, or there were lines on a job that did not bill. In the latter example, the CSR would need to go in and close out the lines. They review them on a regular basis. * Open orders are listed as shown in the example. As with invoiced orders, you can sort the data by clicking on the headers. If you click on the sales order hyperlink, you will be launched into the job folder Open orders are listed, as shown in the example above. Click on any of the column headers (i.e. sales order #, job type, etc) to sort the data. Click once for ascending sort, click again for descending sort.

7 Open Orders Tab Click on the hyperlink Sales Order # column to view information that corresponds to the Sales order #. The box to the right will be displayed, select Job Folder to bring up the Job Folder screen. Once you clicked the hyperlink, you need to choose a sales order application. Always choose JOB FOLDER * The sales order number will automatically be entered. Click on the appropriate index selection to view information about the open orders The Sales Order Number will automatically be entered, click on the appropriate Index Selection to view information about the Open order.

8 Open Orders Tab Below is an example of a Manifest Copy
The scanned copy can be printed using the Print icon, or it using the ‘ Icon’ link.
