Printing Services Program Review Presentation April 20, 2009

2 Program Description Printing Services at ARC exists to provide the college faculty and staff a wide variety of printing & mail services in the most economical & efficient manner at the highest quality possible. Brief Description of your program. Who are you? One Slide, 2 minutes

3 Program -- Strengths Cost effectiveness & security
Our contracts are bid very competitively by local vendors to get the best price possible on equipment tailored to fit the needs of ARC. By not sending the work off campus, we reduce the chances of ARC quizzes, midterms & final exams getting into the wrong hands.

4 Program -- Strengths 24/7 secure access to our department
With Digital StoreFront (DSF) we are able to offer access to our customers at any time of day. We host DSF on our own server so it sits behind our own ARC & LRCCD firewalls. By using LDAP to login, we reduce the number of passwords ARC employees need to remember while having built in authentication.

5 Program -- Strengths File compatibility
With server side PDF creation & our own ARC Printing Services printer driver, we spend less time fixing problems due to missing fonts or bad files. This translates directly to more throughput and higher volumes of work possible in the same amount of time.

6 Program -- Strengths JDF Workflow
Simply stated, we have the ability to have our customer submit a job to Digital StoreFront and the copiers turn on without my operators needing to re-key requested information from a job ticket. We are one of the first in the U.S. to have that up and running, and it has been instrumental in keeping up with the volume of work.

7 Program -- Challenges The biggest bottleneck we face as a department would be our facility No space to store the pallets of incoming or outgoing paper = constant manual labor to load & unload them as they show up. January 2010, we did just shy of 2,000,000 impressions. Our square footage also limits the size equipment we are able to house; which limits our throughput. We have max’d the available power.

8 Program -- Challenges The delivery system.
Currently the Maintenance Department delivers all of our printed work to the campus. The inconsistency with this very critical part of our workflow has led to numerous times where missing jobs have had to be re-done. This frustrates me and my staff on a regular basis. If allowed to, I would like to start delivering our own jobs and have them tracked and scanned from beginning to delivery for a more accurate and reliable system.

9 Program -- Challenges MIS system to help out with billing
With more & more jobs coming in to our shop, our billing for those jobs has increased to the level of needing to look into an MIS system to keep track of it all.

10 Planning Implications
What are the planning implications? New facility – Trade with an existing department like, or build new & share space with the Warehouse which would put transporting, receiving/delivery & storage all under one roof. New delivery system – Some reorganization would need to occur. We would also need to look into getting a bar code system in place for tracking. New MIS system – This would be an additional software purchase.
