2 Some ideas on ways to use messaging
Create a workshop environment: Have attendees discuss topics among themselves, and then submit thoughts and ideas to the group. For example “What are the challenges we should address in the next 12 months?” “What are the solutions to these challenges?” Have a question on screen during walk in: “What do you hope to get out of today?” “What are some of the hot topics/ challenges in our industry today?” Have a question on screen during walk out: “How has your thinking changed throughout this event?” “What were the key learning points/ take away messages?” Have the messaging feature open during all presentations: Leave the messaging function open the entire time to collect open ended feedback/ comments/ questions from your audience that can then be addressed during Q&A sessions or on your website post event.

4 Getting Started with Messaging in Meetoo
Before you invite attendees to your meeting, ensure you have set the messaging functionality in Meetoo to your desired setting. There are 4 settings available for Meetoo messaging: Messaging ON Messaging ON, Moderation ON Messaging ON, Moderation OFF Messaging OFF You can alter the settings at any point before, during or after your meeting simply by toggling the relevant button in the messages control dashboard.

5 Ways to get your audience using messaging in Meetoo
Use Host messages to encourage them to do contribute Show messages in the app (published) or on screen (via the projector) Plant a few messages in the board, it will give people confidence to do the same Brief presenter to remind attendees to utilise the message board to ask questions via the app Use holding slides between presenters or at breaks to remind attendees to use the app for messaging

7 Host Messages You may want to add a host message to the top of the message board. This could include: A welcome message Direction to the message board Explain how the message board works if moderation is in use

9 Intro slides for messaging
To ensure your meeting attendees know exactly what you want them to do and how to do it, use introduction slides to show them how messaging in Meetoo works. The process is very simple, however if receiving messages or questions from your attendees is important to you, it is worthwhile explaining it properly. Having your presenter talk through the introduction slide during housekeeping will go a long way to encouraging your attendees to participate. The following slides are some examples of messaging instruction slides that you can use. NB: Be sure to use the relevant introduction slide depending on whether you have messaging to Moderated or Un-Moderated mode.

New messages submitted by attendees will appear in the ‘Needs Review’ inbox A moderator can ‘drag & drop’ messages into any of the other inboxes using the drag handle on each individual message A moderator can move all messages from one inbox to another by selecting the ‘Move all’ button and choosing the destination inbox

There are 2 ways in which you can display messages to your presenters using Meetoo: Log into the control dashboard via the web browser on a tablet device and allow the presenter to moderate the messages/questions themselves, or you can have someone doing the moderation and the presenter just looking at the ‘Reviewed’ inbox. Setup a ‘comfort monitor’ for your presenter and use the display projector function (detailed previously) to show them the messages.

Full control dashboard view for presenters on tablet device By pressing the button, you can increase screen real estate for a presenter by minimising the control buttons for Polls and Data (reports)

A presenter can also moderate or publish messages to the app message board By pressing the button, you can increase screen real estate even further for a presenter by minimising the messaging inboxes

18 Giving the power back to the Chairperson or presenter
Using the various Meetoo messaging features detailed previously, you can give power back to your Chairperson or presenter during Panel Sessions or Q&A sessions. To make help your Chairperson or presenter facilitate a more effective panel or Q&A session, you can log the control dashboard into additional devices to allow for moderator to move questions from the ‘Needs Review’ inbox to the ‘Reviewed’ inbox. Your Chair or presenter can then be given a tablet device displaying solely the ‘Reviewed’ questions which allows them to choose which question to answer, put to a panel or potentially even move to the ‘Published’ inbox to be displayed on attendees’ app message boards. NB: You will need to ensure that ‘Moderation’ mode is activated on the control dashboard.

Displaying attendee messages/questions on your main screen can be important for a variety of reasons, however we have found the 2 reasons below to be the most common: Seeing the messages/comments/questions live on screen reassures attendees that the functionality is ‘real’ and not just going into an unmanned inbox somewhere Acknowledging messages/comments/questions live on screen encourages other attendees to participate in the meeting and add to the content with their own thoughts

Select the ‘Ellipsis’ button to reveal the projector display button. When launched, the projector display will open in a new web browser tab. The URL for this tab can be opened on any device with a supported web browser, however you will be required to provide your control dashboard login credentials if using on a device not already logged in.

Whilst in the ‘inbox’ (eg ‘Reviewed’) you would like to display, select the ‘Ellipsis’ button to reveal the projector display button. When launched, the projector display will open in a new web browser tab. The URL for this tab can be opened on any device with a supported web browser, however you will be required to provide your control dashboard login credentials if using on a device not already logged in.
