3 What’s New for FY 2018 No major reductions in state support; most departments funded at a minimum of 99% of their FY2017 levels Due to budget constraints, no authorized merit program for FY 2018 Fees for Fiber, Door Security, Telephone and Long Distance will now be billed on a central account Exception: Service Departments (27xxxx) & Auxiliaries (3xxxxx) Depts will still be responsible for new equipment

4 What’s New for FY 2018 Updated GIP rates will be included in budget guidelines Working Hours: 2088 Salary Savings for Non-Academic Vacant Positions will continue to be swept Non-academic positions may not be eliminated Budget Guidelines posted on our website

5 Important Dates Phase I : Lump-sum budget entry
Starts Today, Friday, May 26 Ends at close of business on Wednesday, June 7 Phase II : Salary budget entry Starts Monday, July 3 Ends at close of business on Friday, July 28 Detailed calendar available at budget.tamu.edu

6 Update on Workday Project
Workday goes live in December 2017 Lots of exciting changes from both the employee and departmental perspective Last year for BPP Prep process For FY 2019, merit & cost allocation (sourcing) will be separate Watch for more news and upcoming training opportunities

7 FAMIS Budget Module Access
Current users who have budget inquiry access have been given update access New users must submit Financial Systems Access Request (FD-805) Contact FAMIS Training & Security or

8 Phase I Reminders FAMIS Budget Screens
599 Budget Entry (remember to use if budgeting at the base 540 Budget Inquiry (last submitted version) 562 Allocations & Transfers 541 Allocation Inquiry (Can alternate the “To” and “From” accounts) You must account for all salaries you intend to source in Phase II as lump sums in Phase I Cannot increase beginning balances or revenues in Phase II Bottom lines must match from Phase I to Phase II No Beginning Balances on E&G (1x), DT (24x), Diff Tui (239x), UAF (237x) , AUF (29x) or Qatar SLA (2069x) You can budget IDC (231x) if you notify Budget Office

9 Phase I Reminders Verify that you are entering in the correct category on 599 by looking at the actuals in the right-hand columns Do not use the Mandatory Flag on 562. This is reserved for debt transfers only Initial salaries will load on 599. You may change or reload by using “F5”. They will not be updated in Phase I. Remember to move PINs off of Project Zero before payrolls are paid. Variance Analysis will continue; Smaller of 5% or $1M

11 Phase II – Dates & Access
Phase II – BPP Prep entry and FAMIS budget reconciliation Monday, July 3 - BPP Feed Template upload begins Monday, July 17 - Last day to submit BPP Feed Template Friday July 21 - BPP manual corrections due by 5 pm; BPP locked Friday, July 28 - FAMIS Budget Module locked Existing BPP Users: An requesting prep budget access should be sent to to the attention of Danny Grimes or Laura Quirino. Note “Prep Budget Access” in the subject line of the and note all Adloc(s) you need access to. 12 Phase II Phase II Template Data Phase II Reminders
Active payroll rolled to Prep – May 1st, May 26th and June 23rd If May 1st template is preferred please send to Phase II Reminders Templates will only be loaded one time per unit Deadline for requesting BPP access for manual entry will be Wednesday, June 23 at noon

13 Phase II Reminders Rec 1 should reflect the most current base salary
Remove administrative stipend Adjust for any increase received after roll date Hiring adjustment Equity or promotion Rec 3 Add back administrative stipend Add FY 2017 promotion, equity or hiring adjustment increase Note: Feed will pull the highest Rec; if no change in salary there is no need to add Rec 2 or Rec 3
