2 Archiving innovation User/Admin Experience:
Immutability Data Governance eDiscovery User/Admin Experience: We are continuing to innovate on the end user and admin experience. Customers have told us that a successful archiving technology is integral to their business, and we continue to improve our user interface to make the experience native to their use and workflow. COMPETITIVE: This is a big differentiator versus Google and other third party archiving products. Other archiving products require a separate user interface for management and for end user access. Having this integrated seamlessly is a strength. Immutability With Exchange 15, Microsoft enables organizations to preserve mailbox items for discovery using an In-Place Archive, keeping those items within the Exchange infrastructure. This allows for preservation of data in an immutable and discoverable manner—while at the same time reducing IT complexity, and delivering a seamless user experience. This approach is referred to as “In-Place Hold.” When a user’s items are placed on hold, Exchange can store an immutable copy when relevant properties are edited or the message is removed from the user's view. Those copies are sent to a segment of the user’s mailbox (technically known as the “Recoverable Items folder”) that is invisible to the user. This process is triggered when any command to edit or delete is invoked, ensuring that all altered or removed items are stored in the Recoverable Items folder in their original form. Many third parties leverage WORM storage – but this is inefficient and has many issues, including not capturing all data in your inbox and complicating your data storage strategy. Software based immutability is a stronger solution for saving your data. Any mailbox items associated with a user on In-Place Hold—whether in the primary mailbox or the In-Place Archive, and whether on-premises or online—are made immutable in this fashion. In-Place Hold works when any user accesses the mailbox, whether it is the mailbox’s designated user, a delegate, or an administrator who edits or deletes an item through a client interface. Data governance We also have solutions for organizations who need to manage risk by providing proactive controls to manage data in Exchange. With Exchange 15, there are controls to ensure that data is only kept for the period of time you want. This enables you to delete aged or content that is beyond your data retention and governance strategy at the appropriate time. eDiscovery: We know that customers need to easily find data in their organization. We also know that requests for data outside of are becoming more and more common. Our eDiscovery Center can handle these types of requests from a single location, and we are investing in developing additional functionality in this area. COMPETITIVE: This is a big differentiator versus Google and other third party eDiscovery products. Using technology in-place allows for faster workflow and process management. It also enables you to use less tools to get work done.

In this latest release are such features as: An In-Place Archive that seamlessly surfaces in both Outlook and Outlook Web App. This secondary mailbox appears as a set of folders in your users’ clients, allowing them to use familiar tools and actions to manage both live and archived data. For administrators, the very same admin tools used to manage other aspects of Exchange, such as the Exchange Administration Center or PowerShell, can be used to configure and enable this In-Place Archive. Retention policies that allow IT staff to define, deploy, and automate the expiry and archiving of data. These new policies are both granular and flexible, and can be set at either the folder or item level. Exchange 15 has a in-place hold policy that, when enabled on a user’s items, retains any edits or deletions made by the user under hold. This feature also enables rolling hold capability to allow hold for a period of time. The new, easy to use, eDiscovery Center can be delegated to specialist users—such as a compliance officer or human resources personnel—to conduct e-discovery tasks, without having to generate additional overhead for the IT department. This also allows compliance officers to set Time-Based In-Place Holds to ensure that data is held for specific periods of time for eDiscovery purposes. Query-Based In-Place Hold allows a compliance officer the ability to specify filters such as date, document type, sender, and free text KQL (there are others). If these filters are met, the data will be kept on hold.

Searching for messages across either live or archived is the same experience including having rich options for filtering the search results such as only showing messages that include attachments or that have been tagged with a specific category. Administrators using existing Exchange management tools can set a separate quota for the archived mailbox independent from the primary mailbox. And utilizing the enhanced retention policies framework in Exchange 15, you can define policies that automatically move into a user’s In-Place Archive based on specific time- based criteria. These two mailboxes (the primary and the In-Place Archive can live in the same Exchange database or in an separate store) allows you to benefit from a range of Exchange 15 mailbox resiliency and storage innovations. For example your IT staff can set default retention policies across your organization that determines for how long a messages should be retained. They can also create a series of Retention Policies that your users can select and apply to individual messages or folders to ensure proper message expiry is set on important . Additionally move policies (archive policy) can be defined and set to determine if and when an message should be automatically moved to the In-Place Archive. And it’s worth noting that when these messages are moved to the In-Place Archive, the folder hierarchy from the user’s primary mailbox is preserved; this is a great benefit for those who rely on filing as a means to manage their communications. Our goal is to keep a hold of that data and increase our value proposition is to provide unified In-Place discovery across the Microsoft IW stack by giving you , including In-Place discovery across Exchange SharePoint and Lync: First of all, find it all in one place: one single experience for searching and preserving , documents, site mailboxes, etc. ThenSecondly, find what you need and only what you need: be specific about what you want to search for and preserve to reduce discovery costs FinallyThirdly, find it without user impact: place no burden on the IW for preserving and searching for data, do it all in the background. 2007: in Exchange/SharePoint 2007, there was no story for preservation and search was very basic, it was commandline only in Exchange, and if you wanted the export you had to use a commandlet or Outlook. SharePoint had GUI search but no way to export the results or review them In-Place. As a result, if you needed compliance you would basically turn to third-party archive and third-party search and discovery tools. 2010: in 2010, we added basic preservation per mailbox or per site so you could begin keeping that data In-Place and in Exchange we added the ECP discovery console so you had a GUI experience for searching the data you’re keepting. As a result, we reduced the need for 3rd party archives and search tools and are started seeing a trending to keeping data In-Place and searching In-Place using the archive, preservation and discovery, keeping value in our product by keeping the data. Exchange 15: In Exchange 15, we’re taking that core set of features and getting rid of the seams between the different products by giving you a single one-stop shop for searches, preservation, and export. We’re also making improvements in preservation so you can keep only the data you need to keep without keeping entire mailboxes or sites, which can end up being much more than you want. The goal at the end of this release is that for customers to have the ability to can keep all of their data In-Place and search it, taking out only small scoped sets of search results to put in high-powered review tools. © 2012 Microsoft Corporation. In 3rd party archive systems, this is often where WORM storage is used. However, WORM storage (traditional hardware-based method) has issues in that it does not store all data in your inbox. With Time-Based In-Place Hold in Exchange, you can manage immutability of data requirements without third party products. Exchange 15 addresses immutability in a number of ways. Exchange allows a user to be kept on time-based In-Place Hold, which will allow for all data to be captured. Because some regulations require offsite data backups to meet immutability requirements, Exchange's Database Availability Groups (or Exchange Online) can create a replica in another location.
