8 Process – Big Picture Go to lab or room or wherever you are testing
Setup session on teacher computer (do not use Chrome)–write the session code on the board Students double click HMH Data Manager or CogAT icon…. Or have this done in ahead of time. Students login using lunch code\ID number and session code – session codes expire each night at midnight Teacher “approves” students for testing Teacher starts and runs the session Teacher stays logged-in as long as class is testing Teacher monitors students as they answer questions and keeps a steady pace Teacher keeps moving, and can provide reminders for students to answer questions Teacher controls pace and can move on if a student chooses not to answer questions

Test Assignment – which test\level students take (created for you) Test Session (you create or AP creates) – consider this like passing out booklets – so you will “virtually” pass out 3 different booklets (naming convention building-teacher- topic) Verbal – 1st trip to lab (JA-Hartman-Verbal) Quantitative – 2nd (JA-Hartman-Quantitative) Non-Verbal – 3rd (JA-Hartman-NonVerbal) 2 people on day 1 of testing… would be beneficial

10 To access the proctor area:
Log in Select Assessments from the application switcher Find the Test Event From the icons to the right of the Test Event name, select the blue icon which links to “Proctor an online Testing session” Once logged in, from the application switcher, select Assessments and then select the blue icon to the right of the test event name. This will take you to the proctor area.

11 Proctor Led Sessions – if created for you…..
From the proctor screen, test sessions are created (top half of the screen) and (bottom half of the screen) created test sessions are opened to begin testing. Note: if the user has “proctor” access only, they will come directly to this screen when they log in

12 Creating Test Sessions – if required
To create a test session In the Test Event* list, select your test event (for example, CogAT Fall 2013). In the Grade* list, select the grade level for this test session. In the Test Group* list, select your test group (CogAT form 7). In the Level* list, select the test level that you will be administering or that is assigned to the students you will be testing. In the Battery/Subtest* list, select the battery/subtest to administer first. Note: The tests are listed in the recommended order they should be administered. It is recommended that students be given the “Getting Started” tutorial prior to starting with the actual testing. NOTE: For CogAT test times, see slide (slides 40 and 41 show times for the CogAT screener) From Test Admin Type, IF audio has been enabled, you can select whether the session will be “Proctor led” (the proctor will orally give directions) or “audio –English” or “audio – Spanish) where the software will read the directions (in English or Spanish). Note: Audio is not an option for levels 5/6, 7, or 8. In the Session Name* box, type a session name. Note: The session name must be unique. You can type any name for the session. However, it is recommended that you establish a naming convention for test sessions to help you identify the session, such as using the following format: teacher name/grade/subtest (for example, "Collier gr4 Test session 1"). Click Create Session and the session name will appear in the lower half of the screen under “Created sessions” It is recommended that a separate session be created for the “Getting Started” tutorial. This should be administered to students a day or 2 before testing– to give students practice with navigating online tests and to gain familiarity with the navigation tools. This is also a good practice for the proctor on starting and monitoring a test session.

13 Starting the test for Students
When the proctor clicks on the name of a proctor led session to open it, 2 new tabs will open - the first will have the name of the session on the tab (known as the “session tab”); the 2nd will say “Proctor led”. From the session tab (tab with the name of the session), the proctor will watch for students to log in.

14 Proctors should write the session code on the board so that the students have the code for logging in.

Students will launch the secure browser that has been installed on the desktop of the computer that they are using for testing. Students have 2 options for logging in – from the left side of the screen they can enter the required information, including the test session code. Or, from the right side of the screen, the students can enter their student ID and the session code. Note: To exit from the secure browser, the student clicks Ctl + Shift + Q Test session code

16 Student Log-In: Waiting for Approval
As students log in, the proctor will see the students’ names appear in the Waiting for Approval area.

17 When students log in, they go to a drawing screen where they will draw/wait until the proctor starts the test for them.

18 Once all students have logged in, the proctor will click Approve All and all students names will move to the Approved Students area.

19 Once students have been approved for testing, if the proctor is orally giving the directions to the students, the proctor will move to the “proctor led” tab. From the Proctor Led tab, the proctor will find the directions for test administration. From the table on the left, the proctor will see the list of students who are in the session … and will be able to see where the student is in the test. The main area of the screen will have the directions for the proctor to administer. The proctor will begin by clicking Next to advance all students to the first screen for the sample item. (If the audio function is being used, the students will begin by listening to directions and then moving forward through the test as instructed.)

20 For a proctor-led test, the proctor will pace the students through the sample test items – and with test levels 5/6, 7, and 8, the proctor will also pace the students from item to item in the test. The student does not have a “next” or “go on” button to move to the next screen … the proctor must move the students to the next screens (for the Sample Items Section of the Assessment).

21 The proctor must read the directions verbatim as written on the screen.
The proctor must move the students through the sample items. When the proctor clicks “next”, all students in the session move to the next screen / next sample item.

22 With test levels 5/6, 7, and 8, the proctor will also move the students through the test items.
However, for upper levels of the test, after the proctor takes the students through the sample items, the students will be released to work independently through the test items for that subtest.

23 For the test to be “completed” for the student, the student must click to End the test. If the student does not click to End the test, the proctor will not be able to continue testing or end testing. Once all students have completed the subtest, the proctor has the option to continue testing to the next subtest or to end testing.
