1 Top 10 Things to Use in MoversSuite
This session will cover the top 10 things to use in MoversSuite. Ok, so there might be a few more then 10! Items covered will include: Bookmarking, Safety, Clips, Dynamics GP Order Inquiry, Tariffs and Rate Plans, Quotes, Invoicing, Account Profiles, Full Function Grids, and Tasks.

4 #10 Bookmarking Word Documents
Bookmarks are predefined programmed fields in MoversSuite that transfer into a Word Document. Bookmarked letters and forms can be created by the company without MoversSuite assistance. Because the documents are created in Word they can be edited.

5 Bookmarking Word Documents Rules
Users cannot determine which of the fields will be bookmarked. Creating new Bookmarks requires programming A bookmark can only be used once in a document. Document cannot previously been used as a Mail Merge document. Bookmarking only functions with Word. It will not work with Excel.

6 Bookmarking Word Documents Steps
Step 1 – Create the Word Document Step 2 - Pull the List of available bookmarks from the MoversSuite Web Site as a bookmark source document and save. Step 3 - Copy and paste a Bookmark from the source document Step 4 - Save the document to the MoversSuite Shared folder in the Custom folder Step 5 - Make the letter accessible for testing by giving access with the MoversSuite Standard Administration tool by adding to Reports and Report Profiles Step 6 – Test the letter Step 7 – Repeat Step 5 to add the report to the Report Profiles for the other users

9 #9 Safety Allows the user to track the safety information for the moving company equipment and personnel and then view that information from within the application. Personnel safety information displays in the Local Dispatch and Long Distance Modules. Equipment safety information displays in the Local Dispatch module There are reports for planning and results.

10 #9 Safety Indicators Clear - No Safety Date exists
To view personnel safety information, select the Safety Indicator field next the individual’s name. The fields are color coded: Clear - No Safety Date exists Green - All Safety Dates are beyond 30 days from expiring Yellow - One or More Safety Dates is nearing expiration (within 30 Days). Red - A safety violation is in effect. One or more Safety Date has expired. Black – Administrative hold is effect. Users will not be able to assign these personnel or equipment to a service.

Transactions that are created in MoversSuite are generated and imported to Dynamics GP. When they are imported into Great Plains and posted, they can be viewed in the MoversSuite application.

Van line authority interstate and intrastate orders’, rates are tabled van line Tariffs. Individual states have regulatory authority. The company will register their tariffs’ rate with the state or states that they operate. Own authority rates are applied to an order manually or utilizing a 3rd Party applications. Own authority Tariff and Rate Plans can be tabled and then utilized in MoversSuite.

Step 1 – Name the Rate Plan in the MoversSuite Standard Administration Tool Name the Rate Plan Provide a description Indicate that it is a Local Own Authority Plan Leave the Van Line Code field blank.

Step 2 – Define the rates. There are two primary methods to define and table Rate Plans. If the determination of the rates are multi-dimensional, the rate based on miles and weight with break points, select the MoversSuite Web Administration Tool. Advanced Rating is a rate matrix.

Enter the X and Y Range such as weight and miles and define the range for each axis.

Enter the Rate for the item (a rate will not be entered if the rate is determined by the Advanced Rating Rate Matrix ) Enter an overtime rate only if Local Services Actuals are being imported into MoversSuite for calculating the billing amount for labor and equipment

Select the Rate Type (Rate Types created in the Rate Types table print on invoices). Select the applicable Rate Plan that was defined in the Rate Plan table. Select the Rate Matrix name if the rate will be determined by a predefined matrix.

Enter the Effective Start Date and Effective End Date. (If Rates in the Rate Plan change, the billing Items can be added documenting the dates that the rates are effective. Then based on the Load Date in the Order considering the effective rates the applicable rate will be used.)

61 #5 Quotes The Quotes module in MoversSuite provides the user with a tool to provide their customer with a Quote for the estimate cost of move services. MoversSuite has integrations with 3rd party estimating tools that provide the company a means to calculate the cost of a move. Those tools are primarily for domestic household goods interstate, intrastate, and local moves. Quotes in MoversSuite function as a method to provide a customer a Quote for an International, commercial, or other moves as the need arises.

Items displaying on the invoice can be customized. Invoices can be viewed prior to creation. Once generated, each invoice will have a unique document number based on the order number of the order record. Invoices can be ed or printed and mailed. Invoices can be viewed in Revenue Entry, Order Information, Special Services, and International Orders.

90 Tasks In the course of a move there are many services provided by the company. Services are related to booking, packing, loading, and delivering the order. These services will have different Tasks that are completed. From one move to the next some of these tasks based on the type of move are repetitive. In the MoversSuite Application Tasks can be customized to meet the different types of moves requirements by specific key personnel and can be customized.

Step 1 Select the Task Definition as appropriate to the type of move Step 2 in the Order review and verify the tasks Review the tasks Mark Task Complete for finished tasks Mark Non-Applicable for any Tasks that do not relate to this specific order Change any due for any tasks that should be completed at another time Add any Tasks that are specific to just this move Step 3 In the Task Module maintain daily Sort grid to complete tasks by shipper Review the tasks Mark Task Complete for finished tasks Mark Non-Applicable for any Tasks that do not relate to this specific order Change any due for any tasks that should be completed at another time Add any Tasks that are specific to just this move

93 #2 Tasks To customize a Task Definition to meet a national account requirements or a type of move there are basic considerations: Is this definition unique to a specific account? Will the tasks associated to this definition be completed by a group? Is there a Task definition that is comparable with minor modifications? Once items 1 through 3 are answered a Task Definition can be customized. Name the new profile Copy a pre-existing profile that most closely matches the new profile Review the Tasks or add new tasks: -Description, Responsible Person, Dependency Date (verify dates are in implemented modules), Due Days , Before or After the Dependency Date, Activate (If the Task is inactivated it will not display in Tasks) If copying a pre-existing list, delete the tasks that will not be used in this definition The Task Definition can be associated to Account Profiles and orders.

They can be identified by the gray area at the top of the grid with the statement “Drag a column header here to group by that column”.
