1 Manuscriptorium Workshop National Széchényi Library
2012, September 11, 10:30-16:00

2 The Current Situation and Possible Future Solutions Regarding the Digitisation and Dissemination of Historical Collections in the National Széchényi Library National Széchényi Library – Directorate of E-Services, Department of E-library Services Adrienne DÁVID Anita RENKECZ 2

3 Digitisation and Dissemination of Historical Collections in the National Széchényi Library
Talking points: The collections of the NSZL that can contribute to the digitisation and dissemination of historical content Basic information regarding the content, size, quality and state of availability of the material provided by the collections Implemented platforms and tools for storing digital content in the NSZL Implemented platforms and tools for distributing digital content in the NSZL Implemented platforms and tools for describing digital content in the NSZL Experiences, concerns and pracitcal difficulties regarding participation in the Manuscriptorium project National Széchényi Library – Directorate of E-Services, Department of E-library Services

4 Special Collections in the NSZL
Collection of Small Prints Manuscript Department Music Department Rare Books Department The Map Collection (Main Collections) Challenge: Separate, often project-based digitisation strategies Different workflows for digitisation, storage and metadata assignment Task of the E-Library Services: Coordination of digitisation workflows Prepare for the implementation of a suitable digital object management system National Széchényi Library – Directorate of E-Services, Department of E-library Services 4 4

5 Rough size distribution:
Content, size, quality and state of availability of the digital material Content: Manuscripts, old prints, maps, small print, maps, sheet music, globes, photography, postcards, posters Size: circa TB Rough size distribution: maps > manuscripts > small prints > old prits > sheet music National Széchényi Library – Directorate of E-Services, Department of E-library Services 5 5

6 300-600 dpi master images (legacy material excluded)
Content, size, quality and state of availability of the digital material Quality: dpi master images (legacy material excluded) surrogates: mostly PDF and/or JPG compressed Availability: About 70% in organized storage About 10% distributed online National Széchényi Library – Directorate of E-Services, Department of E-library Services 6 6

7 Storing digital content in the NSZL
Backup: 15 TB digital storage facility (partially outsourced) DMEK (=Digital Storage) managed by the E-Library Services Stored content available only to staff members Transfer to storage facility: 5 TB buffer Data discovery: In-house inventory database (INDIGO) and data-entry tool limited descriptive metadata and shelf number Concerns: Data validation tool Standard metadata formats National Széchényi Library – Directorate of E-Services, Department of E-library Services 7 7

8 Distributing digital content in the NSZL
Digital Library : OSZK DK Content: collection digitisation projects legal deposit Software: In-house development Built-in access control Metadata: HUNMARC (MARC21 in development) Main challenges: workflow issues (integration of OPAC metadata) handling of serial or multi-part document types National Széchényi Library – Directorate of E-Services, Department of E-library Services 8 8

9 Distributing digital content in the NSZL
Image Library: Hungarian Digital Image Library Shared digitalized image repository of Hungarian Cultural Institutions Collection Software: outsourced development (PostgreSQL/JAVA applications based on JaDoX-server) Metadata: proprietary; HUNMARC Main challenges: support discontinued mixed provenience of content National Széchényi Library – Directorate of E-Services, Department of E-library Services 9 9

10 Distributing digital content in the NSZL
E-Library: Hungarian Electronic Library Open access digital library Subcollections by document type: MEK (books), EPA (periodicals), DKA (images and illustrations) Software: In-house development (PhP-MySQL) Metadata: proprietary with limited HUNMARC/USMARC output Main challenges: mixed content due to lack of defined collection development strategy sustainability issues no access control (only public content) National Széchényi Library – Directorate of E-Services, Department of E-library Services 10 10

11 Distributing digital content in the NSZL
Special digital collection websites Virtual display cases two prominent examples (manuscripts) Bibliotheca Corviniana Digitalis ( Written Heritage ( At least 50 different such sites Challenges: Different technological backgrounds Adiminstrative rights and responsibilities are non-transefrable between departments Huge differences in scope No standard metadata outputs National Széchényi Library – Directorate of E-Services, Department of E-library Services 11 11

12 Describing digital content in the NSZL
Data repositories of online services Integrated System: AMICUS (LibriVision web-client) Metadata: HUNMARC Retrospective conversion is underway Sufficient integration with Digital Library software Challenges: MARC21 data exchange Application of cataloguing rules in special collections E-Library and Digital Image Library Proprietary metadata-schemes (outdated qualified DC-schemas) No authority data Main challenge: Unified search interface Up-to-date metadata exchange format for all databases National Széchényi Library – Directorate of E-Services, Department of E-library Services 12 12

13 The future digital content in the NSZL
Imminent task: Introduction of a new Digital Repository System for the whole collection With the following in mind: Up-to date metadata exchange formats (MARC21, RDF, RDA) Authority data axchange (e.g. Viaf.org) Updating existing data-exchange relations (EUROPEANA, TEL, regional databases) Integration of all collections and sub-collections Description rules need to be implemented for special document types Unified interface for all digital content With special display options for special collections (e.g. virtual exhibitions) National Széchényi Library – Directorate of E-Services, Department of E-library Services 13 13

14 The NSZL and the Manuscriptorium-project
Experiences – Item 1 There are 755 records entered by the NSZL in the Manuscriptorium database Manuscript records Repository: Országos Széchényi Könyvtár Records entered prior to 2009 The referenced items are not available online No facsimile element This task is discontinued Experiences – Item 2 Test records for old print records Sample record: National Széchényi Library – Directorate of E-Services, Department of E-library Services 14 14

15 The NSZL and the Manuscriptorium-project
Pracitcal issues Old print sample data entry test Data entry is allowed without authentication Should the record be usable? or Is this only a test scenario? Structure & Images Page pagination schema was not accepted Natural order: two pages per page image option omitted pages Export Document description valid Document structure successfully analyzed, yet: Export: 0 kb size ‘noname.xml’ file exported Attempting to import XML-file captured from display: Empty alert screen National Széchényi Library – Directorate of E-Services, Department of E-library Services 15 15

16 The NSZL and the Manuscriptorium-project
Concerns Facsimile data scans image directory URLs <facsimile xml:base=" <surface xml:id="id_0001"> <desc> Back/front cover <label>0001</label> </desc> <graphic url="1/Inc_0740_0001.jpg"/> Successfully tested in E-Library collections Digital Library These paths are not always intented to be public Not available in the MDK (Digital image Library) Are the scanned images permanent coipes or Re-generated at each request? National Széchényi Library – Directorate of E-Services, Department of E-library Services 16 16

17 The NSZL and the Manuscriptorium-project
Questions Is the current ENRICH schema implented in the M-Tool? What document types the can be ingested via M-Tool in the future? Are there going to be separate how-to guides for each document type? Notes The M-Tool is going to be used by curators, not IT-staffers. Guides need to be provided at their comfort level. In case of cooperation, the Department of E-Services will be involved at the level of Structure & Images National Széchényi Library – Directorate of E-Services, Department of E-library Services 17 17

18 Digitisation and Dissemination of Historical Collections in the National Széchényi Library
Thank You. National Széchényi Library – Directorate of E-Services, Department of E-library Services Adrienne DÁVID Anita RENKECZ 18
