Whether you are new to your committee, or you have recently been re-elected, this presentation will give you up-to-date information on the requirements and expectations involved in being part of the CIEEM Member Network community. CIEEM has two types of Member Network: Geographic Sections, covering the UK and Ireland, and Special Interest Groups (SIGs) covering particular topic areas. Each committee consists of 4 Honorary Officers and up to 12 ordinary committee members. These groups are supported by one full time Member Network Coordinator covering all networks and two part time Section Support Officers, covering Ireland and Wales respectively. 4 Expectations: What your committee can expect of CIEEM
Recruitment and elections: we will advertise any committee vacancies to CIEEM members and hold annual online elections for Section committees (SIG committees do not require formal elections, although this may change in the future). Role profiles: these are provided for all committee positions. Induction: this presentation and the associated Induction Factsheet will assist in inducting new committee members, as well as providing a refresher when re-elected after each 3-year term. Tools and materials: a comprehensive set of guidance and tools is outlined in this presentation and will be updated regularly. Support for queries: your Member Network Coordinator and/or Section Support Officer will be your first point of contact for support. Attendance at Annual Members’ Meetings and Conferences: wherever possible, a member of the Secretariat or Governing Board will aim to attend all Annual Members' Meetings and Conferences to support you and engage with members at your events. Promotion of events and activities: via our website, direct s to CIEEM members and social media channels. Expenses for committee business: reasonable expenses can be claimed for all committee business needs. Feedback channels: to the Secretariat or Governing Board via the Member Network Coordinator or Advisory Forum respectively. Annual report to Governing Board: a review of your activities will be considered by the Governing Board each March and is a great way to highlight all your events and projects. @InstEcolEnvMan

5 Expectations: what is expected of you and your committee
Regular meetings: Member Network committees aim to meet at least four times a year, either in person or by teleconference and you should be prepared to attend these meetings. Events and activities: Activities will be shared amongst committee members, so be prepared to get actively involved in something that particularly interests you. The type of activity will vary between Sections and SIGs, but should be relevant to your Terms of Reference and Vision Statement (if applicable). This could include: organising or running an event or conference; writing articles and news items on your committee activities; coordinating a relevant policy response; talking to members on the CIEEM LinkedIn group; monitoring the committee account or social media; or speaking to students at a school or university careers event in your area. Communications: you are expected to keep up to date with changes to guidance and tools via the Committee News , and to submit your committee meeting minutes and Annual Activity Report promptly to the Member Network Coordinator. Finances: each committee is provided with an initial seed fund, but must become self-funding via income generated through events and conferences, or sponsorship. A subsite of the main CIEEM Microsoft 365 facility is provided to each committee separately, along with a shared Member Networks site open to all committees. These are areas where you can store shared documents and find useful links, templates, task lists and other tools to help you run your committee effectively. You will be sent an invitation to access the relevant subsites on joining your committee. Should you have any difficulty accessing this, please contact the Member Networks Coordinator for assistance. Committee Toolkit You will find much of the information you need to run your committee effectively in the Committee Toolkit, which is located on the Members’ area of the CIEEM website (login required) and also linked via your 365 subsite. Please do make use of this valuable resource, especially the FAQ page. The Toolkit will be updated from time to time and if you can’t find what you need, or anything in it is unclear, please contact the Member Networks Coordinator. @InstEcolEnvMan

Committee News This is sent out every two months to all Member Network committee members and contains lots of useful information relating to Member Network committees, including: news and feedback from the Secretariat and Governing Board; recent updates to your Toolkit; upcoming events; and publication deadlines. You can find back copies of the newsletter saved in the Member Network subsite document library at: @InstEcolEnvMan

Committee Communications CIEEM Website: each Member Network has a dedicated page on the CIEEM website where you can share news and details of upcoming events and activities. In Practice: abstracts of your news items will be included in the Member Network News pages of In Practice. eNewsletter: your events and news will be included in the bimonthly CIEEM eNewsletter. Twitter: your activities will be Tweeted from the main CIEEM Twitter account. You are encouraged to be active on Twitter, making use of our and your committee hashtag (see your committee webpage). LinkedIn: CIEEM has a very active LinkedIn Group where you can promote your activities and connect with other members. Some Member Networks also have their own LinkedIn subgroup. account: all Sections have a cieem.net account where members can contact you direct and this must be monitored regularly by the committee. Annual Convenor’s Meeting The annual Convenors’ Meeting is an opportunity for representatives from each committee to get together face-to-face. The day provides an opportunity to network, share ideas and experience, discuss with the Secretariat about how Member Networks can complement CIEEM’s strategic direction and discuss any other items of interest or concern across our Member Networks. If there is anything your committee would particularly like to raise at this meeting please let your Convenor know. @InstEcolEnvMan

Annual Reporting Each January your committee is required to submit an Annual Activity Report (AAR), outlining your plans for the year ahead and assessing your progress against aspirations set in the previous ARR, along with a review of your agreed Terms of Reference. It also provides opportunity to feedback on any challenges you have met and suggestions you may have for improvements. This will form the basis of an annual newsletter for circulation to your Section or Group members, and will also be reviewed by the Governing Board each March to ensure that you are provided with the right level of support and resources for your needs. This is a great way to showcase all your events and projects throughout the year and to demonstrate that our Member Networks are an active and vibrant community, providing opportunities for our members (and potential members!) to connect, learn and share expertise. @InstEcolEnvMan

The Future! This completes your induction/refresher and I hope gives you a good sense of what tools are at your disposal to take an active role in your committee. The time that our committee volunteers give is greatly appreciated by the Governing Board, the Secretariat and – most importantly – our members who benefit directly from what you do.
