4 Training As Employee Navigator becomes more complex, HR will need more in-depth training Brokers are asking us to train their HR EN is considering providing HR training webinars and a community support forum for HR Annual cost: $400 per year paid by HR with a credit card Broker can “turn off” the offer This will be part of the ACA training After we review the complexities of PTO, we’ll ask your opinion

5 The introduction of PTO poses a challenge for us
HR will not use EN’s PTO and onboarding if they are going to lose their historical information if they change brokers EN will need to balance the impact of a BOR change, HR data loss and protecting a broker’s investment in client set-up

6 Overview Will be available: Weekend of 7-31
The PTO module is included in the “Elite” license at no cost Tracks “time off” and “accruals” based on the calendar year Allows employees to request time off and view balances Sends s to managers for approval and employees when approved Tracks information on “HR” and “Manager” dashboards

7 Overview Continued Accrual dates can be customized (e.g., monthly on the 15th) Service awards are based on employee anniversary s are generated To manager when employee requests leave To employee when manager approves/denies Unpaid hours can be tracked by adding a leave type Employees are assigned to one manager. HR can serve as the back-up to a manager and see all teams

8 Overview Continued PTO can be turned off at the company level
Employees can have multiple policies in their time off package, utilizing both accruals and tracking only Employee request time off in hours – not days Employees can request time off before its accrued (optional setup) Unused hours carry over at the end of the calendar year

9 PTO was designed to be used 2 ways
Accrual Tracking Over time, employee earns hours placed into a bank Employees earned accruals are calculated Available balances reflect time off and accruals Time-off Tracking Only: Accrual engine is turned off Hours may be granted to employees The request and approval functionality is used Hours used can be reported and moved into another system

Configuration options Leave types (customizable) Automated accrual Service awards Carryover of unused hours Allow to go into the negative New Holiday Calendar

11 Using packages when companies have multiple time off packages
Example #1 Union employees accrue 25 days of PTO Non-Union accrue 20 days of PTO Example #2 Division 1 has separate sick and vacation days, with carryover option on vacation days Division 2 has combined sick & vacation into a PTO policy, with NO carryover plus 12 hours of flex time

12 Important things you should know
Future accruals are calculated Future periodic accruals are created for employees, so be careful to get it right There are 2 options when rolling out PTO Set the effective date to January 1 & import time taken to-date Set a later effective date and import unused balances as of that date

13 Phase 2 enhancements Accrual rollover based on employment anniversary, not calendar year Ability to set work week and hours “Warning days” to discourage days off Improved calendar options Accrual cap options Expiration on carryover hours (e.g., carryover hours expire after 90 days)
