IT for quantitative information Working with Spreadsheets 1

Scope of Spreadsheets  Store, manipulate and analyze data in organized workbooks for home and business tasks.  Summarizing and analyzing quantitative data  Data visualization - graphical representation  Data processing - calculations and transformations 2

Spreadsheet variety VisiCalc - 8 bit PC – end of 70-s - 63 columns - 256 rows MS MultiPlan, Lotus 123, Quattro Pro, SuperCalc, FoxPro, Microsoft Excel, Google Spreadsheet Comparison: Table size  Excel 4, XP:- 254 columns x16384 rows;  Excel 97/2003: 256 x 65536 and 255 sheets;  Excel 2007/2010/2013: 16 384 х 1 048 576;  Google Spreadsheets : 400,000 cells, with a maximum of 256 columns per sheet (20MB). 3

Functional Characteristics of Spreadsheets  Quick calculation, functions - finance, mathematical, statistical, database  Automatic recalculation of the formulas after changing primary data (manual calculation with F9 functional key)  Fast and easy adjustment of table’s size, insert, delete, and merge of rows, columns and cells 6

 Table formatting - copy-paste: format, value, all  Graphical presentation of numbers  Using of custom definitions - names  Building a database - sorting, filtering, subtotals and pivot table (grouping) 7 Functional Characteristics of Spreadsheets

 Printing tables and charts  Merging and linking spreadsheets  Export and import data to and from other software 8

Functional Characteristics of Spreadsheets  Automation of work - Macros  User interface in Visual Basic  Linear Optimization - Solver  Statistical data processing  Diagrams - 14 types of charts with a total of 73 types of diagrams 9

Functional Characteristics of Spreadsheets  Functions  mathematical -50  logical - 6  calendar (date and time) -20  special (search) - 16  statistical - 80  finance and economics -52  for word processing - 23  information -17  data - 13  technical (engineering) - 40 10

Basic Terms  Cell (B5)  Column (H)  Row (12)  Sheet (Sheet3)  Quick Access Toolbar  Ribbon 11

The Ribbon  The Ribbon contains multiple tabs, each with several groups of commands. You can add your own tabs that contain your favorite commands. 12

The Quick Access Toolbar  The Quick Access Toolbar lets you access common commands no matter which tab you are on. 13

14 Row ‘4’ Cell ‘B4’ Column ‘B’ Formula Bar Sheet ‘Sheet1’ Cell’s address

Calculation  Mathematical operations: + - * / ^ =(D2+D3)/D4 =(G4+H4)^2 =F5^0.5  Using of cell’s address: А5 $A$5 A$5 $A5 – absolute and relative address When you are coping or filling the absolute cell references in Excel they are not changed, based on the relative position of rows and columns  Using of name’s definitions of cells and arrays  Automatic and manual calculation –functional key “F9” 15

Calculation  Order of calculation: 1.Degree, root 2.Multiplication and division 3.Addition and subtraction  Brackets () are changing the order of calculation 16

Data transformation and Analysis  Statistical Analysis 22

Data transformation and Analysis  Sorting is any process of arranging items according to a certain sequence or in different sets, and therefore, it has two common, yet distinct meanings:  ordering: arranging items of the same kind, class or nature, in some ordered sequence,  categorizing: grouping and labeling items with similar properties together (by sorts). 23

Data transformation and Analysis  Filter actually hides the rows or columns containing data that do not meet the filter criteria you define. 24

Data transformation and Analysis Subtotal function Returns a subtotal in a list or database. It is generally easier to create a list with subtotals by using the Subtotal command in the Outline group on the Data tab in the Excel desktop application. 25

Data transformation and Analysis  Linear optimization is a method to achieve the best outcome (such as maximum profit or lowest cost) in a mathematical model whose requirements are represented by linear relationships.  Solver is a module for linear optimization in Excel. 26

Data transformation and Analysis  Pivot Table - In data processing, a pivot table is a data summarization tool found in data visualization programs such as spreadsheets or business intelligence software. 27
