3 IBM Software Group | Rational software Use case: Add a portfolio (1/2) The portfolio analyst adds a new portfolio: 1.Click Add > Portfolio. 2.Enter the portfolio information is entered, including the owner. The current user is listed as an owner of the portfolio. 3.Click OK to save the new portfolio. Click the link to assign an owner. Click OK to save the new portfolio.

4 IBM Software Group | Rational software Use case: Add a portfolio (2/2) The portfolio analyst enters the portfolio information: 1.Click Display > My Portfolios. 2.To customize the information on the graph, scroll to the Portfolio Analysis section and click the Edit icon. 3.Click the Save icon to save the information. Click the Edit icon to customize the information on the graph.

5 IBM Software Group | Rational software Use case: Update strategic objective criteria The portfolio analyst updates strategic objective: 1.Click Visualize > Strategic Objective. 2.Select a business strategy to update. 3.Click the Edit icon. 4.Update the information. 5.Click the Save icon to save the information. 6.Click Close to close the window. Click the Edit icon to update the information. Select the strategic objective to edit.

Applications can be added in two ways:  Add applications one by one  Add multiple applications at the same time To add one application at a time: 1.Click Add > Application. 2.In the form, enter information about the application, and then click OK.

8 IBM Software Group | Rational software Use case: Add an application (2/2) 1.Open the list of applications:  If you are a portfolio analyst, click Display > Applications in My Portfolios.  If you are an application business owner or application architect, click Display > My Applications. 2.Click the application to edit. 3.In the General section, click the Edit icon to update the application information. 4.Set the application lifecycle state to Active (Maintain) and click the Save icon. Click the Edit icon to update information. Make sure that the state is set to Active (Maintain).

9 IBM Software Group | Rational software Use case: Link strategic objectives to an application 1.Open the list of applications:  If you are a portfolio analyst, click Display > Applications in My Portfolios.  If you are an application business owner or application architect, click Display > My Applications. 2.Select an application to link to a business strategy. 3.In the General section, click the Edit icon on for Primary Business Strategy. 4.In the window, click a business strategy to select as the primary business strategy. Click the Edit icon to select a primary business strategy. Click a strategic objective name to select it as the primary business strategy.

To add financials information: 1.Click Display > My Applications. 2.Select an application to add the planned financials information to. 3.Scroll to the Financials section. In the Application Costs section, click To Time Grid editor to add the financials information. Click To Time Grid editor to add financials information.

To update financials information: 1.Click Display > My Applications. 2.Select an application to add the planned financials information to. 3.In the Financials section, click the Edit icon. 4.Optional: If the display type is not Chart, change the display type to Chart. Click the Save icon. 5.Click To Time Grid editor to update the financials information. Make sure that the display type is Chart. Click the Edit icon.

14 IBM Software Group | Rational software Use case: Add applications by using bulk loading 1.Click Add > Application Bulk Loading 2.Click Add Multiple Applications. 3.Select a Microsoft® Excel file to import the data from and select the worksheet that the contains data to import. Restriction: You can import only the attributes that are editable in the view. Click Add Multiple Applications to bulk load applications.

16 IBM Software Group | Rational software Use case: Monitor the application portfolio Members of the steering committee can monitor the application portfolio on the Home page to determine which portfolios and applications to target for assessment.  The Portfolio Summary report shows the overall status of portfolio. The status is indicated by traffic lights. Red traffic lights indicate problems.  The Financial Trends report shows the review plan and actual costs for portfolios, which can be compared to understand the overall financial situation within portfolios.  The Applications Failing SLAs report shows the applications that fail SLAs at level 4 and 5.

17 IBM Software Group | Rational software Use case: Define the scope of an assessment Based on guidance from the steering committee, the portfolio analyst updates the assessment state. To update the assessment state: 1.Click Display > Applications in My Portfolios. 2.Select the Not assessed applications. This filter shows only the applications in your portfolio that are in the Not Assessed state. 3.For the chosen applications, click Assess in the transition area to change the assessment state from Not Assessed to Assess. Select the Not assessed applications filter to display the applications that are in the Not Assessed state. Click Assess to set assessment state to Assess.

To perform a business assessment: 1.Click Display > My Applications. 2.Select the Assess - Business filter to show only the applications that are in the Assess state. 3.Click an application to assess. 4.Assess the application and record the assessment scores. The scores range from 0, which is unknown to 5, which is very high. 5.Click Save. Select the Assess - Business filter to display the applications that are in the Assess state. Perform the initial business assessment and record the assessment scores.

To perform a technical assessment: 1.Click Display > My Applications. 2.Select the Assess – Technical filter to show only the applications that are in the Assess state. 3.Click an application to assess. 4.Assess the application and record the assessment scores. The scores range from 0, which is unknown to 5, which is very high. 5.Click Save. Select the Assess - Technical filter to display the applications that are in the Assess state. Perform the technical assessment and record the assessment scores.

20 IBM Software Group | Rational software Use case: Make first-level recommendations (1/2) After the business and technical assessments are performed, the application business owner reviews the assessment results and works with the application architect to make the first-level recommendation. To make a first-level recommendation: 1.Click Display > My Application. 2.Select either the Assess – Business or the Assess - Technical filter. 3.In the Recommendation field, enter the first-level recommendation. Enter the first-level recommendations in the Recommendation field.

21 IBM Software Group | Rational software Use case: Make first-level recommendations (2/2) 4.The application business owner sets the assessment state to Info Gathered by clicking Info Gathered in transition area. The portfolio analyst is informed that the assessment was performed and that the assessment results are ready to validate. In the Transitions area, click Info Gathered to change the assessment state.

22 IBM Software Group | Rational software Use case: Validate that the assessment is complete (1/2) The portfolio analyst validates that the assessment is complete. To review applications to ensure that the assessment is complete: 1.Click Display > Applications for My Action. 2.Select the Initial Info Gathered filter to view the applications that have completed the first-level assessment. 3.For each application, review the assessment results. 4.Enter any additional actions or comments in the following fields:  Action required  Rationale  Recommendation Add additional recommendations and action items, including rationale, in the Governance section.

23 IBM Software Group | Rational software Use case: Validate that the assessment is complete (2/2) The portfolio analyst changes the assessment state in the transition area.  If the assessment results are completed, set the assessment state to Ready for Review (assess).  If more assessment results are required, select More info needed. The state returns to Assess, and the owner or architect of the application must gather more information. Under Transitions, select a state: Click Info Validated to change the assessment state to Ready for Review (assess). Click More info needed to request more assessment information.

24 IBM Software Group | Rational software Use case: Decide which applications warrant in-depth investigation (1/2) The steering committee reviews the report: 1.Click Visualize > Application Improvement Potential. 2.Look for applications that have these characteristics:  High business value  Low IT score, which indicates opportunity for improvement  High cost For X Axis, select Total IT Score (Estimate). For Y Axis, select Total Business Score (Estimate). For Bubble, select Total Annual Cost (Estimate). The view is displayed as an XY chart.

The scores range from 0, which is unknown, to 5, which is very high. 5.Click Save. Select the Investigate - Technical filter to display the applications that are in the Assess state. 28 IBM Software Group | Rational software Use case: Recommend dispositions (1/2) After the in-depth investigation, the application architect works with the enterprise architect to make disposition recommendations. To record the recommendations: 1.Click Display > My Applications. 2.Select the Investigate – Technical filter to show only the applications that are in the Assess state. 3.Click the application to make disposition recommendations for. 4.Scroll to the Recommended Disposition attribute and select one or more disposition methods to recommend. 5.Click Save. Select the disposition methods that you recommend in the Recommended Disposition attribute.

29 IBM Software Group | Rational software Use case: Recommend dispositions (2/2) 6.In the Rationale attribute, enter a comment to defend your disposition setting. 7.After you make recommendations, set the assessment state in the Transitions area. 8.Click Validate In-depth Info. The assessment state changes to Investigation done. Set a new assessment state in the Transitions area.

30 IBM Software Group | Rational software Use case: Validate that the investigation is complete The portfolio analyst views the applications that have completed in- depth investigation: 1.Click Display > Applications for My Action. 2.Select the Investigation done filter to view the applications that have undergone in-depth investigation. 3.For each application, review the investigation results:  If the investigation results are complete and dispositions were recommended, click the Disposition determined transition to set the assessment state to Ready for Review (investigate).  If more investigation is needed, click the More Investigation needed transition to return the state to Investigate so that the owner or architect will perform more investigation. In the Transitions area, set the assessment state: Click Disposition determined to change the assessment state to Ready for Review (investigate). Click More investigation needed to request more assessment information.

31 IBM Software Group | Rational software Use case: Review the disposition recommendations and make a decision (1/5)  On the Home page, review the # of Applications by Proposed Disposition report to learn of the number of applications that warrant having an associated transformation project.

37 IBM Software Group | Rational software Use case: Update the weights that contribute to business efficiency and ability for growth The portfolio analyst updates the weights that contribute to business efficiency and ability for growth: 1.Click Display > Calculation Weightings. 2.In the Business Efficiency Weights section, update the attributes. 3.In the Ability for Growth Weights section, update the attributes. Update the weights that contribute to business efficiency by clicking the Edit icon of an attribute. Update the weights that contribute to ability for growth by clicking the Edit icon of an attribute.

38 IBM Software Group | Rational software Use case: Update the attributes that contribute to business efficiency and ability for growth (1/5) The portfolio analyst creates an attribute to include in the business efficiency or ability for growth scores as a numeric value. The analyst create a Float attribute named M-attribute-name. 1.Click Configure > Attributes > Applications. 2.Click Add Attribute. 3.Click Float to create a float attribute. 4.Enter the attribute information, and then click OK. 5.On the page of views, select None for each view. 6.Click Update Views. Click Add Attribute to add an attribute that has the numeric value to include in the business efficiency or ability for growth scores.

For X Axis, select Business Efficiency Score (Estimate). For Y Axis, select Ability for Growth Score (Estimate). For Bubble, select SLA Compliance (Estimate). Clear and select the applications to compare their impact on the score.

Follow the instructions in the files. 3.Click the Edit icon. In the image attribute, upload the updated image. In the Image source file attribute, upload the updated source files. 4.Click OK. 48 IBM Software Group | Rational software Use case: Determine the scope of an investment on the application level The portfolio analyst determines the assessment scope by setting assessment state of the applications: 1.Click Display > My Portfolios. 2.Select the portfolios to assess for investment. 3.Select each application under the Application attribute, and then update the assessment state:  For the applications to assess, click Assess or Start New Assessment transition to set the assessment state to Assess.  For the applications that will not be assessed, if the assessment state is not in Not Assessed, click Not in Scope for Next Assessment to set the assessment state to Not Assessed. Select the portfolio that is targeted for investment assessment. Select each application under the Applications attribute. In the window that opens, set the assessment state in Transition area.

49 IBM Software Group | Rational software Use case: Set targeted investment levels for portfolios The steering committee set the portfolio financial targets based on the investment model: 1.Click Display > Portfolio Investment. 2.Select the portfolio for which to set the financial targets. 3.In the Portfolio Analysis section, review the financial information. 4.Set the value for Targeted Investment Change (%) by clicking the Edit icon. 5.Click Save. These values are calculated from the investment model. 5.Determine a new investment change level. 6.Click the Edit icon of the Proposed Investment Change (%) attribute and enter the proposed percent investment change. 7.Observe the difference between Calculated Annual Cost and Proposed Annual Cost. Update the Proposed Investment Change (%) attribute and observe the change of annual cost in the Proposed Annual Cost attribute.

53 IBM Software Group | Rational software Use case: Recommend investment levels (2/2) 8.Optional but recommended: Enter the reasons for the proposed investment changes in the Comments attribute. 9.Set the assessment state to Info Gathered by clicking Info Gathered in the Transitions area. The portfolio analyst can now verify the results of assessment. In the Transitions area, click Info Gathered to change the assessment state.

54 IBM Software Group | Rational software Use case: Consolidate portfolio recommendations (1/3) The portfolio analyst works with the financial analyst to consolidate the proposed application investment changes and adjust the investment changes to line up with the portfolio financial targets: 1.Click Display > My Portfolios. 2.Select the portfolio to review and consolidate the recommendations for. 3.Review the information in the Financial Summary section.

Click the Edit icon to adjust the Proposed Investment Change (%) value.

56 IBM Software Group | Rational software Use case: Consolidate portfolio recommendations (3/3) 9.For the assessment state attribute, click the Edit icon to set the assessment state:  For applications for which you agree with the proposed investment level, click Ready for Review (assess).  For applications that need more information, Assess. 58 IBM Software Group | Rational software Use case: Review the investment level recommendations and make a decision (2/2) 1.Click Display > Investment Analysis. 2.Click an application to review. 3.Click the Edit icon for the assessment state attribute to update the assessment state of an application.  If the proposed investment changes for next year are accepted, select Analysis Complete.  If the proposed investment changes for next year need more assessment, select Assess. Click the Edit icon to set the assessment state.

60 IBM Software Group | Rational software Use case: Submit a new transformation project The Project Management Office works with the portfolio analyst to submit a transformation project to align with application dispositions for associated applications. 1.Click Add > Project. 2.Enter information about the project. Be sure to add the following information:  Owner  Primary Business Objectives  Related Applications 3.Click OK.

61 IBM Software Group | Rational software Use case: Add planned financials information to a project (1/2) The Project Management Office provides the planned financials information of a project. The steering committee uses this information when they review the project to make investment decisions. 1.Click Display > My Projects to Detail. 2.Select a project to add financials information to. 3.In the Business Case section, in the Financials-Modernization field, click To Time Grid editor. 4.Select Menu > Investment Analysis. Select Investment Analysis.

62 IBM Software Group | Rational software Use case: Add planned financials information to a project (2/2) 5.Enter the financials information by using one of these methods:  Click on the estimated cost chart for each time period and draw an estimated line for each type of cost stream.  Double-click each cell under the grid table to enter the estimated information. Click the estimated number on the chart to enter the data. Double-click a cell to enter the data.

63 IBM Software Group | Rational software Use case: Decide whether to fund projects (1/3) The steering committee reviews the information about transformation projects from several perspectives to select projects to fund. To learn how well proposed transformation projects align with business drivers: 1.Click Visualize > Project Assessment. 2.Click the Stacked bar chart icon and then select the New Project filter. 3.Clear and select projects to see how they impact business drivers. Clear and select projects to compare their impact on business drivers. Select the New Projects filter. Click the Stacked bar chart icon.

64 IBM Software Group | Rational software Use case: Decide whether to fund projects (2/3) 4.Compare the NPV of projects: a.Click Visualize > Project Bubblechart. b.Select the projects that offer the highest NPV and the best business score with smallest risk. For X Axis, select Total Business Score (Estimate). For Y Axis, select Total Risk Score (Estimate). For Bubble, select NPV (Estimate).
