3  You need access to the vCAD application on your Gateway page and have the latest Citrix ICA client installed on the computer you are using to access Gateway applications. The below steps are available on our website’s homepage as well www.warrencountytelecom.com www.warrencountytelecom.com 1. Go to http://www.citrix.com/downloads/citrix-receiver.htmlhttp://www.citrix.com/downloads/citrix-receiver.html 2. Choose ‘Detect my device’ 3. Install receiver

4 Sign into the CAD system Enter your CAD Agency ID. Enter your Name or Personnel Number. Enter your position, (Calltaker, Dispatcher or Supervisor). Enter your 8 character password. (Set by the system administrator) Enter your agency ID in the Agy box under Agencies/Areas to the right. Click the OK button or press the enter key. Your personnel record must exist in CAD before you can login to the CAD system.

5 On the command line, enter MN.3 then press

6  From the choices, select the letter next to the type of information that you wish to enter and press

7  Only one (1) record for each type of entry can be made.

8  You will now see a formatted screen for the type of entry you are making.

9  Example of the various forms: This is the form used for: A - Emergency Contacts K - Vicious Dogs V - Vac House Checks

10  Example of the various forms: This is the form used for: B – Knox Box/Access U – Utility Information H – Hazards W - Weapons L – Location Information Z – LZ Coordinates M – Medical/Mental Info

11  Example of the various forms: This is the form used for: C – Fire Response

12  Example of the various forms: This is the form used for: D – Fire Preplan #

13  Example of the various forms: This is the form used for: E – FD Connections

14  Depending on the formatted screen. There may be a box to enter who authorized the entry.  We also recommend entering a date that the record was entered in the comments area.

15  Enter notes or other applicable data in the appropriate areas.

16  The top three lines (highlighted) are key fields and are the same on all forms.  Fields below the highlighted fields vary depending on the form used.

17  Change Action to “A”.

18  Enter your agency from the dropdown list.  Depending on how you signed into CAD, Your agency may be the only agency showing in this field.

19  Select the “Lock” for this record.  A = All agencies.  B = Agencies of same type (i.e. Law, Fire or Medical).  C = Authorizing agency (Agency in the agency field) All records should be left at the “A” setting to make the record accessable to all agencies including dispatch who is a fire type agency.

20  Beat – Leave this field blank! It will be correctly populated automatically when the address is validated.

21  Resp = Response Class (Fire Only) Be careful with this field! I you are not sure what goes in this field, leave it blank. A Response Class modifies a fire response run card to this location. A Response Class must exist in CAD or no recommendations will be found for this location.

22  Enter the Purge Type.  A – Automatic. When the date specified in the Purge Date field is reached, the record is automatically deleted. Deletions are set to run automatically every night. Automatic deletions are recorded in the Configuration Database log with System noted as the operator.  N – Notification. Due to the complexity of this option, we recommend that you do not use this purge type.  Blank – None (default). Records must be manually deleted by the system administrator. When the system administrator runs a manual purge, the process only purges the records that have a Purge Type = blank and an expired purge date.

23  Enter the Purge Date. Remember the date format is YY MM DD

24  Purge Message.  Only visible if the Purge Type is “N”. Due to the complexity of this configuration, we recommend you do not use the “N”otification Purge Type.

25  Bldg/Apt.  Bldg (first box) – Enter the building number of the location if applicable.  Apt (second box) – Enter the apartment number of the location if applicable.

26  Do not enter a Business name!  This field will be automatically populated when the record goes through address verification and is added.

27  Enter the address of the location. When entering the address, it is best to use just the numbers and first few letters of the street.  State Routes can be entered as “R??” (?? = route number)

28  Do not enter a City name!  This field will be automatically populated when the record goes through address verification and is added.

29  When completed, press to submit the entry.  This will then begin the Address Verification

30  If multiple streets are shown, enter the number of the appropriate address in the “Enter # or Addr” field, then press

31  If there are multiple common places for the address, enter the number for the correct one in the “Enter #” field, then press

32  The entry has now been added. Below is an example of an active record. You will notice that the Beat, Business & City fields have populated into the record.

33  Below is an example of the what the dispatcher see’s when an address is “flagged”. This address shows an “A” flag indicating Emergency Contact information is entered for this location.

34  The bottom form is the Emergency Contact information screen as the dispatcher see’s it.

35  The dispatcher has the option to “write” this information to the Audit Trail in CAD and on the MDC using the “Write to Incd” button.

36  When an MDC receives dispatch information for a incident at a location that has a Premise Flag, a yellow triangle with a red “P” will display next to “View Dispatch”.

37  If the dispatcher “writes” the premise information to the incident, it will display on the MDC as shown below in the comments field.

38  For best responses to questions or problems call the help line or use the email help address. Leaving messages on personal phones or stopping by the office may result in a delay to resolve problems.
