© 2015 Ex Libris | Confidential & Proprietary Introduction Primo Analytics enables the library staff to create reports on Primo discovery activities. These reports enable the library to understand the activities of the library and the users. Based on the results of the reports the library staff may make key decisions involving library policy. These decisions may involve, for example, Collection development Discovery interface configuration 3

© 2015 Ex Libris | Confidential & Proprietary Introduction Those of you familiar with Alma Analytics will note that Primo analytics is very similar in that both Alma Analytics and Primo Analytics allow the library to: 1.Use out-of-the-box reports or create customized reports. 2.Display groups of reports together on customized dashboards 3.Share reports with other Primo institutions. Like Alma Analytics, Primo Analytics is also built on Oracle Business Intelligence Enterprise Edition 11.1.1.7 (typically referred to as ‘OBI’). 4

© 2015 Ex Libris | Confidential & Proprietary Introduction The ‘Primo Analytics Guide’ may be found on the documentation center under ‘Primo > Technical Documentation > User Guides’ 5

© 2015 Ex Libris | Confidential & Proprietary Main parts of the Primo Analytics screen 10 Main Pane While in ‘catalog’ mode the main pane will either be empty or contain the contents of whatever folder in the navigation pane has been selected (double-clicked). While in report edit mode ‘criteria tab’ the main pane will be split into two: the top will have the display field and the bottom will have the filters.

© 2015 Ex Libris | Confidential & Proprietary The folders 11 This will have the name of Your Institution. In catalog mode these folders will always appear. Instead of ‘Primo North’ the real name of your intuition will appear.

© 2015 Ex Libris | Confidential & Proprietary The folders 12 My folders = A place to save reports that is seen only by the logged in user. Each logged in user has his own “My Folders”. Primo = Out-of-the-box reports supplied by Ex Libris. This is a read-only directory. If you want to edit these reports they should first be copied to another folder. Primo Community = Each institution can put reports here for others to use. As the Primo Analytics community grows so too will the contents of this folder. Your Institution = a folder viewable only by users from your institution. No other institutions can see it. Here reports can be saved and edited.

© 2015 Ex Libris | Confidential & Proprietary Editing out-of-the-box reports 27

© 2015 Ex Libris | Confidential & Proprietary Editing out-of-the-box reports 28 Now we change the report by (for example) editing the filter

© 2015 Ex Libris | Confidential & Proprietary Editing out-of-the-box reports 29 Have new changed filter and then click “Save As”

© 2015 Ex Libris | Confidential & Proprietary Editing out-of-the-box reports 30 Save in folder of your institution

© 2015 Ex Libris | Confidential & Proprietary Editing out-of-the-box reports 31 Note that you can not “make a mistake” here and by accident save in the Primo folder. The Primo folder, as stated, contains only the ‘Out-of-the- box’ reports and therefore has read-only permissions. If you try to save there you will get the following message:

© 2015 Ex Libris | Confidential & Proprietary Agenda 1 Introduction 2 3 4 Subject areas Accessing, opening and editing out-of-the-box reports Creating new reports and terminology 5 Cool tricks and features 32

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 33 You can create a new report by 1.Editing an existing report and doing “Save As” like in the previous case OR 2.Clicking ‘New > Analysis’ and then choosing a subject area

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 34 Fact (a folder with measurements is called a ‘Fact’) Measurements (Fields which can be counted or aggregated and have a yellow rectangle are called ‘Measurements’) Fields (also called ‘Attributes’, they contain data which are not counts) Subject area Dimensions (a folder which does not have measurements is called a ‘Dimension’)

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 35 To choose the fields which you want to display either 1.Drag the field to the upper pane OR 2.Double-click the field Double-clicking the field will also put it in the upper pane just as if you had dragged it

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 36 In this case we will display the ‘Number of Actions’ and the ‘Action’

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 37 To choose the fields which you want to filter either 1.Click ‘Down arrow > filter’ on the field in the upper pane OR 2.Click the funnel on bottom left and then ‘more columns’ By clicking the funnel you can filter by a field even if it is not displayed in the report.

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 38 Option 1 to add a filter Option 2 to add a filter Click the ‘down arrow’ then click ‘Filter’ Click the ‘Funnel’ then click ‘More Columns’

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 39 Choose desired operator and value from the pull-down boxes

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 40 The filter appears in the lower pane

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 41 Switch to the ‘Results’ tab to view the results

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 42 Click the dashboard icon to see how the report will look for the end user

© 2015 Ex Libris | Confidential & Proprietary Creating new reports and terminology 43 After clicking the dashboard icon the report will open in a new window.

© 2015 Ex Libris | Confidential & Proprietary Agenda 1 Introduction 2 3 4 Subject areas Accessing, opening and editing out-of-the-box reports Creating new reports and terminology 5 Cool tricks and features 44

© 2015 Ex Libris | Confidential & Proprietary Changing the date filter to sql 45 If you have a date filter which does, for example, ‘greater than [date]’, you can change it to do “greater than X units of time ago” For example so that it will always be ‘the last three months’. If the date is ‘greater than or equal to May 25, 2015’ you can convert to sql …

© 2015 Ex Libris | Confidential & Proprietary Changing the date filter to sql 46 Then you can replace the hard-coded date with an sql parameter

© 2015 Ex Libris | Confidential & Proprietary Changing the date filter to sql 47 Now this will always be “greater than three months ago” without needing to manually change the hard coded date to be three months ago

© 2015 Ex Libris | Confidential & Proprietary Changing the date filter to sql 48 Here is the syntax for other time parameters If we want the date greater than the last 14 days: "Dates"."Date" >= TIMESTAMPADD(SQL_TSI_DAY, -14, CURRENT_DATE) If we want the date greater than the last 2 years: "Dates"."Date" >= TIMESTAMPADD(SQL_TSI_YEAR, -2, CURRENT_DATE) If we want the date greater than the last 3 months: " Dates"."Date" >= TIMESTAMPADD(SQL_TSI_MONTH, -3, CURRENT_DATE) If we want the date greater than the last 1 week: "Dates"."Date" >= TIMESTAMPADD(SQL_TSI_WEEK, -1, CURRENT_DATE)

© 2015 Ex Libris | Confidential & Proprietary Getting the largest or smallest subset 49 If we have results such as these we may just want to get the 5 most popular or least popular search types

© 2015 Ex Libris | Confidential & Proprietary Getting the largest or smallest subset 50 In that case we can filter the ‘Actions’ measurement and choose ‘is in top’ or ‘is in bottom’. This works only on measurements.

© 2015 Ex Libris | Confidential & Proprietary Getting the largest or smallest subset 51 Now we have only the top 5 search types

© 2015 Ex Libris | Confidential & Proprietary Displaying data in chart or graph 52 The data can also easily be displayed in a chart or graph

© 2015 Ex Libris | Confidential & Proprietary Displaying data in chart or graph 53

© 2015 Ex Libris | Confidential & Proprietary Create a prompt 54 We may not now want to automatically display the search types. Instead it may be more appropriate to have the user choose them from a prompt In the criteria tab we can right click the column and then choose ‘Move Column > To Prompts’

© 2015 Ex Libris | Confidential & Proprietary Create a prompt 55 Now when the report is opened the user can choose a specific search type

© 2015 Ex Libris | Confidential & Proprietary Create a prompt 56 It is also possible to add a prompt from the ‘Prompts’ tab and choose different types of prompts, for example ‘check boxes’

© 2015 Ex Libris | Confidential & Proprietary Create a prompt 57 Now the user can choose multiple search types (check boxes)

© 2015 Ex Libris | Confidential & Proprietary Shade alternate rows 58 Sometimes when the table is long it is difficult to read and the rows should be alternately shaded. Click the pencil to edit the view Click the pencil to edit

© 2015 Ex Libris | Confidential & Proprietary Shade alternate rows 59 Click the table view properties Table view properties

© 2015 Ex Libris | Confidential & Proprietary Shade alternate rows 60 Select ‘Enable alternate styling’ Enable alternate styling

© 2015 Ex Libris | Confidential & Proprietary Shade alternate rows 61 Have alternate shaded rows

© 2015 Ex Libris | Confidential & Proprietary Conditionally format text 62 In some case we may want to change the text or format of the text based on certain values. For example in the table below we may want to say that any time the value of the actions is greater than 2000 then we want it to be in red bold

© 2015 Ex Libris | Confidential & Proprietary Conditionally format text 63 In the criteria tab choose “column properties” and then switch to tab “Conditional Format” and add a condition

© 2015 Ex Libris | Confidential & Proprietary Conditionally format text 64 Add the condition and define desired style Red bold if greater than 2000

© 2015 Ex Libris | Confidential & Proprietary Conditionally format text 65 The format has changed accordingly
