2  Historical practice - the UW drew funds from the US Treasury in a lump sum on a daily basis  NIH transitioning from “pooled accounts” to individual PMS subaccounts  Already in effect for new awards  Rolled out to all awards by October 1, 2014  Anticipate other sponsors will follow NIH’s requirements  UW will apply NIH’s new guidelines to all sponsors  Consistency  Anticipate others will follow suit  Focus - Looking at the post-award process to meet the 90-day draw deadline Federal Reimbursement Update

3  Ten Member Team  Central Administration: 5  Campus: 5 (representatives from different schools & departments)  Goal  Ensure all draws occur within 90-days of project end date  > 90-days must receive special approval from Grants Management Specialist  Institution has 30 days to respond; extensive response process  Modify current post-award process, if necessary, so funds are not lost Federal Reimbursement Update

4  Timeline  February – April  Map current post-award processes (GCA and campus) from NOE to closing  Identify roadblocks, duplication of effort, time requirements, etc.  April – May  Identify potential areas of improvement and a revised process to ensure meeting the 90-day federal deadline  June  Propose recommended changes to campus user group  July  Communicate to campus Federal Reimbursement Update

5  Ongoing - implement changes that will benefit campus immediately  Example - Add departmental e-mail(s) contact to GrantTracker to allow departments to enter their own contact  GCA would use this e-mail(s) to communicate with campus departments  Campus departments would be responsible for keeping the e-mail contact updated  NOTE: plan is based on current federal guidelines.
