2 Key Benefits IDBenefit description 1 Staff efficiency – Local Authority: Save Local Authority administrative time in scanning and uploading Section 2's and 5's to Frameworki. Staff will be able to copy and paste into Frameworki from the forms rather than entering from scratch, saving time. Staff efficiency - Hospital: Administrative staff savings within Hospital for the discharge liaison team as Ward staff will be directly imputing the discharge information into the system and sending to Social care via email. 2 Cost savings. There will be less paper in the new process as ward staff will enter information directly onto the system. 3 "Greener" The use of secure email will be substantially "greener" with a significant reduction in the amount of paper printed and faxed.

Faxes are subject to error (line's busy, no paper at the other end, quality of the faxes requires the information to be resent). 5 Information security will be improved with secure emailing being a safer method of sharing information (less opportunity for others to access patient information inappropriately). 6 Clinical Safety. Forms can sometimes be split up on the other side between other forms leading to potential clinical safety issues e.g. one page of one patients S2 and another page of another patient's S2. 7 Audit Trail: Provides an improved electronic audit trail 8Improved legibility. Less time needed to verify the information. 9 Quicker. Admission and Discharge notifications will be transmitted quicker emailed than faxed.

4 Costs to implement the secure email workflow – Ealing Experience Project timescales – 2 - 3 months Ealing Hospital/Local Authority are not “migrating” to NHSmail as part of this project and so there are no associated costs. Resource time/commitment –Project management / Change Management resource (0.5 days p/w) –End users/staff to attend meetings and progress actions (1 day p/m). –Technical resource to set up generic accounts, make forms electronic if required… (1 day p/m) Meetings between project team and staff to: –Understand “As Is / Current” processes –Agree “To Be / Future” processes –Progress actions Apart from limited resource requirements, there is no cost of implementation.

5 Savings implementing the secure email workflow – Ealing Experience Ealing aim to achieve: 195 days saved within the Hospital 70 days saved within Social Care 265 days saved across both Ealing Hospital and Social Care Associated cost benefits OF JUST ONE WORKFLOW 15496 pieces of paper saved within the Hospital - £154.96 p/a 40560 pieces of paper saved within Social Care - £405.60 p/a 56056 pieces of paper saved in total - £560.56 p/a
