9 What is an External User An External user is someone outside of your organization –Need access to files and folders located SharePoint –Are not licensed users of Office 365 –Are not employees, contractors or onsite agents

10 What is an External User External users can… –Use Office Online for viewing and editing documents –Perform tasks on a site consistent with the permission level that they are assigned External users can’t… –Create sites –Edit their profile –Access the Search Center –Have their own OneDrive for Business library

11 External Sharing Turned on by default for the entire SharePoint Online environment Best practice is to turn off globally and only enable when needed When considering if and how you want to share content externally –Who should be granted access to content –Who in your organization should have external sharing permissions –Is there content that should never be made available for sharing

12 External Sharing Create a Subsite –If you want to restrict external users from gaining access to some internal content but access to multiple files within a site Share a document and require sign-in will require –Microsoft Account Email address and password that is used for different Microsoft sites and services. Outlook.com, Hotmail, Messenger or OneDrive –Microsoft Office 365 user ID External user could already have an account with Office 365 and this can be used to login
