5 New Features of the Redesigned iPlan Portal During the summer of 2015, the iPlan platform was redesigned to better facilitate comprehensive educational planning. Note the new features of the iPlan platform: The Online Document Editor allows for real-time updates to the plan. Comment boxes are available and located alongside of every section. Multiple users can leave comments and read each other’s feedback. The name and role of the person leaving comments is noted at the top of the comment box (e.g., Superintendent, Principal, SLT member, Teacher, etc.) “Tips” provide additional guidance on plan development in select sections. The online plan can be downloaded and saved in a Microsoft Word or PDF document and can be printed. Reviewer comments can be downloaded by saving as a PDF file from the PRINT menu. Spell check and Microsoft Word like features make editing easy. A new look to the welcome page with easier access to resources. 5

6 New Features of the Redesigned iPlan Portal Continued “Review Changes” button allows users to compare the differences between “Updated for Review” versions. The Title III, Language Allocation Policy (LAP), Language Translation and Interpretation Plan (LTI) documents have been moved to an electronic format and are now editable in their online editor page. The District Comprehensive Educational Plan (DCEP) has recently been added to iPlan and can be updated via the online editor. Although a person may not have an account on iPlan, they can use the dropdown on the front page to access any school’s public version of their plan. Expanded resource page for users to access help (training documents, technical support, etc.) NO MORE BLANK TEMPLATES! – with the online editor, the data will transfer from one school year to another. 6

7 2016-17 S/CEP Templates 7 The overall templates remain similar to last year, however several new sections have been added New sections include: Support for Students in Temporary Housing (STH), and the Renewal/Receivership Benchmarks (For RSCEPs only) Modular approach Data now carries over as school accountability statuses change and new templates are released Everything is online now, there is no more document uploading School Information Page CEP Overview Goals and Action Plans Academic Intervention Services (AIS) Support for Students in Temporary Housing (STH) Parent Involvement Policy

8 Accessing the iPlan Portal Open the Google Chrome web browser and navigate to: iplanportal.com/ 8

9 9 iPlan Portal Welcome Page Enter your full email address and password, then click Log-In. Click Forgot Password if you need a new password. Be sure to use Google Chrome for optimal functionality. Use this dropdown to access a specific school’s publicly posted plan. Click SLT Winter Activities to see suggested agenda topics for SLT meetings.

Click EDIT YOUR PLAN to enter the online document editor and make revisions to your plan. Click VIEW FEEDBACK to view a report summarizing all feedback left.

12 Principal or Principal Designee Provisions Select Users Principals can provision members of their team to have access to the School Comprehensive Educational Plan (S/CEP). Any users provisioned by the principal for S/CEP access will have the same access to the LAP, LTI, and Title III documents. 12

13 13 The Online Document Editor 1. Save 2. Create New Version 3. Update for Review Note: Only Principals can click the “Update for Review” button. Click comment bubble to add or view a comment. Is used to view reviewer feedback, leave new comments for school users and make revisions to your plan. At the top of Section 1: School Information Page, click on the button that reads “CLICK HERE TO READ AN IMPORTANT MESSAGE FOR THE PRINCIPAL” to access important information about the plan.    Print/Download Search Move the cursor over the text box you wish to edit. Click field to be able to revise text. Text Editing Features Right click inside the field to insert a new row.

14 14 Editing Your Plan To edit your plan, use your browser’s scroll bar or the Table of Contents tab (located on the upper right corner of the page) to go to the section you wish to edit. Do not include students’ names; refer to all Family Educational Rights and Privacy Act (FERPA) policies. Links to the Table of Contents tab are also located at the end of each section of the plan. Once you have navigated to the section you need to edit, click on the text you wish to edit. Make revisions and click the SAVE button to save school level changes. Click CREATE NEW VERSION to create a new version so that you can always revert to a previous version. Click UPDATE FOR REVIEW to share your plan outside of your school. Note: Only Principals can click the “Update for Review” button. Downloaded plans must be opened in Microsoft Word. Opening a file through a browser extension could result in errors. Click EXIT to leave iPlan. Important: Save your changes and download a Microsoft Word version of the plan to your desktop.

15 Collaborative Document Editing 15 Multiple users can edit documents at the same time. While users can edit different sections simultaneously, they cannot edit the same field at the same time. It is all live, changes appear to other users can see changes instantly (as they are made). If another user is editing a field, it will be grayed out with a notice indicating who is currently editting.

16 16 Reviewing Feedback & Entering Comments Leaving Comments: Provisioned school-based members may open a comment box and leave a comment for other members of the school- based team by clicking on the LEAVE A NEW COMMENT button. Click the SAVE button to save your comment. Click CANCEL to delete your comment. The user’s name and role are identified. Click here to reply to a comment. Type your reply or comment in this box. Click here to leave a comment. Click the comment bubble to view a comment left by the user.

17 17 The Online Document Editor The Review Changes feature is a new tool in the online editor that allows users to compare two different versions of a document and display the changes that have been made. At the bottom of each section of the document, click on the button that reads “REVIEW CHANGES” to access the Review Changes feature. Note that there is a button for each section of the document. The tool will compare the document section by section.

Click here to navigate between sections in the online document. Click the X to close the tool. Click the dropdowns here to select the versions of the document to compare. Earlier Date Newer Date

19 Comparing Different Document Versions 19 When two different versions of the document are selected from the dropdown, the differences between the two will be displayed within the tool. Text that has been added to the first document selected (the left dropdown) will appear highlighted in green, and text that has been deleted will be highlighted in red and displayed with a strikethrough. Formatting changes and font changes will not be accounted for in this comparison; only actual changes to content will be displayed. When printing out the online document, text highlighted here will not be highlighted in the downloaded version.

20 20 Exiting the Online Document Editor When you have completed revising the plan, click EXIT to leave the Online Document Editor. Confirm that you wish to exit by clicking the YES button, or cancel by clicking NO. If you click YES, you will be returned to your school’s home page on iPlan. You can click the EDIT YOUR PLAN button to re-enter the online document editor.
